CHANGES IN THE LOTTERY ORDER for the 4 and 3/6 person apartments

(WHAT DO I NEED TO DO TO PARTICIPATE IN THE LOTTERIES?(

( You must be eligible to submit an application.

All students (those who are classified as sophomores, juniors and seniors for the next academic year) are eligible to submit Lottery applications. Students taking part in Off-Campus Study for the Fall semester 2006-2007 or the entire 2006-2007 academic year are ineligible for the 2006-2007 Lottery.

( You must pay a registration deposit.

In order to participate in the Housing Lottery all accounts must be paid in full including an Advance Registration Deposit of $350. Payment is due by March 15, 2006 to the accounting office. Non-payment excludes you from entering the Lottery and/or voids any previous assignment.

( Lottery information will be placed in your room during Spring Break.

( You may pick up applications in the Office of Residential Life.

Lottery information and applications will be available at the Office of Residential Life, Gund Commons, March 20, 2006.

( You must supply accurate information on all materials.

Students whose applications include inaccurate information will not be allowed to participate in the Lotteries and will be assigned only after all on-time applications have been through the Lotteries. Official class standing for the Lotteries is determined by the Registrar. Class standing as of March 24, 2006 is the only acceptable information for purposes of the room drawings.

(WHERE CAN I FIND OUT HOW MANY POINTS I HAVE?(

Class Status Points will be posted the week of March 20 in the Office of Residential Life. Please check to insure this is an accurate accounting of your points. Any discrepancy should be reported immediately to Residential Life (by March 24). There can be no changes after this date.

“IS THERE A LOTTERY POINT DEDUCTION FOR SOPHOMORES LIVING IN DIVISION?”

A student who lives in division housing (Archon, fraternity, Peeps) for his sophomore year will lose three points each time he or she enters the lottery after the sophomore year (3 points total). Additionally, any sophomore division housing group member who resides in a space that his or her group had the opportunity to fill, whether he or she is placed there by the pre-lottery process, selects the room in the lottery, trades rooms with another student, is placed in the room by the Office of Residential Life, selects the room in the lottery process after the group has temporarily lost its division, or is found to reside in the room without the prior knowledge of the Office of Residential Life will lose three housing points in future housing lotteries (three points total.) (Student Housing and Grounds Policy, 2005)

(WHAT ARE THE SPECIAL OPTIONS THAT REQUIRE EARLY APPLICATIONS?(

If you are a member of a Fraternity, Peeps, Archons, or wish to live in Special Interest Group Housing, you may do so provided you are assigned to one of these divisions/locations, and you sign the appropriate Group Housing List. Once assigned a space in one of these locations, you forfeit your right and are ineligible to enter the Lottery process.

Fraternities/Divisions: Division Housing sign-up night will be held on Wednesday, March 22, 2006. All students signing into division spaces will need to be present to confirm/sign their room selection. Each group will have a pre-determined time for sign-ups – check with your Division officers for exact time for sign-ups.

Special Interest Groups: The Housing Liaison for all other Special Interest Groups is responsible for submitting the Group Housing List to the Office of Residential Life by 12 Noon on Wednesday, March 22, 2006 .

( Group Housing Lists must have the signature of the student, or the student(s proxy.

Late or incomplete forms will not be accepted. (

(WHAT IS THE ORDER OF THE LOTTERIES?(

Residential Life has scheduled the room Lotteries in response to the trends and opinions of students over the past several years. The drawings start with the Singles, (Farr Hall, Bexley & Caples 2 Persons), then move on to the 4 person apartments, the third is the 3 person and 6 person rooms/apartments, and then the process finishes with block housing and double rooms. Each student may enter as many Lotteries as they wish, but, once a student has selected a room they are ineligible for other drawings.

The order of the Lotteries is:

(WHAT KIND OF HOUSING IS OFFERED IN EACH DRAWING?(

LOTTERY 1 FACTS: Singles, Farr Hall, 2 Person Bexley & Caples Suites

Lottery 1 is different from the other Lotteries and has some exceptions. When assigning Singles, we also assign Single-Suites in Caples, Two-Person Apartments in Bexley, and Farr, and Farr Hall Doubles. Students with the higher lottery number may (pull( another student into the Farr Doubles or Apartments, Caples Suites, or 2 person Bexley Apartments provided the Student is also entered in the Singles Lottery.

