PRIMARY OBJECTIVE(S) OF POSITION

Receive phone calls and guests in a manner that serves them and the EFCA office staff well. Coordinate reservations and service for all meeting rooms at the national office. Be part of office security and medical emergency teams.

KEY RESULT AREAS

1. Welcome guests to the building.

a. Greet guests in a friendly manner as they enter the building, providing exceptional hospitality and service.

b. Discern needs of the guests and direct them to where they need to go or call the EFCA staff person with whom they will be visiting

c. Ensure that visitors sign in and have the appropriate guest pass before entering the office area.

d. Maintain the reception desk and surrounding area in a manner that is orderly and welcoming to guests.

2. Assist guests who telephone the office.

a) Greet phone callers in friendly and efficient manner

b) Maintain an ongoing understanding of ministry activities and staff roles in the building so as to be able to efficiently direct callers to the person that will best be able to help them

c) Monitor overnight voicemail on a daily basis and forward information to appropriate ministry

d) Maintain after hours console outgoing voice messages, changing as appropriate before and after a company holiday or other closings of the national office.

3. Act as administrator for EFCA meeting rooms

a) Maintain and monitor the schedule for meeting rooms in the building.

b) Act as liaison between meeting organizers and office services personnel, ensuring that needs of organizers are understood and services are provided in a timely manner.

c) Coordinate with meeting planners regarding logistics of having larger groups in the building (nametags, security, registration area, etc.)

d) Track AV equipment that is available for meeting room use (conference phone, projector, etc.).

e) Serve as a resource for office staff with meeting planning (caterers, av, room sets, scheduling).

f) Flexibility to help with early openings as well as coordinating lunch deliveries for conferences held at the national office.

4. Perform administrative duties.

a. Assist mail center in stuffing donor receipts

b. As time allows assist departments with routine administrative functions

c. Be a member of and assist with first aid/CPR training

d. Maintain overnight parking records

e. Maintain key inventory

KEY SKILL REQUIREMENTS

1. Ability to interact with a wide variety of people in a friendly manner

2. Basic knowledge of Microsoft Outlook

EDUCATION AND EXPERIENCE REQUIREMENTS

1. Maturity in relationship with Jesus Christ

2. High school diploma or equivalent

3. Three years post high school education and/or experience in administrative support functions or receptionist responsibilities

PHYSICAL REQUIREMENTS

1. Ability to spend more than 50% of work time seated, using a keyboard and looking at a computer screen.

2. Manual dexterity adequate to operate the switchboard equipment.
