Application to Schedule a Special Event in the Gottesman Libraries

The primary purpose of the Gottesman Libraries facilities is to provide study space and workspace for members of the Teachers College community. Although special events are welcome in the library facilities, special events scheduled within Russell Hall must be planned to minimize disruption and inconvenience for student and faculty users of the library.

Please review the attached library policies pertaining to special events, complete the event questionnaire, and submit it via email to librmres@tc.columbia.edu. Upon successfully submitting a request, you will receive an automated email response.

Library Guidelines Governing Events Held in Russell Hall

Please note that the following conditions apply to all spaces in the library, and express permission must be given for exceptions.

• Only the space which was expressly reserved for your event may be used. Please consult with library staff if you require additional spaces.

• No decorations of any kind may be attached to walls or furniture within the library.

• The library will not be responsible for the setup and breakdown of any furniture, nor for the ordering or receipt of refreshments. The event contact person must coordinate all internal (e.g. Culinart, Facilities) and/or external guests.

• All audio/visual equipment will be handled by the Gottesman Libraries.

• The Gottesman Libraries reserves the right to create audio and/or video recordings of events in Russell Hall of general interest to the Teachers College Community. Such recordings may be used in the library Education Program and preserved in the archives.

• Library chairs may be moved within a room to accommodate your event, but all other furniture must remain in place. Any supplementary tables (provided by the library upon request) may be positioned as you wish, in addition to any extra furniture provided by Facilities. Any additional furniture, as well as movement of library chairs, must be provided prior to the event for final approval.

• If refreshments are provided at your event, arrangements must be made for the prompt removal of all leftover refreshments, waste, and non-library furniture (e.g. tables) brought in for the event. With Facilities, please also arrange for more extensive clean up (vacuuming, etc.) after the event if necessary.

• Any costs associated with failure to remove materials as scheduled, damages, or additional cleaning associated with your event will be charged to your TC account provided on the event questionnaire.
