HOW TO PREPARE GREENSHEET - Weebly



Greensheet Instructions

1. Go into the loop for the transaction you want to complete a greensheet for. (There are several ways to access the greensheet dashboard on but these instructions begin from inside MyTransactions)

2. Click on [Edit Details].

3. Select [Submit to Greensheet] and a separate window should open with the greensheet form.

4. For each section, fill in the information. Required fields are shown in red with an asterisk. (If both sides of a transaction are in our market center, please select “Both Listing & Sale” in the Type Field) Click [Next Section] to continue.

o In the Price/Commission section, enter the sales price and the percentage or flat amount of commission. The MLS fee gets added OR subtracted from the gross commission depending on which side of the transaction you are on. (Ex: you have the listing side, commission is 3% + 250 on a $200,000 sale price. You would enter, $6250 in the flat commission spot)(If on the buyer side of same deal, you would enter $5750 in the flat commission spot)

o Fill in the Buyer & Seller information.

o Complete the Agent Detail section.

• If you have both sides of the transaction, you will complete column A for the listing side and column B for the sales side.

• If you have one side of a transaction and another associate in our office has the other side, typically, the listing agent should complete the greensheet and fill out column A for their side and column B for the selling agent.

• If you are splitting the commission with an associate in our office, fill out column A for your portion and column B for the other associate’s portion. The unit amounts should total 1 for each side of the transaction.

*You CAN NOT type a name in the AGENT B field. You must click the [Search] button and search for the name and select it once found.

*For split commissions, enter value as decimal, not in percent. For example, agents Jennifer & Jane are splitting 60/40 on the listing side and 50/50 on the buying side. Enter 0.6 for Jennifer and 0.4 for Jane in the listing field; and 0.5 each in the buying field.

• If there is an outside referral please make sure to enter it. We will need the brokerage name, address, and EIN. The easiest way to obtain this is to get a W-9 form from the third party brokerage that the referral will be sent to.

• If YOUR client is paying you a fee, put that figure in the BONUS/ADMIN FEE section

• Please note that KW Cares and KW Family Fund are mandatory fields. If you do not wish to contribute, you may put zero in, but the greensheet will not submit if these fields are left blank.

o Complete the Co-Broker section

5. Before submission to the MCA, click [Save for Later] and then [Submit to MCA]. This will prevent the chance of losing any information in the submission process.

6. Once you click [Submit to MCA] and get the notice of Partially Accepted, your part is complete.

• If you are missing any necessary information, the greensheet will not be accepted, and sections with missing information will be highlighted. Please go back and correct or fill in the missing/incorrect information.

• You will be able to change the submitted greensheet until it is accepted by the MCA. Once it is accepted by the MCA, the status will change to either [Accepted] or [DA Created]. At that point if you need to make any changes, please e-mail it to the MCA.

• Once your file is compliant and a DA is uploaded to your loop, please review it to be sure the numbers are correct, so that any errors can be corrected before closing.

GREENSHEET TROUBLESHOOTING

• I am the listing agent but it cannot find my listing?

The two most common reasons for this would be an incorrect MLS Id in the agent profile on or the “ListHub Enabled” box is unchecked. Contact the MCA to confirm your MLS Id information.

• I can find the listing but the listing is expired?

If it is your listing, you can look up the listing in KWLS and edit the expiration date. If it is another KW agent’s listing you will just select [No] to bypass looking up the listing in KWLS.

• I cannot enter agent B?

You cannot write a name in the box(looks like a magnifying glass). Click the search button beside the box, in the pop window enter the last name or the first name of the agent and search. From the result select the agent.

• I entered all the information but still it is not accepted?

Please make sure you entered a value in KW Cares and the KW Family Fund. They are mandatory fields. Donating is optional, so you may type -0- but the field cannot be blank.

• Can I enter more then one agent for each side?

Yes, just make sure that each side percentage is equal to 1. For example, agents Jennifer & Jane are splitting 60/40 on the listing side and 50/50 on the buying side. Enter 0.6 for Jennifer and 0.4 for Jane in the listing side; and 0.5 each on the buying side.

** Please be sure to then save a pdf copy so you can upload it to Dotloop!