Bexley 2 two person apartments (1 female, 1 male)

Caples 10 two person suites (5 female, 5 male), some are group spaces

Farr Hall 20 singles with adjoining bath (11 female, 10 male)

2 two person apartments (1 female, 1 male)

2 double rooms (1 female, 1 male)

Other Singles Bushnell, Caples, Leonard, Manning, Mather, Old Kenyon, Watson

Actual rooms available at each lottery depend on pre-lottery assignments.

LOTTERIES 2 & 3 FACTS: Apartments/Suites/Triples NOTICE: CHANGE IN ORDER

Four-person apartments are available in Bexley, New Apartments, Wilson Apartments and the Taft Cottages. All students wishing to select a 6 person suite, apartment, or triple together must be listed on the same Lottery Application. There are three-person apartments and suites available in Bexley and Caples and triple rooms available in Hanna. There are six-person apartments/suites available in Acland, Caples and New Apartments.

Actual rooms available at each lottery depend on pre-lottery assignments.

LOTTERY 2: 4-Person Apartments

Bexley 3 apartments with 4 singles

New Apartments 14 apartments with 2 doubles

10 apartments with 4 singles

Wilson Apartments 1 apartment with 2 singles and 1 double

Taft Cottages 10 apartments with 2 singles and 1 double

LOTTERY 3: 3-Person Apartments , 6-Person Apartments, Suites and Triples

Students may choose to enter this Lottery as two groups of three-persons. By doing so, you are automatically entered as part of a six person group and as two groups of three, i.e., receive a number as a group of 3 and a number as a group of 6.

Caples 4 suites with 1 single and 1 double

Hanna 4 triples

Acland 7 apartments with 3 doubles

Caples 8 suites with 2 doubles and 2 singles, some are group spaces

New Apartments 4 apartments with 6 singles

Please note: Apartments are non-gender specific resulting in men and women having an equal chance at all apartments based on seniority points.

Co-ed Apartment housing (Aclands, Bexley, New, Tafts and Wilsons) was implemented in the 2005-2006 Lottery. Groups may sign up for 3-person, 4-person and 6-person apartment lotteries, regardless of sex. Coed apartments are permitted but double rooms within apartments must be same- sex.

LOTTERY 4 FACTS: Block Housing, Double, & Open Rooms

Students may choose to enter this Lottery as a (Block( of three roommate pairs. By doing so, you are automatically entered as part of a six person group and as an individual group of two. (Blocks( are six students (three pairs of two) who wish to live in close proximity to one another. As a (Block( you would live on the same floor in a designated block area, for example: Bushnell, Manning, Mather (other block locations may be available based on pre-lottery assignments). Coed (Blocks( choose on the first night of the (Block( Lottery, and can only choose blocks which are coded as coed blocks. Spaces remaining after all blocks have been eliminated remain the same gender throughout the entire lottery process and cannot be changed. A block is eliminated when it(s selected or if a roommate pair, who is not part of a block, selects one of the rooms in a block. An additional room cannot be added to reestablish the previous block or create a new block.

Students wishing to enter the double room lottery who want to be paired together must indicate this on the Lottery Application.

Students who do not select a roommate on the Lottery application will be ineligible for the Lottery and will be assigned a roommate and a room during the summer.

PLEASE NOTE: The number of rooms available, room type and building along with associated Lottery numbers will be posted at Peirce and the Office of Residential Life 12-24 hours before the corresponding Lottery.

(WHAT TYPE OF ROOM DOES MY FINANCIAL AID PAY FOR?(

If you are receiving need based financial aid please be aware that your aid will only be applied to a standard double room charge. If you elect to live in a more expensive room, you will be responsible for the difference between that rate and the standard double charge.

“CAN STUDENTS OF DIFFERENT CLASS YEARS LIVE TOGETHER?”

Rising Seniors, Juniors and Sophomores may select to live together in the Lottery process. Your Lottery number is the sum of the students choosing to live together. For example: in the 3-Person Lottery, 2 Seniors and a Junior would have 32 points, while 2 Juniors and a Senior would have 28 points.

(HOW DO I GET ASSIGNED A LOTTERY NUMBER AND WHERE CAN I FIND IT?(

Lottery numbers will be assigned at random by computer to determine priority for each student or group of students with the same number of points. Whenever possible, numbers for each drawing will be posted in Peirce and the Office of Residential Life approximately 12-24 hours prior to the actual drawing. Lottery times are on the back cover of this booklet.

