POSITION ANNOUNCEMENT: Business Center Operations Supervisor

• This is a full-time position

• Employment is with Chattahoochee Technical College and not with an individual campus.  All employees are subject to work relocation based on college needs.

POSITION DESCRIPTION

This position is responsible for supervising and participating in the activities of the Business Center Operations at all campuses.

MINIMUM QUALIFICATIONS

• High School Diploma required.

• Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, interpreted as 5 years related work experience or service.

• Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated.

Business Center Operations Supervisor FIN/17

Finance FLSA Status: Non Exempt

JOB SUMMARY

This position is responsible for supervising and participating in the activities of the Business Center Operations at all campuses.

MAJOR DUTIES

• Trains, assigns, directs, supervises, and evaluates the work of personnel engaged in performing Business Center operational activities on multiple campuses.

• Supervises personnel in the performance of mail service, shipping/receiving, document services, document assembly and production, and bulk shredding operations; assists employees as needed.

• Oversees printing and copying services.

• Prepares and submits purchase requisitions for department; orders supplies.

• Prepares and submits annual budget requests.

• Prepares and submits annual department performance reports.

• Attends staff meetings; communicates with supervisor concerning issues, concerns, problems and opportunities.

• Maintains or supervises staff in order to ensure inventory for BCO at both Marietta and North Metro campuses are adequate. Other campuses may also require services as needed.

• Coordinates with vendors as required for general tasks associated with the BCO.

• Performs other related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

• Knowledge of mail service operations.

• Knowledge of printing and copying operations.

• Knowledge of the operation of a variety of office machinery and equipment.

• Knowledge of college purchasing and budgeting procedures.

• Skill in the delegation of responsibility and authority.

• Skill in the operation of computers and job related software programs.

• Skill in decision making and problem solving.

• Skill in interpersonal relations and in dealing with the public.

• Skill in oral and written communication.

SUPERVISORY CONTROLS

The Executive Director of Compliance, Reporting and Financial Services assigns work in terms of very general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results.

GUIDELINES

Guidelines include the college personnel handbook, the United States Postal Service DMM-100 Manual, and supervisory instructions. These guidelines require judgment, selection and interpretation in application.

COMPLEXITY/SCOPE OF WORK

• The work consists of varied duties in managing the operations of the business center. The volume of work and strict deadlines contribute to the complexity of the position.

• The purpose of this position is to manage business center operations. Success in this position contributes to the efficiency and effectiveness of college operations.

• Contacts are typically with co-workers, workers in related support units, recipients of direct services, vendors, and members of professional organizations.

• Contacts are typically to motivate or influence persons, to resolve problems, to provide services, or to justify, defend or negotiate matters.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

• The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, stooping, walking, bending or crouching. The employee frequently lifts light and heavy objects, climbs ladders, uses tools or equipment requiring a high degree of dexterity, distinguishes between shades of color, and utilizes the sense of smell.

• The work is typically performed in a business center environment. The employee is exposed to noise, and machinery with moving parts.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

This position has direct supervision over Business Center Operations Clerk (1) and Mail Clerk (1).
