JOB TITLE: Department Specialist II - Clerk’s Office

POSITION SUMMARY:

This position performs a wide variety of technical and clerical tasks related to documents required to be filed with the County Clerk.

Accuracy, neatness and relentless attention to detail are required by all positions and duties in this department.

The duties performed require following clearly established work procedures or specific instructions. Employees in this class receive close supervision by the County Clerk and Chief Deputy Clerk.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Prepares and issues official ballots to eligible voters.

2. Open, inspect and prepare ballots to be tabulated.

3. Position may require the handling of confidential and/or sensitive information.

4. May assist in the microfilming process for all records required by law.

5. May serve as a Federal Passport Acceptance Agent

6. May update County Clerk webpage.

7. Answers telephone and provides general information responses to inquiries. Takes messages and makes appointments.

8. Indexes and scans Deed, Mortgage, Historical records & other property records, Marriage Licenses.

9. Assists the public in ascertaining what documents they may want; searches for recorded documents; answers questions and interprets documents’ provides accurate and complete photocopies

10. Maintains inventory of and orders necessary office supplies.

11. Performs other related work as assigned.

DESIRABLE QUALIFICATIONS:

Knowledge of –

Some knowledge of different filing systems including alphabetical, numerical and chronological; business English, spelling, punctuation and arithmetic; Office practices and procedures.

Ability to –

Organize, file and retrieve materials and documents; deal with the public courteously; follow verbal and written instructions; perform basic mathematical operations; work effectively with other employees.

Skill in -

Typing; operating standard office equipment including a computer.

EDUCATION AND/OR EXPERIENCE:

High school graduation or equivalency; one year clerical work experience; or any satisfactory equivalent of experience and training which demonstrates the ability to perform the above described duties.

NECESSARY SPECIAL REQUIREMENTS:

-Possession of a valid Oregon Driver License with good driving record.

WORK ENVIRONMENT/PHYSICAL DEMANDS:

The incumbent works in a professional office environment and uses a computer, telephone and other office equipment as needed to perform duties.

The noise level in the work environment is typical of that of an office with frequent contact with customers and will encounter frequent interruptions throughout the workday, while maintaining attention to detail.

This position is regularly required to sit, talk; frequently required to use repetitive hand motion, stand, walk, reach, bend or lift up to 20 pounds regularly and 50 pounds occasionally. May perform occasional working after hours depending on the office work cycle.
