Job Description

POSITION: Receptionist

PURPOSE: The Receptionist is responsible for answering a multi-line phone, the organization, coordination, and efficient daily operation of the Child Care Resources Weller office.

NATURE & SCOPE: This person is responsible for providing excellent customer service and insuring that the daily functions of the Weller office work for staff and external customers.

Department: Business Services Reports to: Operations Administrator Supervision Responsibilities: None

RESPONSIBILITIES: Specific responsibilities of the Receptionist include, but may not be limited to:

Insure the office is open for business between the hours of 8:30 am to 5:00 pm, Monday through Friday

Answer multi-line phone and greet walk-in guests, assist them with general information and direct them to the appropriate staff member or department

Maintain conference room calendars Maintain the CCR general email account, reviewing emails as they come in and

forwarding them on to the appropriate department or staff person. Schedule Kitchen Duty, and send out weekly reminders to that week's crew Maintain front desk policies and ensure that the Front Desk Resources Notebook is kept

up to date Enter training surveys into our CCR One database for our Professional Development

team Take photos of each new staff person and create staff ID badges Shared equipment inventory and check-out including laptops & projectors. Basic

trouble shooting (Connecting to Wi-Fi, projectors...etc.) Process all incoming mail according to CCR's internal controls. Post and prepare Family

Services outgoing mail. Handle all bulk mail training and regulations, maintain bulk mail binder Coordinate and schedule front desk back-up coverage for meetings and vacations Research, quote and order equipment/supplies; Kitchen supplies, water coolers, meeting and general office supplies. Inventory, organize and restock shared/public work areas, front lobby, conference rooms. Order general printed materials (envelopes, letterhead, business cards, etc.) Ensure that all invoices for supplies are submitted in a timely manner to prevent late payments.

Maintain and reconcile cash payments, and all Agency Credit Card purchases and transactions.

Follow all office safety and security procedures Support the Accounting team by check matching and mailing weekly AP, processing

incoming cash and check payments, submitting weekly check deposits Monthly programming for the VoIP system, scheduling meeting and holiday closures Office Machines: Copiers, postage, fax, laminators ? research, maintain maintenance

contracts, troubleshoot, service, order supplies, monthly usage reporting Annual asset inventory of each office

MINIMUM REQUIREMENTS/QUALIFICATIONS: Minimum requirements include at least 2 years relevant experience. An AA or above preferred. Additional expectations include:

Strong emotional intelligence Strong time management and organizational skills Ability to multi-task, prioritize and meet deadlines Ability to set and follow guidelines relating to appointment scheduling Punctuality, be on time and ready to start taking calls and greeting guests at 8:30 a.m. Ability to create a warm and welcoming office environment Excellent office administration skills Knowledge of computer software including Microsoft Word, Excel, Access, Outlook,

PowerPoint and Publisher Excellent written and verbal communication skills Critical thinking skills Excellent external and internal customer service skills Demonstrated commitment to diversity, cultural relevancy, and inclusion, is required Excellent listening skills with the ability to give and receive feedback Ability to successfully manage a multi-line phone system, answering all calls within three

rings Operate and troubleshoot office equipment including fax machine, postage meter and

copy machines Proven ability to work in a team environment and set appropriate boundaries when

necessary Ability to work independently

Salary and Benefits: Range $31,304 - $38,648 Salary depends on ability to meet or exceed the above desired employment criteria.
