Welcome to the Virtual Drive – Administrator User Guide! This document will walk you through the steps involved for setting up a Virtual Drive for an organization.

LOGIN

Login as the Virtual Drive Administrator. Go to vad., click on Charity Admin;

Enter your Username, Password, and Login Code. Click on Login.

CREATE A VIRTUAL DRIVE

Step 1. Click on Create a New Drive.

Step 2. Enter information for each of the fields listed under Create Your Virtual Drive. (Note: Do not include any spaces or special characters next to the Company Code.)

You can also change $1 helps us raised calculation here. For instance $1 helps you raised 3 meals, so you would enter “3” and “Meals”.

Click on Create Virtual Drive.

Step 3. Your new Virtual Drive will be displayed under your Return to All Drives. Click on this icon ([pic]) to activate your drive, once you get the successful thank you message click on the back button or click on the List All Drives like (see block 3a).

Step 4. Click on Edit Flash Icon ([pic]).

Step 5. The screen you see below is the Drive Edit screen. **You must first click the update button ([pic]) to begin your edit, even if you don’t plan to edit, you must click on this button. Complete the necessary changes and click the update button again. After you are finished you can preview in flash and html.

A. Name of your Drive. (Change or enter the name of your drive and click the ([pic]) icon.)

B. Sponsor Logo area

1. Link to your sponsor’s website

2. Sponsor logo (click on the logo to change out the logo). A pop-up will open up, choose your new logo by selecting from the list on the right hand side and click the update button.

3. Move the logo up and down or left to right by using the x and y coordinates.

4. Click the update icon ([pic]) to see the changes.

C. Drive Text and Thank You Text: You have the option to change the Drive Text, Thank You Text and Disclaimer Text for each drive. Click the ([pic]) to see the changes.

D. To change out the images simply click on each image and select a new image by choosing from the list and click update in the pop-up window. To see the changes you have made click the ([pic]) button.

E. This allows you to change the color scheme of your drive. Click this icon [pic] and select a color to change both the inner and outer shell colors. Click the ([pic]) to see the changes.

F. Change the Support Text click the ([pic]) to see the change:

G. You can change the header description of each column (ie. Retail Price to Retail Value.) Click the ([pic]) to see the changes.

H. This area allows you to change each item description, price, retail price, uom and x and y coordinates the item. Click the ([pic]) to see the changes.

I. Update, View in Flash and Html.

VIEW REPORTS

Step 1. Click on View all my donations to see all the donations. Click on the drive name (see 1a) to see donations for that particular drive. [pic]

The next screen will pull up a report of each donation pledged to that Virtual Drive.

VIEW/EDIT DETAILS

Step 1. Click on Edit Drive Icon ([pic]) next to the appropriate drive.

Step 2. Make all the necessary changes. Click on edit to save the changes.

COPY A DRIVE

Step 1. You must first create a drive before you can copy a drive. Click on Copy Drive Icon ([pic]) next to the appropriate drive.

Step 2. Choose a drive to copy from : and then choose a drive to copy to : and click the Copy drive icon (see 2a.[pic]).

UPLOAD LOGO(S)

Step 1. Click on Upload Logos Icon ([pic]) next to the appropriate drive.

Step 2. Click on Browse… button, you can upload up to ten logos at a time. Once the Browse… button is clicked you’ll see a pop-up window (see 2a.)

Step 2a. Choose your logo by pointing to the right directory. Once you are in the directory where the logo is located click on the file name and then click on the Open button.

Step 3. Click on the upload button to finish the uploading of the logo.

UPLOAD ITEM(S) IMAGES

Step 1. Click on Upload Items Images Icon ([pic]) next to the appropriate drive.

Step 2. Click on Browse… button, you can upload up to ten images at a time. Once the Browse… button is clicked you’ll see a pop-up window (see 2a.)

Step 2a. Choose your image(s) by pointing to the right directory on pop up window. Once you are in the directory where the image(s) is/are located click on the file name and then click on the Open button.

Step 3. Click on the upload button to finish the uploading of the image(s).

EXPORT DONATIONS TO AN EXCEL SPREADSHEET

Step 1. Click on Export 2 Excel Icon ([pic]) button.

Step 2. Your browser will automatically download this Excel. Click on Open

EMAIL DRIVE INFO TO COMPANY ADMINISTRATOR

Step 1. Click on Email Drive Info Icon ([pic]) next to the appropriate drive.

Step 2. The To: From: and Subject fields are pre-filled, you can change it by overwriting it. The memo field is already filled in as well you may add more text to it but make sure that you do not erase the essential text that is already there. Click the Send email button. (see box 2a)

DELETE A DRIVE

Step 1. Click on Delete Drive Icon ([pic]) next to the appropriate drive.

PREVIEW A DRIVE

Step 1. If your drive type is Game, Click on Preview Icon [pic];

If your drive type is Normal, Click on Preview Icon [pic]

CREATE NEW RECIPIENTS

Step 1. Click on Create New Recipients ([pic]) on the right.

Step 2. Click on the Add a recipient icon ([pic]) the on the left.

Step 3. Click on the drop down menu (see box 3) decide which drive you want to add recipients to. Add your recipients by typing them in, to add more than 1, separate them by a colon (example. Recipient1: Recipient2: Recipient3) and then click the Insert Recipient Icon (see box 4)

TO DELETE A RECIPIENT

Step 1. Click on Create New Recipients ([pic]) on the right.

Step 2. Click on Delete icon ([pic]) next to the drive you want to delete.

TO EDIT A RECIPIENT

Step 1. Click on Create New Recipients ([pic]) .

Step 2. Click on Edit Recipient icon ([pic]) next to the drive you want to edit.

Step 3. Make the change and click on the update button.

RECIPIENT SETUP STRIPE ACCOUNT

Step 1: Create a Stripe Account

Go to , Click on “Sign Up” button, Enter Your Email Address and password. Click on “Create Your Stripe Account”

After above step, you will be able to see below page:

Now you have a Stripe Account Setup in “Test Mode”.

Step 2: Activate your Stripe Account

On above screen, slide the button from “Test” to “Live”. You will get a popup window.

Click on “Activate Account” button from above popup window.

System will lead you to a page to active your account. Please fill out a form requesting some basic information about your product, your business, and your own personal relationship to your business.

Note: When activated account, Stripe require the last four digits of an individual's SSN, but it's just so Stripe can verify that the person filling out the application is allowed to sign the organization up for an account. This person should be someone that the organization has approved to setup the account; for some context, this is a legal requirement since we setup financial accounts for the organization behind the scenes. You can provide an EIN alongside this SSN, so all payments are seen as for the organization, and not you individually.

Click on “Activate account” button below this form. Your account is now ACTIVATE.

CONNECT STRIPE ACCOUNT

Go to vad. and click on “Register Stripe Account”;

System leads you to register page. Select the recipient name from Organization drop down list, and click on “Connect with Stripe” button.

For Recipient, there are 2 scenarios:

1) If you already have a Stripe Account, all you need to do is click on “Sign in” on the right corner. See 1.

2) If you haven’t setup a Stripe Account yet, you will need to fill out the form display below to create an account. See 2.

Note: you will be able to see Recipient show up on your drive’s check out page after this recipient connected stripe account.

TO CHANGE YOUR PASSWORD

Step 1. Click on Change My Password ([pic]) on the right.

Step 2. Enter your username, old password, new password and your new password again and click on the Change my password icon.
