Minutes of the CCHS PTSO Planning Meeting For 2019-20February 3, 2020 4:30 Media CenterPresent: Kirby Sheridan, DeDe Dickason, Theresa Kearns, Amy Borras, Karen Conner, Renae White, Heather Coursey, Channon Craig, Lizzie Black, Sam HendrixKirby called the meeting to order and the minutes were approved. DeDe will request Mr. Vincent put Kirby’s verbiage on the front page of the CCHS website requesting 2020-21 officers. Emily Holt has shown interest in the Staff Appreciation position, Channon Craig is interested in Secretary, and Heather & Lizzie have offered to manage the Student appreciation bulletin board; there are still several open officer and committee positions.Secretary’s Report: DeDe has 23 gift cards. Kirby has remainder of Harris Teeter gift card to be used for event purchases. Completed action items were deleted; pertinent updates noted in minutes. Bulletin board: Most of the student recognition items were dislodged from the bulletin board after the honor roll was displayed last month; instead of sticky dots, we will use staples going forward to make the board more durable since students may tend to lean against it causing damage. Treasurer’s Report:Bank Balance on 1/31/19: $3628.88Unrestricted: $2071.87IIAV restricted: $1428.05Senior recognition restricted: $128.96Complete details available in monthly statement.Upcoming Recognition Events:2/4 Student Recognition: THANKS to Cierra Glenn, she paid and joined the PTSO during the student membership drive. Charisse coordinated her order & the best date/time and Kirby will be delivering her breakfast order tomorrow. Kirby will send a picture of her to DeDe for the bulletin board. 2/13 8:45am Valentine bags Theresa presented the bags that she created for the teachers, bus drivers, and admin. A few helpers are needed at 8:45 on 2/13 to stuff the bags; our 2 student representatives are available during connections; Ms. Conner has 2nd block free to assist in the mail room. Candy was purchased at BJ’s.2/20 6-7:30 Curriculum night PTSO to display signs and stickers and allow memberships and IIAV information; while mostly underclassman attend this event, they may be interested in stickers and the signs will be available for display. 2/22 Parent Chaperones needed For Winter Formal dance; Sam Hendrix would like to be contacted if anyone would like to volunteer.2/24 10:50-1:00 Student recognition: For second quarter, Mr. White indicated the number of students that have an un-weighted grade of 75 or above in all classes rose to 557. Rita’s ice is not open this time of year; Charisse is checking on ice treats at Sam’s, DeDe will check Food Lion for ice cream prices; Theresa will check at BJ’s; Channon will check at Cosco; Kirby will get toppings. Mr. White will provide list to DeDe for these exceptional students and this same group will be recognized on the Bulletin Board. Update: Mr. White indicated after the meeting that any ice cream served to students must be purchased through the cafeteria.4/25 8-1 IIAV Beautification: Event rescheduled for weekend after spring break with a rain makeup day of 5/2. Cabinets will be revisited for PTSO to purchase. Parent membership forms, senior items, and the PTSO sign will be displayed during this event. Ms. Lipp continues to work with student, Riley Hinson. Ms. Lipp provided an update that bathrooms will be repainted; originally hooks and mirrors were mentioned. Art students may be able to help with creative painting and/or inspirational messages and words on the wall to instill student pride in their school. Alumni will be contacted to plant a tree; trash cans may be purchased by other groups; masonry will redo walls in the parking lot; carpentry will do benches; bathroom project still may need supplies. Ms. Lipp plans to have the “Thursday kids” cleanup trash around campus prior to that Saturday. After upgrade, Riley suggested students to do a weekly deep clean on Friday’s 2:30-3:30.Fundraising:PTSO membership/IIAV/Membership – Continue to seek venues to promote.Senior Signs and Award Discussion – It was noted that the senior recognition fund had decreased due to paying the bill for the senior signs. The team approved using unrestricted funds if needed to award the $500 scholarship to a student this year. We need to begin promoting the sale of signs again to seniors and parents to increase the senior recognition fund; Kirby will talk to Ms. Small for ideas. Kirby provided the scholarship requirements based on feedback from PTSO members. The team agreed to add “unexcused” to the absence requirement and the deadline for submission was changed to 3/31. PTSO board member students will not be excluded from applying. We discussed Mr. White, Kirby, Ms. Conner, and maybe another teacher or counselor as the applicant review/interview committee; that team, based upon applicants, will resolve any other concerns. Ms. Conner will create the application based upon the approved scholarship requirements; this scholarship will be promoted through the counseling office, Ms. Small, and daily announcements. We will decide on interviewing all or just “finalists” based on the number of applicants. Award will be presented during senior award ceremony. Student Council – Sam provided an update that there would be no Carnival at the end of the year since this event required extensive stress and planning, but they are currently coming up with other ideas for a 4th quarter celebration; they will partner with PTSO and let us know the plans as soon as possible.Action Items:Ms. Lipp: Plan beautification day. Have Thursday kids clean up trash prior to that weekend. Kirby: Provide drinks, cups, and trash bags on 4/25 for beautification day using IIAV funds. Remaining Rice Krispie treats will be given out also.DeDe: Update Woodmen Life logo under Organizations on the PTSO bulletin board and provide a picture of that & students to Micaela as thanks.Heather: Get a picture of the students helping PTSO by attending meetings and provide to DeDe for bulletin board. Mr. White: Provide list of students recognized for 2nd quarter grades to DeDe for bulletin board.Kirby: Take Cierra breakfast and send a picture of her enjoying her breakfast to DeDe to include on the bulletin board.Ms. Conner: Create an application with a deadline based on team input. Will work with Kirby to ensure it is publicized once ready. DeDe: Request Mr. Vincent put verbiage supplied by Kirby for officers, on the CCHS home page. Kirby: Will coordinate ice cream from cafeteria & toppings for February student recognition.Theresa: Bring items already purchased for February staff appreciation.Ms. Conner: Help in mailroom during 2nd block with staff appreciation.DeDe: Request parent help for February events.All: Manage PTSO table during curriculum night.Kirby: Talk to Ms. Small for ideas to promote senior signs, banners, and stickers to seniors & their parents.All: Notify Sam Hendrix if interested in chaperoning Winter Formal dance.Sam: Keep PTSO informed about 4th quarter plans replacing the Carnival.Next Meeting:3/2 at 4:30 Media Center ................
