In addition, the role will work within the Corporate Services Department in providing an excellent service to all stakeholders.The post-holder requires a broad understanding of the current issues and projects in order to use his/her judgement of how to deal with enquiries as they arise. The post calls for a high degree of autonomy, initiative, judgement, confidentiality and discretion. It is essentially one of excellent organization and communication between the Senior Management Team and the Board. ACCOUNTABILITIES:To provide high quality, professional support and services to the leadership team and Board Members to support business objectivesTo provide a full minute-taking service for all MHA Group board meetings and sub committees and arrange necessary sign off and filing of final minutesResponsible for practical arrangements and servicing of all Board-related events and meetings (incl. being responsible for ensuring venues, transport, equipment and catering are provided for necessary meetings and training)Co-ordination of Board meeting agendas, administering MHA’s Group governance procedures and liaising with senior management and other colleagues in the timely submission of reports etc.To maintain the Annual Governance Planner Provide full support and guidance to Board members in the use of the Group’s agenda management softwareEstablish and maintain close and positive relationships with Board Members and Board volunteers – acting as an advisor and first point of contact for all enquiriesEstablish and maintain a good working relationship with the Welsh Government Regulator and Community Housing Cymru, providing required resources when requested.Produce, communicate and manage Annual Meeting PlannersTo arrange updating and collation of the MHA Group Board decision Log for Board meetingsSupport the organization’s governance reviews and the implementation of recommendations Assist the SCSO with the management of Board Member recruitment and delivery of the Board Member’s training programmeProvide induction training for all new Board membersProvide author presentation and report writing training to colleaguesMaintain and upkeep of the governance toolkit and all relevant documentationPromoting new and revised organisational policies with colleagues across the Group.Attend networks and represent MHA at strategic groups and conferences relative to the postGeneralTo provide support in the delivery of the corporate business planning process such as away days, road shows, conferences etc. Screening and redirecting telephone calls and requests for informationProvide diary management including the coordination of meetings, booking travel arrangements for CEO etcProvide word processing services including letters, reports, minutes and confidential informationResearch areas of best practiceContribute to the workload and delivery of objectives within the Corporate Services directorate planGENERIC ACCOUNTABILITIES:To contribute to service development reviews and support Continuous Improvement and performance management activity in relation to areas of work.To work within budget guidelines, ensuring expenditure is properly authorised in line with Financial Regulations and Standing Orders.To actively encourage tenant engagement in your service area, ensuring tenants and other stakeholder views influence decisions and shape services that result in stronger communities and improved services which deliver value for money. To maintain safe working practices for self and others, in accordance with the Association’s policy statement on Health and Safety at Work.
