REGULAR MEETING

Lassen County Fair Office

5:30 PM

The Lassen Fair Advisory Board convened in a Regular Meeting on Tuesday July 31, 2018 at the Lassen County Fairgrounds boardroom. President Tom Neely called the meeting to order at 5:30 pm. Members present: Cheryl Lauritsen, Jose Pena, Becky Albaugh, Lonnie Mahenski, Holly Mueller, and Brett Smith

Supervisors Present: none

Members absent: Dan Douglas, Jim Wolcott, Kevin Stafford

Present in the audience is: Tony Shaw, Claude Neely, and Saydee

CALL TO ORDER

The meeting is called to order at 5:35 PM.

OPENING CEREMONIES

Pledge of Allegiance Lead by: Tom Neely

AGENDA APPROVAL, ADDITIONS AND/OR DELETIONS: Jose Pena moves to approve the agenda. Motion is seconded by: Lonnie Mahenski. All in favor. Motion is carried.

PUBLIC COMMENT: Claude Neely thanked everyone for the Blue Ribbon award & Grand Marshall he received. He said it has been an honor to serve the Lassen County Fair and that he loves the Fair. Tony Shaw reported the status of the WHALEBACK Fire Camp. He mentioned that we have a signed agreement. He also brought to attention that we had to invoke Bryan Rose’s event agreement and an explanation letter from County Counsel was prepared for him.

May need to cancel Horse Show on August 11th.

Claude Neely and Tony Left

Tome Neely reported that Lights in front of the grandstand need to be replaced. Sadie form Sadie’s Farmtastic donated $400 for whatever the Fair wants.

CONSENT CALENDAR

Cheryl Lauritsen moves to approve the consent calendar. Motion is seconded by: Becky Albaugh. All in favor. Motion is carried.

CORRESPONDENCE: None

5. SUBJECT: Replacement Doors and Insulation

Jose moved that we proceed with the doors from Gold Run. Second by Lonnie. All in favor, motion carried. Lonnie has August 24-25 for insulating Barn. Starting at 8am August 24th.

6. SUBJECT: Fair Review Discussion

Christina commented that the office needs to be more organized before and during fair. Prep should start earlier in the year. Need a system. Callie and Karina will not be returning and Dena not sure. Becky suggested that we reach out to Siskiyou County Fair. Holly also suggested using the IAP that Eric Ewing has set up for Safety plan. Can be used similarly to stay organized.

Brett------Ideas to go forward ------open gate by bathroom to be festival entrance. Cloe off lawn area for festival. Festival entrance change to our walkway.

***Open gate by Smokey bear. Put posts in to allow foot traffic and omit the ticket booth and little drive through.

***Move the 4-H BBQers (not necessariy the dinner) because it is in Brett’s way for OUR Fair preparations

***OEs plan impressed our insurance lady and was a great addition.

***Fair Admission is too high- put price down to up the number of attendance.

***Run Beer garden ourselves so the $$ stay with the fair at all events (Board would have to get ABC license)

***Have a food vendor contest

***If going to have 2 Concerts, need 1 night to be Country and 1 night Rock n Roll

***People might only want to pay for the show-funnel them directly from the parking lot to show.

***PA system needs to be used

***Ice House needed

***Permanent tent structure instead of putting up and taking down a portable tent.

Jose----No racing in the future---Brett suggested that we pursue a promotor for the future.

Becky---More garbage cans @ Horse arena

***Porta putty in the dry camp

***More stalls in Nursery barn

***Make a parking boundary near horse area (flagged)

***4-H/FFA cleanup day for the livestock area

***Adult Round Robin enter someone else- goes on @same time as Regular Round Robin. Pay to enter/pay to get out of it.

***Have Jr Fair Board promote a contest to paint walls in Nursery Barns

***Own Pig race

***Spray for goat heads @ Arena

***Cut out Stork for Nursery Barn

***Permanent fence around pond with a bench back.

***Jr sale needs to report to livestock committee. Hard time for Livestock to be taken out on Sunday. (Need to make it clean for the Livestock sale committee) should be a penalty $250

***Interim Events for the future—Jose also commented on Tractor pulls as being one to consider.

***If an animal is sifted, the child should still be able to show in showmanship.

***Ethics for parents of livestock exhibitors –Contract, animal removed if parents goes outside ethics??

***Point system for trailer spaces instead of how we do it now. RV day (June 1st) is too hectic.

***Vendor list for those serving beer @the concerts

***Add a transportation plan to IAP

***Grease padlocks

***H2O Truck before Events

***Misters need to be revamped BEFORE fair.

***Livestock speakers –PA from Main office

***NO DOGS --- Service dogs need some ID –Need to be legal

***Need a TV @Jensen Hall or Sarsaparilla area to show what is happening each day.

***Take a picture or inventory entry what we have rented

***Snap Chat filter

Cheryl----Sheep & Swine weigh on same scale (swine 1st)

***When dropping off entry, have the art check in at the Art Building – prevents mistakes and makes it easier on exhibitor. We can put a sign in front of Jensen Hall.

***Make sure judging dates are correct in the premium book – my copy was wrong.

***Allow the VIP judges to judge until1pm on Wednesday when most exhibits are in place.

***Specify that all market beef be castrated males – steers, lambs and pigs can be castrated ales or intact females.

***ALL ANIMALS be vet checked and inspected prior to being offloaded from the trailer.

***Need to put together a check list for our youth doing the clerking

***I had a request for names and dates on all antique equipment

***The JR Livestock Committee wait until Saturday to set up buyer parking lot.

***Revise Rule #14 in premium book – NO “for sale” signs allowed in barns until after the completion of Livestock Auction” is too vague; can have a sale sign in Nursery Barn

***Have a public choice winner in each category/building

***Bring back the procrastinator class

***On Old Timer day---prep all needed items before fair—plates, silverware, etc. Have some water iced and some not. Also, Totes for each event based on need of event. That way you grab and go and not trying to pull it all together at the time. Do early in the year.

***Shuttle for seniors to look at fair before and after Old Timers Event

***Have a class for Barn Quilt Squares

***Need a sign for Floral Building that says both Tinkering Lab and Floral Display

***This year, the Extreme Dogs and Forgery were competing notice wise, it was hard to hear one when the other was broadcasting

***Put Horse show info in the BACK of the premium Book. More detail on Market animal/no heifers/all inspected.

***Concerts & Music @ Pageant too loud

***Time limit on speeches during pageant

***Vintage Quilt display/Antique display]

***Praise Night bands should be on a smaller stage and have something better on the big stage (headliner)

***Exhibitor Pass –Card instead of bracelet for those who would rather not wear a bracelet 5 days

***Need someone for the floral building on the Monday after Fair.

***Have OLD TIMER on Friday & Sponsor luncheon on Thursday (NO Employee of the year luncheon)

***Kiddies Day earlier on Thursday or move to Saturday after the Parade.
