ANNUAL CURRICULUM REVIEWGoal(s)To ensure that:all College programs’ curricula are compliant with Ministry and College requirements;all College programs’ curricula are current and consistent with other offerings ; andcurriculum documentation in the College Student Information System, GeneSIS, accurately reflects the updated programs’ curricula.ProcessThe Annual Curriculum Review process is outlined in Figure 1. Subsequent to Curriculum Rollover (copying forward to the next academic year all Programs, Program Offerings and Narrative Information) GeneSIS is open for changes.Departments are provided with a report of the current program curriculum (CAL999). This serves as the starting point.During the Fall semester, input is sought from various stakeholders regarding possible changes necessary to the curriculum to keep it current with the employment field. Stakeholder groups from whom input is sought include:Program Advisory CommitteeProgram Council (current, and minutes from past Program Council meetings)Survey results (e.g., Course Student Feedback; Key Performance Indicators)Other sources such as recent internal or external reports related specifically to the field.Program Chair and faculty members meet to review this information and Ministry and College requirements. They identify changes that are needed to the:program curriculum (i.e., program of study, courses, course descriptions, pre- or corequisites, equivalents), and/orprogram narrative information (i.e., program description, employment opportunities, admission requirements, fees and student expenses),These changes are then entered into GeneSIS by the Department. Once completed the Curriculum Administrator (CA) is to be notified by the department.The CA is then to order final CAL999 and Impact Reports. The Chair and the program coordinator review the changes made in GeneSIS to ensure accuracy; corrections are identified on the reports and are made on GeneSIS as required.Final program curriculum updates are forwarded to the CA in Academic Development for review and approval.CA meets with the Chair/Manager to finalize curriculum.Once approved the new program version is activated in GeneSIS. This information is then used for course loading, Max Load, monograph production, and student registration.Once the new program version is activated no further changes are allowed without CA approval. ScheduleA detailed schedule is distributed annually to Deans and Chairs by the Vice President Academic’s Office and Academic Development. Table 1 provides a high-level overview of the schedule.Table 1. RolesDeanThe responsibilities of the Dean includeaccountability for the programs’ curriculum in the Faculty/School, andensuring that Annual Curriculum Review is accurate and completed on time.Chair/Academic ManagerThe Chair/Manager is responsible to ensure that Annual Curriculum Review is conducted for all programs in the department. The responsibilities of the Academic Chair include:initiating Annual Curriculum Review,ensuring that input is sought from the stakeholders and that current information from the field is assessed,ensuring that as many program faculty members as possible are involved in the curriculum review and are aware of the changes made, ensuring that consultation takes place with Chairs/Managers offering program equivalents, andensuring that the changes made to the program curriculum and the program narrative in GeneSIS are complete and accurate prior submission to the CA for review and approval by the assigned deadline.Program CoordinatorThe responsibilities of the Program Coordinator includeworking with the Chair to obtain input from stakeholders and assess current information from the field, andworking with the program faculty to identify the changes needed to the program curriculum to ensure that it is current and meets Ministry and College requirements.ensuring that departmental internal timelines for GeneSIS updates are met.Program FacultyThe responsibilities of the Program Faculty include:participating in discussions related to updating the program curriculum to ensure that it is current and meets College and Ministry requirements, andmaking changes to the courses they are responsible for in line with the program changes identified.Curriculum AdministratorAnnual Curriculum review is coordinated by the Curriculum Administrator (CA), who reports to the Dean, Academic Development, who in turn reports to the Vice President Academic.The responsibilities of the Curriculum Administrator include:providing a detailed schedule for Annual Curriculum Review,reviewing the expectations of the process with department staff and acting as a resource related to Annual Curriculum Review;reviewing the final program submission for accuracy and compliance with Ministry and College requirements;working with the Registrar’s Office for program activation;liaising with the Marketing Department and other relevant areas of the College to ensure accurate publication of the final approved program curriculum.Executive Assistant to the Vice President Academic (VPA)The responsibilities of the Executive Assistant to the VPA include:developing the staggered deadlines for submission of final changes in GeneSIS,reviewing the final program submission to ensure that Ministry General Education requirements are met, and;with the CA, liaising with other areas of the College to ensure accurate publication of the final approved program curriculum.OrientationOrientation is provided on an annual basis by the Curriculum Administrator and the Executive Assistant to the VPA to department staff, including the Chair, program coordinators, and the support staff responsible for entering the changes in GeneSIS.Figure SEQ Figure \* ARABIC 1: Annual Curriculum Review process flow ................
