Job description and Person SpecificationJob Title: Business Support OfficerResponsible To:Volta Programme ManagerGrade: Level CPURPOSE OF POSTTo provide effective, comprehensive and confidential administrative support for Operation Volta and (in particular) for the Programme and Project Managers and the Head of Risk and Governance; working to help achieve the Operation Volt outcomes.This is a temporary post for the period 1 January to 31 March 2021.KEY RESPONSIBILITIESTo support Volta project management by: Ensure that Volta meetings are in colleagues diaries, and that deadlines are highlighted for action as needed.Acting as a first point of contact for Operation Volta, monitoring relevant email accounts (eg Volta and Planning and Budgeting) and assisting with prioritisation and following up actions where necessary.Managing outgoing correspondence, drafting emails, presentations and reports to a professional standard including by copy, audio and shorthand as appropriate.Providing secretarial support for meetings; eg by preparing documentation, issuing and responding to meeting invitations, taking minutes.Ensuring documents are filed and archived correctly and securely where necessary on the electronic document records management system.Ensuring that information is handled with a high degree of confidentiality where appropriate, implementing systems to ensure that confidentiality is maintained where needed.Providing support for staff as required; eg in undertaking specific projects, business planning and undertaking research.Day to day coordination of complex cross operation or directorate business planning and reporting.Monitoring progress against project plans including producing progress reports.PERSON SPECIFICATIONCriteriaHow AssessedEducation and QualificationMinimum A level education or equivalent orWork experience at a level demonstrating this level of ability.A relevant professional qualification is desirable.Application form/ certificatesApplication formApplication formWork Experience At least 3 years’ experience in team executive administration.Experience in working on small projectsApplication formApplication form/interviewKnowledge, skills and ability.Good written and verbal communication skills.Excellent interpersonal skills with people at all levels.Excellent organisational skills.Good ability in minute taking.Ability to deal with a demanding workload and to prioritise accordingly.Ability to work as a member of a team and on own initiative.Application form/interviewApplication form/interviewApplication form/interviewApplication form/interviewApplication form/interviewApplication form/interview ................
