They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified.Title: AUTOMOTIVE SERVICE WRITERReports To: Designated SupervisorUW Job Code: 6249UW Job Family: 71 – Service/Maintenance/Security SupervisionSOC Code: 53-6099FLSA: Non-exempt Pay Grade: 18Date: 6-5-06JOB PURPOSE:Coordinate vehicle service and repairs of all Laramie-based university vehicles with sublet vendors, track service and repairs in computerized fleet management software, and track and disseminate associated invoices/paperwork.ESSENTIAL DUTIES AND RESPONSIBILITIES:Coordinate, on a daily basis, with appropriate vendor(s) the repair and servicing of Laramie-based vehicles which includes prioritization, scheduling, and follow-up of repair work, consulting with UW personnel as to repair/service needs and relaying information to vendor, and maintaining accurate vehicle status in the fleet management system.Approve vehicle repairs and inspect vehicles received back to be sure repairs specified are completed and of good quality.Monitor and utilize warranties as appropriate; schedule vehicles for dealer recall notice repairs.Coordinate pickup and delivery of vehicles with vendor.Responsible for the timely recording of all vendor invoices and reconciliation of discrepancies; inventory management, and inspection of new vehicles.Assist Car Pool by monitor and record fuel tank inventories daily; supervise employees in Car Wash area.SUPPLEMENTAL FUNCTIONS: Perform miscellaneous job-related duties as assigned.Attend and participate in trainings and other professional development activity.Participate in performance-related goal setting and achievement to meet personal and organizational goals and PETENCIES:Collaboration Technical/Professional Knowledge Integrity Work TempoQuality OrientationInitiative MINIMUM QUALIFICATIONS:Education: Vocational School, On-the-Job Experience, or Associate’s degreeExperience: 1 year work-related experienceRequired education, licensure, certification, registration or other requirement: Valid Driver's License KNOWLEDGE, SKILLS, AND ABILITIES:Knowledge of:Planning and scheduling techniques. Cost estimating and fiscal management principles and procedures. Inventory management. Federal, state, and local codes and ordinances pertinent to automotive and maintenance area. Customer services standards and procedures. Automotive trade repairs and maintenance. Manufacturer warranties and their stipulations. Fleet management software systems and work order processing.? Skills and Abilities to:Supervise and train employees, including organizing, prioritizing, and scheduling work assignments. Foster a cooperative work environment. Organize resources and establishing priorities. Work effectively with a wide range of constituencies in a diverse community. Communicate effectively, both orally and in writing. Develop and/or maintain recordkeeping systems and procedures. Coordinate quality assurance programs in automotive area. Use Microsoft applications (Word, Excel). Coordinate and direct the repair/servicing of UW vehicles in a time-sensitive fashion. Inspect vehicles received back from vendor(s) for quality control. Interpret appropriate UW University Regulations. Maintain accurate records and provide necessary reports. Meet appropriate deadlines in the processing of invoices and work orders. Prioritize work assignments to ensure Fleet Vehicles are ready for customers. WORKING CONDITIONS:Shop/garage environment and vehicles; regularly exposed to outdoor conditions, noise, fumes, vibration and electrical, mechanical, chemical, and fire hazards; occasionally subject to confined spaces, poor lighting, and elevated heights; regular travel to repair or transport disabled vehicles.??Authorized by Classification/Compensation, Human ResourcesEmployees may be requested to perform job-related tasks other than those specifically presented in this description.
