Dear Kids’ Camp Coordinator:

Thank you for your help in promoting kids’ camp. You are a great help to your church and to the District. Below is the necessary information you need to promote camp at your church.

Camp Ratio:

There is an adult to child ratio of one adult to every six kids registered. The ratios are gender specific. Your church is responsible for providing the appropriate leaders for your children. If your church is sending eight girls and three boys, we must have two female adults and one male adult leader. Please begin to recruit early for leaders as they are an essential part of camp. Your church may also send one youth leader for every adult leader; this again would be gender specific. Please do not send two male youth leaders with one male adult leader. Youth leaders should be entering the 9th grade year of high school and must have a strong recommendation from their pastor. Youth who attend Kids’ Camp as youth leaders should be those who have an active, growing relationship with the Lord.

Enclosed in this camp packet is the following:

• Two full color posters - It is recommended that you display the posters at your church and in your community as an outreach.

• Bulletin insert – Make as many copies as needed. The bulletin insert is designed so that you may copy it in full color or b/w on colored paper.

• Promo DVD – A three minute promotional DVD, a wonderful tool you can use to create great anticipation among both the children and parents. It is recommended to play this DVD on the same day that you begin to make announcements about camp.

Camp costs:

The total cost per camper is $220 if registered by May 30 (early registration). Each camper must have their $220 registration fee and completed registration form turned in by May 30 to meet the early registration deadline. The cost to campers registering after May 30 will be $240.

Camp Packet also includes:

• Packing list/guidelines – Please make as many copies as necessary so every camper and leader has a copy of the list.

• Application – Camper, Adult and Youth Leader applications. When collecting applications, please be sure that everything on the application is complete. Incomplete forms will be returned and campers and/or leaders will not be considered registered until the completed application is received.

• Tally Form – Please make a copy of the tally form before you fill it out. Fill out the tally form; verify that all the information is accurate, keep a copy of the completed form for your records and mail it to the District along with your registration forms and monies due by the March 22 and April 26 deadlines.

• Sponsor Form – This is a great opportunity to allow people to sow into the lives of children in their own body. We recommend putting this in your bulletin on a couple of occasions.

• Medical Form and Information Sheet – Please make copies of each of these forms and attach them to registration forms prior to handing them out. Remind parents frequently that medical forms are necessary for every youth leader and camper. Teenagers that are going to Youth and Kids’ Camp will need to turn in a completed form for both camps. It is not the responsibility of Geneva Point or Northeast Foursquare District to obtain copies of medical forms from one camp to the other. Please make copies of completed forms for each youth attending kids’ camp and provide us with a copy.

• Criminal Record Form – All leaders age 18 and older are required to have a criminal record check. It is the responsibility of your church to provide this criminal record to the District Office. If leaders currently work with children within your church you should already have a criminal record check on file. The District Office will accept a copy of the approved current criminal record check for each leader. Approved criminal record checks are record checks done through Foursquare Insurance. Information for Foursquare Insurance criminal record checks is included in the Camp Booklet. A current criminal record check is an approved check that is no older than three years old.

Other Details:

Adult leaders are asked to make every effort to attend “CAMP BEFORE CAMP” which takes place the day before campers arrive. This is a wonderful time to get to know each team member we will spend the week working with as well as receive the necessary training regarding policies, procedures, etc. Words cannot express what a meaningful time this time has been for everyone that attends and we strongly encourage all leaders (adult and youth) to attend. This is a particularly helpful time for first-time adult and junior leaders.

Don’t forget to plan in advance for transportation for campers to and from camp. Arrival times will be made known in the future.

Parents are invited to attend the final camp chapel on the last day of camp, which is presented by the campers themselves. Please make parents aware that they are invited Friday, July 23rd at 9:00 am.

Helpful Tips:

Make multiple copies of everything in the Camp Booklet and keep all the originals. Camp registration is never done when you think it is.

Have a camp registration day at your church. In order to do this successfully you should begin to promote camp early. During the promotion time, registration forms should be available along with an information sheet announcing specific days, times and places to register (such as your lobby or fellowship area). On that day you could set up a table and take registrations as families arrive. Make the registration area festive by decorating according to the camp theme.

Have fund raising events for leaders that you will be sending to camp. This is a great way to show support for those that will be taking a week off from work to be a volunteer at camp.

Sponsor a child from the community. As your church is involved with community events such as Down Town Days, Old Home Days, etc. hold a drawing where children in the community can win a paid-in-full week at Kids’ Camp. You will want to include specifics about camp, have flyers available and require a parent to be present when a child places their name, address & phone number in the drawing box.

Involve as many people as you can with the planning process of camp. Delegate someone who is good at planning events to plan the Camp Registration Day. Ask someone gifted with hospitality to plan a bake sale for your leaders at your local Wal-Mart. Do you have a member in your church that drives a bus? If so, utilize their abilities to drive the kids to camp.
