| | |(1) Return Address: This is the sender’s |

| | |address. Note: A comma is used to separate city |

| | |and state, province or country. |

| | |(2) Date: This can be in one of two formats: |

| | |Note: In situations where it may be confusing, |

| | |such as 02/01/05, you should spell out the |

| | |(3) Inside Address: This should include the |

| | |title, first name and last name of the recipient|

| | |if you know it. It should also include the |

| | |person’s position within the company: |

| | |(4) Salutation: The salutation should include |

| | |the title and the last name, but not the first |

| | |name. It is punctuated with a colon. |

(5) Body: The contents of the body will be the focus of this writing lab throughout the course.

(6) Complimentary Close: This a formal close and is usually restricted to a few phrases: sincerely, sincerely yours, regards, best wishes, cordially, or respectfully.

(7) (8) Signature and Signature Block: Leave at least 4 lines between the complimentary close and signature block to write or stamp your signature. The signature block should include your position within the company as well.

(9) Enclosures: You can write either “Encl.” or “Enclosure” and you can name the enclosure or just write the number of enclosures like this: Enclosures (3).

(10) Courtesy Copy: This used to be called ‘Carbon Copy’ back in the days before photocopiers. It refers to the other people who have received a copy of the letter. Note: the ‘c.c.’ is not capitalized.
