DRAFT BUSINESS MEETING MINUTES

I. The Executives Club business meeting was called to order at 5:44 p.m. in the Princeton Room.

Members in attendance were Melissa Tafoya, Donna Gotch, Audrey Deterding, Jan Andersen, Eric Aoki, Bob Avery, Mark Bergstrom, Bill Eadie, Pat Ganer, Heather Hundley, Paul Mongeau, Nancy Oft Rose, Patty O’Keefe, Rodney Reynolds, and Bob Stockton.

II. Approval of the February 23, 2019 Minutes with minor revisions.

III. Reports

A. Debut Paper Award

Donna Gotch, Vice President/President Elect, reported that the Club gave $250.00 for the Debut Paper Award. Eleven Interest Group debut papers were considered for the Award. Reviewers included Heather Crandall, Gonzaga University; Eric Aoki, Colorado State University; Audrey Deterding, Missouri University of Science and Technology; Lisa Flores, University of Colorado Boulder; Pat Ganer, Cypress College (retired); and Paul Mongeau, Arizona State University.

B. Membership

One new member joined the Club in 2019: Justin Boren, Santa Clara University. Melissa Tafoya said her "intentions were good" regarding a membership drive but that her assistant messed up the email list; she apologized to Club members. Bob Avery requested an accounting of membership: number of members, those retired, reasons for lack of new members joining, etc. Donna Gotch thanked Sue Pendell for updating our member list, reported the total number of members (57), number of retired members we have (29), and the number who are “active,” who regularly attend the convention, etc. (12). She explained that there hasn't been a membership drive for several years and said that as President she will actively recruit members to join, starting simply with those who have been elected to the Executive Council the past few years and have never been asked to join.

A discussion of dwindling membership and attendance at the social event and business meeting followed. Bob Avery said he feels part of what we are experiencing as a group overall is what is happening in the association. Rodney Reynolds addressed what it takes to be a member (who can join) and suggested perhaps opening it to those who have served as department chairs, etc. Patty O'Keefe said she thinks we need to redefine ourselves and that the low attendance at the social could be a result of a variety of factors. Jan Andersen said she is not concerned if we have low attendance at our business meeting as long as our business is getting done. Someone suggested at some point that we redefine membership after we redefine our purpose.

C. Financial Report

As of 12/31/2019, the Club had assets of $9,100.80 in checking and savings accounts, enough to give $250 for a Debut Paper Award each year for the next 36 years (minus the plaque expense).

IV. Discussion [I have organized the discussion by topic; comments are not in chronological order!]

A. Funding

Patty O’Keefe suggested reviving the silent auction. Pat Ganer suggested that we impose an annual fee to be a member of the Executives Club. At this point, Paul Mongeau passed his hat around the room, and everyone contributed something. [$215 was collected.]

B. Additional support for students/new scholars

Support for the Undergraduate Scholars Research Conference by the Executives Club was mentioned; the Club had a significant part in getting the USRC established but had to abandon our support due to dwindling reserves. Paul Mongeau suggested we offer travel awards to students/young scholars. Rodney Reynolds suggested a diversity and inclusivity award. Mark Bergstrom said that a bigger issue is increasing the diversity of our membership. Eric Aoki suggested an emerging scholar or service award.

C. Social event

Jan Andersen expressed interest in continuing a social event but with a lower cost per person.

V. Action items

A. Rodney Reynolds moved that the Executives Club continue its commitment to the Debut Paper Award; the motion was seconded and approved unanimously.

B. Rodney Reynolds moved that the Executives Club explore a diversity and inclusivity award; the motion was seconded and approved unanimously. One issue is the sustainability of the award. Any members who wish to explore this idea with Rodney are to let him know.

C. Jan Andersen moved that we continue the Club social but that we urge creativity, price sensitivity, and that it doesn’t have to be a dinner but just a social if that works better; the motion was seconded and approved.

VI. Elections for 2020-2021

A. President (1 year)

Donna Gotch was confirmed as the President of the Executives Club.

B. Members asked Donna to serve a second year as President, and as she agreed [thank you, Donna!], there is no Vice-President/President Elect (1 year) for 2020-2021.

C. Secretary/Treasurer (2019-2022)

Sue Pendell will continue to serve in this position.

Additional information:

1. Items for next year’s EC Business Meeting include (1) Ron Lustig’s proposal for the Executives Club to include fund raising, aka development, for WSCA as a Club function, and (2) updated procedures for the Debut Paper Award from Donna Gotch.

2. Following the convention, Heather Hundley reported the following Executives Club convention income and expenses.

 

Income:

Exec Club Social $55 x 16 people = $880

Meeting Donations = $215

TOTAL INCOME = $1095

 

Expenses:

Modified Taco Bar = $640

Bartender $175

Service Charge $160

Tax = $78

Debut Award Plaque = $22

Debut Award $$ = $250

TOTAL EXPENSES = $1325

 

LOSS = $230

 

Note: The bartender fee was not accounted for when calculating the social event cost. The $215 donated at the Execs Club meeting went to pay for the bartender + Debut Award expenses.

 

This is the first year that Execs Club has shown a loss. Here are previous years:

San Diego 2016 $354.33

SLC 2017 $381.05

Santa Clara 2018 $96.96

Seattle 2019 $159.00

Denver 2020 -$230.00

 

3. The Executives Club Constitution, Policies and Procedures Manual, and latest meeting minutes are on the WSCA website () under Interest Groups. Duties, draft correspondence, and job hints of/for the officers are included in the Policies and Procedures Manual.
