High School Business Manager (Full Time Position)

Northwest Catholic High School

West Hartford, Connecticut

Northwest Catholic High School is searching for an outstanding business manager to oversee the financial operations of the school.

Ideal candidates will demonstrate the ability to collaborate successfully with school administration, advancement, department heads, and the Archdiocese of Hartford, foster a positive work environment, communicate effectively with families, and be a contributing member of our team. Preference will be given to those who possess strong leadership ability. Prior experience in high schools is a plus.

JOB DESCRIPTION

Position Title: SCHOOL BUSINESS MANAGER

Reports To: President and Principal

FLSA CODE: Non-Exempt

Essential Functions:

• Financial Responsibilities

o Maintains accuracy of all financial files and records by maintaining the general ledger within Blackbaud Financial Edge NXT accordance with the Archdioceses of Hartford (AOH) guidelines and charts of accounts.

o Prepares, administers, and reviews the budget process in collaboration with president, principal, staff and school finance committees

o Acts as a liaison between the school and the AOH in financial matters

o Monitors the school budget

o Communicates budget to department heads

o Performs necessary banking tasks (deposits, transfer of funds, etc)

o Reconciles school financial books

o Coordinates and reviews all school organization funds

o Maximizes cash management resources and utilizes the cash flow template of AOH.

o Prepares invoices for payment

o Prepares monthly financial statements for president/principal/committees.

o Prepares needed materials for review by school board and finance committee.

o Assists president/principal in applying for Title Grants and distribution of financial aid.

o Work collaboratively with the Director of Advancement in tracking school fundraising efforts

• Personnel Responsibilities

o Prepares payroll and associated taxes and reporting for school personnel using payroll service

o Maintains personnel records including time sheets, recording of vacation, personal, sick time, etc.

• Administrative Responsibilities

o Maintains good working relationships through effective communications between school community, various groups and outside authorities

o Attends monthly staff meetings

o Attends Archdiocesan training sessions and meetings, as necessary,

o Consults with and advises the president and principal on financial matters that affect the school

• Assumes other responsibilities as needed

JOB REQUIREMENTS:

Skills, Knowledge and/or Abilities

• Must be a practicing member of a faith community

• Willingness to publicly support and live out the values of the Gospel as taught by the Catholic Church

• Proficiency in Microsoft Word, Microsoft Excel and Blackbaud Financial Edge NXT accounting system

• Ability to use payroll service

• Comfort using email and online banking services

• Must be self motivated and perform outlined tasks with minimum supervision

• Ability to prioritize projects

• Knowledge of accounting principles and practices

• Excellent interpersonal communication skills

• Ability to present oneself professionally

• Good organizational skills

• Good record-keeping skills

• Ability to meet deadlines

• Must maintain confidentiality and be trustworthy

• Ability to adapt to changes in routine or schedule

• Must possess excellent analytical skills

• Ability to work in a small office environment

• Good manual dexterity

Educational Requirements:

BS Degree in Accounting or Finance preferred

Three or more years experience in bookkeeping and financial management

Responsibility for Quantifiable Measures:

Ensuring timely payment of all school bills

Preparation and administration of annual budget

Accountability for schools funds and accurate and timely reporting

Adherence to deadlines for timely payroll tax reporting

Timely response to all email, voicemail and other correspondence

Physical Requirements/Environmental Conditions:

Requires prolonged standing, walking and/or sitting

Require physical exertion to manually, move, lift, carry, pull or push objects or materials up to 25 pounds

May require occasional stooping, bending and reaching

Will work in an office setting with office machines

Working Environment:

Some evening work hours are required (for meetings)
