Insurance Guidelines when Renting Passenger Vehicles

for Official New York State Business

The Citibank Visa Business Auto Rental CDW Program reimburses you for the repair or replacement of covered losses to a rental vehicle (other than a Pickup Truck or other excluded vehicle) while it is your responsibility and while it is being used for business purposes. Only covered vehicle rental periods that neither exceed nor are intended to exceed thirty-one (31) consecutive days are covered (subject to the conditions contained in the Benefits Package). Therefore, the *Citibank Travel Card SHOULD BE USED for ALL rentals, regardless of whether the rental is a contract or non-contract rental and in state or out-of-state. (For further information, visit the Citibank Visa corporate/government website at: Visa USA | Corporate & Government | Auto Rental Collision Damage Waiver – Business).

Additional insurance should not be purchased if the Citibank Visa is used or if the vehicle is rented under the State contract. The only exceptions are the rental of Pickup Trucks, Cargo Vans or Passenger Vans with a capacity of greater than eight (8) people.

Rented Vehicles: The rental company will hold the renter responsible for all damages to the rental vehicle whether the vehicle is rented under the NYS contract or not.

In the event of an accident:

• If using the Citibank Travel Card, Citibank provides coverage for the rental vehicle (subject to the conditions contained in the Benefits package). The traveler should contact Citibank (Welcome to ) to file a claim.

• If the travel card cannot be used or if you are renting a pickup truck or passenger van rated for nine (9) or more people, OGS recommends that travelers purchase the damage waiver protection (sometimes referred to as CDW (Collision Damage Waiver) or LDW (Loss Damage Waiver)). However, renters should first check with their Agency Travel Coordinator or Finance Unit for the reimbursement policy for this expense. However, if you do not purchase the CDW and the Citibank Travel Card cannot be used, the Authorized User entity will be liable for any claims.

Additional information about this and other benefits of using the Travel Card go to the following URL:

* OR an agency’s Centralized Travel Account (CTA), (the vehicle is rented in the name of a valid agency employee and the employee shows their valid agency employee ID card.)
