BASICS OF PROCESSING

The final stages following cataloging and classification in preparing a book for circulation is called processing. The steps in processing as outlined on the processing slip and include preparing and affixing spine label and bar code label, adding a protective cover, attaching the date due slip and adding ownership stamp prior to final proof and shelving.

Spine Label

After spine labels are printed on label stock and before affixing to a particular item it is recommended to first double-check the call number and other information.

In placing the spine label standard placement is generally on the spine and 2.5 cm from the bottom of the book and the first three characters of a call number must be visible on the spine for the orientation to be appropriate. If an item is too thin as is the case with most children’s books, then it becomes necessary for the book to be placed on the front lower left hand corner at the same 2.5 cm distance from spine and bottom. Remember too that proper positioning includes having the labels straight such that when placed on the shelf things are properly aligned.

Once labels are positioned on the items they are rubbed down with a bone folder to get good adhesion of the label to the cover. Books (especially hardbacks without dust jacket) which will not be covered should have some sort of label cover. While it is possible to purchase regular spine label covers, we have found that often they do no adhere as well as 845 Book Tape. Reference recommended library supplies list.

Barcode Label

The use of barcodes helps to automate the process of tracking books, periodicals, music, movies and other lending materials. Barcodes are associated with item records in library management software and can hold critical information such as item number, call number, copy and volume numbers as well as associated codes used in the library. All this information can be held in one label and any of the information can be changed or updated without the need to re-label the collection.

While there are various options for the placement of the barcode, it is recommended that it be placed on the back of the book approximately on the top right hand corner of the back of the book and approximately 1 cm from the top edge. Do not overlap onto spine crease and try to avoid obscuring important text. It is recommended that if possible to cover the publisher UPC code but not the ISBN information.

Additional Labels

It is recommended that Reference items be marked in some way (perhaps with a red circular label) to indicate that they are to be used in the library. Other items in the collection including other language resources may also need some distinctive label to help in shelving.

Protective Cover

There various options for covering books depending on the type of resource including hardback with dust jacket, hardback without dust jacket, paperback (regular) and children and youth paperback as well as cases for multimedia. Each requires a specific type of protective cover or case. Many of the products come with specific instructions on application procedures.

Date Due Slip

While date due slips can be purchased from a library supplier in the case of libraries located in countries where English is not the native language, it becomes necessary to have a date due slip which is in dual languages.

Please reference Date Due slip for an example and formatting. General size is 7.5 x 12.5 cm and they can be printed out four on a page. It may be necessary to create a slightly smaller slip for children’s board books and smaller items.

Recommended placement of date due slips:

Books – position on the inside back cover. If there is writing or some other important information on the inside cover then it is also possible to place the date due slip on the adjacent page.

DVD/Videos – inside the case on the left hand side rather than under the plastic outside cover where it becomes harder to reach plus the ink from the slip tends to come off on plastic.

Children’s Board Books/CDs - it is recommended to purchase plastic pockets on the outside back cover of the book and place the date due slip inside but folded again to keep the ink from coming off on the plastic. If you can try to find a local source for a suitable plastic pocket that is preferred as most pockets purchased from a library supplier are quite expensive.

Ownership Stamp

It is important to include an stamp of ownership, which could include the library logo along with the name of the library as well as the address and contact information in both English and the local language. The potential disadvantage of including contact information would be if the library is relocated at some point. Contact information can also be included on the date due slip which is provides greater flexibility.

It is recommended that the placement of the stamp be on the front inside cover which would be more difficult to remove than if it were placed on the title or other page.
