Debbie welcomed everyone to the Old Coulsdon Cupcakes WI Annual General Meeting. Guests were Ann and Mary from Chaldon WI who were our Tellers and Sylvia Bolton and Sue Sargent, our WI Advisers who were present to oversee everything.
Debbie explained the normal housekeeping and then spoke about other business items:
Project Shoebox – Debbie thanked everyone for their generous support to help women in refuge this Christmas. The donations will be taken to a local drop off point.
Friends of Grange Park – Debbie advised that after the fantastic success of our Birthday Party, a donation was made to the Friends of Grange Park Fundraising from the money raised by our raffle. This had been agreed by the Committee. Members clapped to show their approval.
Old Coulsdon Christmas Tree Festival – Debbie announced that OCC will have a Christmas Tree (possibly pink!) in the first ever Christmas Tree Festival. The trees will be on display in St John’s Church between Saturday 28 November and Sunday 6 December. Further details were on the noticeboard.
Debbie spoke about her attendance at The Surrey Federation Autumn meeting at Dorking Halls at the personal invitation of the Surrey Chairlady, Beryl Dunham. As the President of one of the new groups, she was also invited on to the stage during a little sing along!
Debbie reported she had been very honoured to have laid a wreath on behalf of OCC at the Remembrance Day Service.
Cupcakes Christmas Jolly on 4 December – Debbie asked all to ensure they have sent through their menu choices by email.
Theatre Group – a couple of members, Shirley and Gail, have discovered a mutual love of the theatre and they have suggested running a ‘Theatre Group’ between them. A sign up sheet for interest in this group is available.
Debbie pointed out that sometimes the OCC newsletter and emails may find their way into the spam folder and advised all to prevent this by adding occwi@ to the address book.
Financial Statement
Sonia announced that an Independent Financial Examiner for the coming year would be appointed at a later date. She presented the Financial Statement:
Bank balance to date £4338.17
2016 Membership will be £37.50
Breakdown: £18.00 - OCC, £8.40 – Surrey Federation, £11.10 – National Federation.
There is also a Treasurer’s recommendation, approved by the Committee, to increase wine tokens by 50p to £2.50 each.
Annual Statement
Kim provided the Annual Report of OCC WI’s first year. She had prepared an excellent powerpoint presentation showing a snapshot of a fun-filled and busy first year -from its formation and birth in 2014 and including meeting activities, social outings, the various cupcake clubs, representing OCC at Buckingham Palace, community events, charity donation and fundraising.
President’s address
Debbie expressed grateful and emotional thanks to:
o The founding members for letting her be the first Cupcake President
o All the members for joining OCC WI
o All the Committee members for their hard work
o All the members who run the special interest groups –
Dawn, Lyn, Jan, Anita,
o Member Marion who organised a walk around the City of London
o Member Sally who invited OCC to write articles for the OCRA newsletter
o Everyone who has volunteered to help at the meetings
o The WI Advisors for their help and guidance
o The OCWI Day and Chaldon WI for their friendship and support
Debbie then proposed the adoption of the Annual Report and reminded everyone to feel free to question decisions and make suggestions.
Agreement of the Annual Report was shown by the raising of hands.
Election of the President
Sylvia Bolton explained the procedure. All Committee members were invited to stand before the members. Everyone wrote down their nomination and slips were collected by the Tellers. There were two nominations – Rachel Addy and Debbie Baxter. Rachel gratefully declined and Debbie accepted the invitation to become President for the coming year. Congratulations were expressed.
Sylvia took the opportunity to announce forthcoming WI Federation social events – Christmas Show, Burns Night Supper, ten pin bowling and a weekend of seven courses planned at Denman in July 2016. She also advised that the November WI Life contains the new resolutions.
The business part of the evening then closed. All enjoyed a time to chat and have refreshments.
The meeting resumed with a couple of notices from Debbie –
Coulsdon Manor Rotary Club – OCC has been asked to help with the Santa Sleigh collections. Anyone able to assist please refer to the date chart.
On Saturday 21 November at Cameron Hall, Coulsdon there will be a coffee morning to raise funds for a local Cancer Research UK group. Please support one of our members.
We then enjoyed a very interesting and informative talk on photography by Dr Vip Desilva, a colleague of Rachel Addy.
He showed examples of photographs that he and his wife Colette had taken and what was good/bad about them. We were given advice on how to form a picture, framing, lighting, blurring of pictures, shutter speed, sensor sensitivity to light – so we will look forward to seeing some wonderful photos of our next year at Old Coulsdon Cupcakes WI!
Rachel listed the volunteers for the December meeting.
Debbie reminded all that there were WI bags and diaries available.
The evening closed.

There were 55 members, 14 new guests, 5 return guests and 4 official guests making a total of 78 present.
Next meeting
The next meeting will be on Tuesday 8 December.