(WHAT IF I CAN(T MAKE IT TO THE LOTTERY?(

Persons who are not present (no shows) at the time their Lottery numbers are called will forfeit their turn and will be placed at the bottom of the drawing order for their particular time slot. Students unable to attend the Lotteries in person may send a proxy to select for them. Proxies must have written authorization from the students for whom they are choosing rooms. Residential Life does not accept responsibility for room selection or (no show( by the proxy.

(WHAT HAPPENS IF I AM NOT ABLE TO SELECT A ROOM IN THE LOTTERY?(

There will be some students who will not have the opportunity to choose a room at the Housing Lotteries. Placement of unassigned students will begin in July as vacancies become available. It is important that each student who is not housed complete a roommate preference form before leaving Kenyon for the summer. Every effort will be made to accommodate roommate requests, but we cannot guarantee that you will be placed with your preferred roommate. ALL STUDENTS WILL HAVE A ROOM ASSIGNMENT FOR THE FALL SEMESTER.

(I HAVE READ THIS DOCUMENT AND STILL HAVE MORE QUESTIONS(

Students must move into the space chosen in the Lottery or a room change may be submitted May 1 to August 15. You must complete a Room Change form and return it to the Office of Residential Life. When you return in the fall, you will be issued the key to the room which is on file as your address - there will be no key switches at fall check-in. Be sure that rooms in Apartments and Suites are assigned correctly at lottery. Failure to comply (i.e., if you move without permission) will result in the loss of a point in the next year's lottery.

(WHAT IS THE LOTTERY?(

The Lottery is the process by which our current students select rooms for the next academic year. Students select their own roommates, suite-mates and apartment-mates, decide which drawings to enter and actually select their room from the available list at each drawing.

(WHAT ARE CLASS STATUS POINTS AND HOW DO THEY WORK?(

Priority for rooms is based on a seniority system. Students are awarded points for class year standing, as determined by the Registrar(s Office. Students scheduled to graduate in December are considered rising Seniors. Points are as follows:

12 points Rising Senior ((07)

08 points Rising Junior ((08)

04 points Rising Sophomore ((09)

(WHAT IS THE LOTTERY LIKE?(

Once the Office of Residential Life has collected all the applications for a given Lottery, the data is entered into the Lottery computer system to sort students/groups into the various Lotteries in which they have chosen to participate. Approximately 12-24 hours prior to each Lottery, the list of drawing numbers is posted in Peirce and in the Office of Residential Life.

At the Lottery, floor plans will be available to assist students in their selection process. All available rooms will be posted for that specific drawing. Residential Life staff will then call each group by Lottery number to the administration table to select a room. Once a room is selected, it will be crossed off the list. Residential Life staff will continue to call numbers in order until all available rooms are selected or until all groups have selected (whichever occurs first). Any students who have not selected a room can enter the next available Lottery and/or be assigned over the summer.

(CAN I SMOKE IN MY ROOM OR APARTMENT?(

All residence halls and apartments are SMOKE FREE, and therefore smoking is prohibited.

(HOW MANY LOTTERIES CAN I ENTER?(

Students may enter any or all of the Lotteries listed. This is done by completing all Lottery Applications and submitting them by their due date. The probability of obtaining a particular kind of housing is limited by a student(s priority number and the number of spaces available. Once a student is assigned a room, they are ineligible to participate in the remaining Lotteries. Students receive a new random lottery number for each drawing. NOTE: Late applications will not be accepted. Hand in your application early!

(I DON(T HAVE A ROOMMATE, HOW DO I FIND SOMEONE?(

In order to enter a Lottery, you must have the exact number of students required for that specific Lottery (e.g. 3 students for 3 person apartment, 2 students for a double, etc.). If you are looking for a roommate, Residential Life has a roommate matching process that could help you. Simply complete and return the Roommate Matching Form, available in the Office of Residential Life. Then, look at the forms completed by other students and see if there is someone you could live with. Residential Life will not randomly pair students as roommates prior to the Lottery. It is the responsibility of each student to find someone to enter the Lottery with.

(I SELECTED A ROOM AND NOW MY ROOMMATE IS WITHDRAWING(

Some students decide to transfer, withdraw, take a year off, etc. and not return to Kenyon. If your roommate is one of those students the Office of Residential Life will reassign the vacancy over the summer or during the academic year as needed. It is strongly recommended that you select a room/suite/apartment-mate who will be returning in the Fall of 2006. If your roommate is going abroad second semester, do not assume you will be without a roommate. The Office of Residential Life reserves the right to assign another student to that space if needed. The Office of Residential Life attempts to contact students over the summer to make them aware of new roommates and reassignments but we are not obligated to do so.
