These duties may be shared among multiple individuals.Responsible for processing monthly cost allocations for all cost pools after all pertinent journal entries have posted in order to process cost reports as assigned. Also responsible for reviewing and posting all general journal entries, cash receipts, cash disbursements, accounts receivable billings.Responsible for preparing and submitting cost reports to funders as assigned within expected time frames set by the funders. Resolve any cost variances and resubmit cost reports as needed in order for the Accounting Specialist to apply fully the final cost reports submitted to the funder. Review the AR register with the Accounting Specialist to ensure all cost reports and/or billings submitted are being paid as expected.Responsible for reconciling Agency primary bank statements on a monthly basis. Provide back-up assistance for reconciliation process for all site bank accounts. Monitor bank account balances and make transfers when necessary to maintain proper account balances.Responsible for setting up and maintaining grant management information within accounting information system including budgets, program reports and various reports as requested by funders and auditors. Ability to stay current with accounting and grant training programs. Prepare and submit annual sales tax return to State of Minnesota. Assist Fiscal Director with preparation and submission of any additional reports or documents that need to be filed with governmental agencies or individual systems of each funding source.Assist with the annual audit by assisting the Fiscal Director to close out the year-end, produce any source documents, reports, reconciliations or other documents as requested by the auditors.Review all programs monthly with the Fiscal Director to assist with the preparation of the monthly financial report package. Identify and communicate program budget variances to the Fiscal Director to facilitate formal budget variance reporting process.Review, proof and balance AP vouchers on a weekly basis. Void AP checks as necessary and ensure any reissued checks are correct. Assist other departments with voucher templates and coding to help facilitate more effective and accurate processing of AP vouchers.Provide back up to the Fiscal Director to assist with bi-weekly payroll process.Other duties as assigned to provide sufficient backup as trained for all key financial processing cycles (i.e. Cash receipts, Billings, Cash Disbursements, Accounts Payable, Allocations, Journal Entries, Payroll processing, General Ledger account reconciliations, and file maintenance.SUPERVISORY RESPONSIBILITIES This position does not currently have indirect supervisory responsibilities.QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum 5 years’ experience with nonprofit accounting.LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.ACCOUNTABILITYThe employee in this position will be expected to have a pleasant demeanor, a positive attitude, and a team commitment.
