Job Title: Challenge & Development Events Officer (maternity cover)

Key Purpose of the Job

This role will report into the Development Manager and will be an office-based role to support the current function of the Challenge and Community Events Fundraising Programme in the Development team.

In addition to logistically delivering the current community and challenge events programme, the role will be responsible for supporting with the development of the community and events fundraising strategy as well as providing supporter development, financial administrative support, monitoring and evaluating the programme of events and inputting towards future growth of the programme. In return, the candidate will get the opportunity to work for one of the largest conservation charities in the world, working on first class events such as the London and Whipsnade Zoo Stampedes, Streak run, Roar with Laughter comedy event and the Safari in the City Gala.

Main Duties and Responsibilities

• Lead on logistical organisation of fundraising events as directed by the Development Manager acting as the first point of contact for participants

• Play a key supporting role within larger fundraising events organisation

• Maximise income for ZSL by supporting all participants with their fundraising efforts. Ensure all participants needs are met, maintaining all fundraising relationships appropriately, and ensuring inbound enquiries are dealt with efficiently.

• Recruit and manage a team of challenge and community volunteers for the programme

• Work alongside the Development Manager to build and develop the community fundraising programme. Attend community events and act as an ambassador when required

• Work closely with internal and external staff and contractors regarding event requirements to ensure excellent service and a successful event

• Assist with the administration and ticketing of event registrations and support individuals holding events, by providing materials as necessary

• Manage the registration process of challenge event attendees both on and offline and the submission of website information for all events to the web team

• Manage all processing for donations and payments via fundraising database. To ensure that any donations or enquiries received are efficiently processed, recorded and acknowledged

• Responsible for processing and submitting the JustGiving monthly reports to finance

• To be responsible for maintaining budget records, income and expenditure accounts for each event worked on to ensure cost effectiveness and to ensure financial targets are met

• To be responsible for evaluating and analysing all events where the lead has been taken

• Work closely with the Development Manager to produce detailed marketing and PR plans and to ensure they are implemented and adhered to

• Promote events to new and existing audiences and to build the events database, keeping this up to date to generate queries and reports where required. Working alongside the CRM team to ensure these changes take place and are regularly monitored

• Work closely with the Press, Marketing and Commercial Events teams, attending meetings where appropriate to ensure the continued growth of the programme

• To ensure all events meet the ZSL health and safety requirements

Person Specification

Knowledge

• Proven experience working within a fundraising environment with demonstrable experience working within an events team planning and executing mass participation events

• Experience of delivering projects simultaneously within an agreed timescale

• Experience of using a fundraising database, preferably Raiser’s Edge

• Knowledge of events health and safety elements and the legal aspect of planning events, such as risk assessments and gift aid and familiarity with the fundraising codes of practice.

Skills & Abilities

• Excellent time management and organisational skills with the ability to prioritise a varied workload

• Strong verbal and written communication skills with the ability to build and maintain strong working relationships with a range of different audiences and partners

• Strong attention to detail

• Outgoing, can do positive attitude

• Ability to take a hands on approach when required and problem solve under pressure

• Team player

Other Requirements

• Full UK Driving Licence

• Educated to degree level

• Happy to work out of regular hours (some evenings and weekends) as required on event days (TOIL will be provided in most circumstances)

• Commitment to travel to Whipsnade Zoo when required
