ELT Meeting MinutesJanuary 21, 2020Ed opened the meeting 9 a.m.Guest was introduced by Gina Sheeks: Dr. Kadian Callahan, Assistant Dean for Faculty and Student Success in the College of Science and Mathematics and Associate Professor of Mathematics Education at Kennesaw State University.?Gina SheeksCougar Kickoff 2020Presented Cougar Kickoff flyer. There is a good variety of activities offered with the picnic tomorrow.Dining in the Dark, Feb. 13Dining in the Dark will be held on Feb. 13. Registration starts at 5:30 p.m. in the Rec Centers Multipurpose Room. The speaker is a local race car driver who lost his sight in an accident in 2012. He will bring his wife to the event due to Valentine's day. Scott Ressmeyear will be there as well. You will be eating with a blindfold on. If you have time, come out and support this event. Lots of folks attended last year and it was fun. Please let me know if you are interested and I’ll get you registered with Lauren Jones.2. Deborah BordelonYou will be receiving an e-mail with EAB. The academic affairs forum taps into Enrollment Management. Look at the information and resources. Email will include a link to register. Research and papers are very helpful. Daily briefings of highlights going on in higher ed.?3. Jeff DavisBudget UpdateAgenda mentions Budget Update. There is a pause right now and we are waiting for spring enrollment to shape up. It will have an impact. Next month we will have a bigger picture. It will let us know how to process with next year’s budget. This year we will be fine but sharper knife for next year’s budget.International Background checks. There is a hold right now. If you are participating international background checks it will take longer than usual.USG monthly report lists employees in the system that have not been paid for 180 days but they are still in the system.We are approaching a time of year to receive graduate assistance differential rates but the message from the USG Budget Office is that such proposals are not entertained this year. GA Tech is allowed to receive it but we would not. We have not gotten any answers. Dr. Bordelon will follow up on this. We deserve an explanation on the rationale and the way to approach this.4. Scholars have been chosen and interview processes are underwayBaseball and Softball are having their first game in 3 weeks6. Craig BurgessOur former registrar, Wayne van Ellis filed an EEOC complaint following his termination. He filed a complaint for employment discrimination and retaliation.Craig was personally served in his role at CSU with the complaint.?Preservation notice has been emailed to preserve all documents in re. to Wayne van Ellis’ time at CSU.?Attorney General Office handles this lawsuits on our behalf.?Craig will be coordinating witnesses.?Timeline 12 to 18 monthsA 14 day extension has been filed.All documents need to be provided to Craig. Matt Shiver and Craig met with College of the Arts in re. to Purchasing cards and contract related issues. They also met with Ed Helton to discuss Social Media ad purchasing. Some departments chose to use P-cards but the use of p-card rules apply as any other purchase under Georgia Law. It seems that other institutions are not following GA law. Our solution now is to contract with Stamats to make purchases on our behalf.?At this point Todd Reeser explained the issues Athletics faces with P-card purchases in re. to travel expenses.?Jeff Davis explained that the P-card rules go through approval by individual institutions. Athletics travel needs such rules in order to fund traveling with students. Most of the expenditures are travel related. CSU has a P-card plan in place and needs to be amended in order to address this issue. It will take months to rewrite but it’s worth revisiting the rules. There are options, particularly when it comes to hotel stays. There are hotels that still allow for direct billing.?The Outside Activities form has been amended. The requirement is to submit forms prior to engaging in outside activities. The reason to disclose is, to not only prevent a possible conflict of interest but also a conflict of commitment. Remind employees to fill out the forms correctly. It does not matter if you are getting compensated for the activity or not, you have to report it. Craig will be happy to come by and give training on how to fill out the form.? Craig could do a 15-minute training session at Staff Council. Dr. Bordelon asked Craig to meet with the COA to go into further details about the changes. Clarity needs to be given.?6. Ed HeltonBOR MeetingEricka Triplett from the USG office together with the IT team were here last Thursday. We showed them the Trade Center, Bo Bartlett Center, Bradley Museum, and the Cunningham Center. The downside of having the meeting on RiverPark is that we do not own the Trade Center and will have to pay. The downside for having the meeting on main campus is that the group has to be bussed everywhere. The plan so far is to have lunch at the Bradley Museum and the reception and dinner at the Bo Bartlett Center. Monies that are raised have to include video production, etc. Food will be big budget item. We are working on the budget right now.Columbus Day at the Capitol is Feb. 18. Students will be there to meet with Representatives. The reception is at 4:30 p.m. ELT is invited. Bus will leave CSU around 2:30 p.m. and return after the reception.Presidents Report: We need a report on the goals to report to the Governor by Feb. 14 so president can have those. Ed will send out today or tomorrow.Cyber Security Center Opening: March 16 and 17 is scheduled for a fundraiser where Jimmy Yancey is involved in. 7. Dr. Markwood: No report. He is traveling and will return on Saturday.8. No minutes to approve due to Nancy being out.There was nothing else discussed.
