Tips for Success

Presentation Development Tips

The success of Adobe Connect is dependent upon the performance of each participants computer and the limitations of their Internet connection (i.e. - bandwidth).

Presentation Design

Design your online presentation based on the bandwidth capabilities of your audience. If your audience has a fast connection, you can more effectively use graphics and animations. However, if your audience has a 56K dial up connection, limit the use of graphics and animations to help ensure your audience has a good viewing experience. A DSL or higher connection speed is recommended.

• Select or create a simple template without a busy or watermarked background.

• Select colors for the background and fonts that maintain a contrast that is comfortable for an audience viewing on a computer monitor.

• Choose San-Serif type fonts whenever possible.

• Set font sizing to approximately size 32 and use the 7x7 Rule (seven bullet points per page with seven words per bullet point).

Logging into an Acrobat Connect meeting:

a. As a registered user (Hosts):

1. Go to: .

2. Login with your Clemson userid and password.

3. Click the My Meetings tab

4. Then click the Open button for the meeting you want to enter.

5. The meeting will open in a separate browser window.

b. As an unregistered user (Students, Guests):

1. Go to the unique meeting URL: ... meeting id.

2. Select the Enter as a Student or Visitor radio button.

3. Type your full name in the field provided.

4. Click Enter Room.

5. The meeting will open in a separate browser window.

Managing a Meeting

To modify your meeting settings:

1. Click the Meetings link.

2. Then click the name of the meeting you want to modify.

3. Click the Edit Information link to modify the meeting name or to update the meeting expiration date.

4. Click the Uploaded Content link to upload or remove content from the meeting.

5. Click the Recordings link to view, edit or modify meeting recordings.

6. Click the Reports link to view reports of who participated in the meeting and who answered polls during the meeting.

Meeting Setup Tips

• Optimize Room Bandwidth… - from the Meeting Menu, select Room Performance and Appearance. Then select Optimize Room Bandwidth. This will fine tune meeting bandwidth settings to the average connection speed of all Participants. (LAN if all users are on campus; DSL if some users are off campus; Modem use will drastically impact and limit meeting success.)

• Audio Setup Wizard – Make sure to run this wizard for optimizing audio settings before each meeting. To use the Audio Setup Wizard, choose Manage My Settings from the Meeting menu. Then select Audio Setup Wizard.

• Microphone Selection – Use a high-quality microphone/earphone type headset. This type of microphone setup eliminates looping of audio back through the microphone as well as maintains a constant distance of the microphone from a presenter’s mouth.

• Preload all presentations and supported files to be used in a meeting to the meeting server prior to the meeting.

• Place Participants on Hold… while preparing the meeting Layouts.

• Organize Pods from the Pods Menu. Doing so will help manage Pods and their names for convenient meeting management.

Pod Tips/Suggestions

Attendee List Pod

• If attendees are automatically entering the meeting as a Presenter… go to the Meeting Menu and select Manage Access & Entry. Then deselect the menu item Auto-Promote Participants to Presenters.

• A safe way to allow students Presenter permissions to the particular Pods is by using the Attendee List Pod option Change Enhanced Participant Rights… This option allows elevated permissions only to specified Pod types rather than all Pods.

Camera and Voice Pod

• Camera

o Set Camera broadcast frame rate based on bandwidth

▪ Camera Off – Consider turning off camera broadcasts when multiple Presenters with cameras are involved or if bandwidth is consumed by meeting options such as computer screen sharing. Also consider pausing cameras to conserve bandwidth by toggling the camera button. [pic]

▪ Slow Images – Use this setting if most attendees are connected at low-speeds.

▪ Fast Images – Use this setting if attendees have a variety of connection speeds.

▪ High-Quality Images – Use this setting if all attendees are connected at high speeds.

▪ High Bandwidth – Only to be used on high speed network connections.

• Voice

o Universal “Talk” button [pic] – best bandwidth consumption occurs when the “Talk” button is pressed each time a comment is made. Alternatively, “Hands-Free” can be selected so that the mouse can control other aspects of the meeting.

o Voice Off – Turns off all audio broadcasting.

o Voice On

▪ Multiple Speakers – Anyone with appropriate permissions can broadcast audio when holding or locking the “Talk” button.

▪ One Speaker – Anyone with the appropriate permissions can broadcast audio, but when another speaker holds down the “Talk” button, all other audio is disabled until that speaker releases the “Talk” button.

Chat Pod

• Enable Private Chat for Participants – Be aware that Hosts and Presenters can limit the ability for meeting to communicate during the meeting when necessary by deselecting this option.

• Disable Chat Notifications – Be aware that there is an available option that gives notification when chat messages are sent when the Chat Pod is out of view. This can be helpful in situations such as when Full Screen scaling is in use.

Chat Q & A Pod

• The Chat Q & A Pod can only be used in conjunction with the Presenter Only Area.

• This type of Pod is more or less used to funnel questions to qualified responders in a large meeting with multiple Presenters.

Share Pod

• Full Screen Button/Menu Descriptions

o Full Screen – Scales the selected Share Pod to Full Screen View. Once in the Full Screen mode press ESC to display Share Pod buttons and then the “Full Screen” button to discontinue Full Screen sharing

o Presenter’s changes affect everybody (default) – forces the full screen view upon all Participants. Thus, by choosing changes that affect everyone, the other Pods in the current Layout are hidden and only the Share Pod is viewable to Participants. (i.e. – Chat, Camera and Voice, Attendee List, etc. are temporarily hidden)

o Enable Full Screen toggle for Participants – allows Participants the flexibility to view the Share Pod Full Screen and temporarily hides other Pods in the current Layout to be unseen as long as the Participant desires.

• Sync button - Using a Share Pod, the “Sync” button must be in the pressed position if a Host or Presenter wishes for all attendees to see the Contents of the Share as it is shown on the Host or Presenter’s computer screen. If the “Sync” button is not in the pressed position, then each Attendee will have playback controls and can view the Pod contents as desired locally. If a meeting is being recorded, the “Sync” button should be in the pressed position. If it is not in the pressed position, the recording will not capture the screen changes to the archive even though the screens are changing on the Host or Presenter’s screen.

• Content Player Controls

o PowerPoint – Only use the “Forward” and “Reverse” buttons with uploaded PowerPoint presentations. If the “Play” button is pressed, by default, the PowerPoint will automatically begin sequencing through the slides at 5 second intervals since audio is not associated with the slides.

o Adobe Presenter – Files previously published using Breeze/Adobe Presenter can be used two ways in a meeting. The Host or Presenter can allow Participants to view the presentation at their own pace and control by not pressing the “Sync” button. Alternatively a Host or Presenter can control playback of the Breeze Presenter presentation in its entirety by pressing “Sync” and the other playback controls as desired.

o FlashPaper – When using FlashPaper SWF files notice that the Options to print, zoom, change pages, etc. are unavailable when a Host or Presenter has opted to use the Pod “Sync” button.

• Control of a shared computer screen – the option to request control of a shared computer screen is now only a Pod Option available to Hosts and Presenters. Thus, a host must promote an attendee with Participant status before they can request control.
