Permission: Update Gradebook - Teacher option

The Gradebook tab displays all the courses, students, assignments, and grades for the Gradebook user. This document will explain the options associated with this page.

1. Course Tabs - All the teacher's courses appear in tabs across the top of this page. By clicking on the course title or selecting from the course drop-down list, the page will display the gradebook information for that course. To rename or reorder these tabs use the Setup>Course Settings tab.

2. Marking Periods -The marking period displayed will default to the current marking period. It controls the assignments that are displayed on the page. If today's date is NOT within a marking period date range the All MPs view shown below will display. The Gradebook averages (GBA), Marking Period (RC) grades and the Estimated Final Gradebook Average are shown. Notice there is also an option to export this information at the bottom left. Additionally, there is an option to Highlight Differences in Gradebook Average (GBA) and Marking Period Average (RC) grade.

3. Categories - This drop-down list will display the categories and weights that have been created for this course. Selecting a specific category will allow the user to view the assignments within that category and view the student's Category Average. Use the Setup>Categories tab to add or maintain the categories and apply color to categories.

4. Sets - This drop-down list will only appear if Sets have been created. Go to the Assignments>Maintain Sets tab to activate this option. Click on the drop-down list to display only the assignments and grade averages within the selected set.

5. Workgroups - This drop-down list will only appear if Workgroups have been created. Go to the Roster>Maintain Workgroups tab and the Roster>Student Workgroups tab to activate the option. Click on the drop-down list to display only the students within the selected workgroup.

6. Active - Changing the values in this drop-down list will display students based on the enrollment status selected. a. Active - Displays students that are currently enrolled in the class. b. All Students - Displays all students that have attended the class, including transferred out of district and withdrawn students. c. New - Displays newly enrolled students. This will only appear if the Show New Student Status setting found in the Setup>Preferences tab is set to Yes. A student who is "New" will remain with that status until the user goes to the Roster>Student Notes tab and unchecks the New checkbox next to their name. d. Withdrawn - Displays students that have been withdrawn from the course/section. e. Transferred Out of District - Displays the students that have been transferred out of the district.

7. All Assignments - An assignment filter to show All, Graded or Ungraded assignments. When creating or editing an assignment it can be checked as "Ungraded". It will be highlighted in gray and any grades entered will NOT be included in the student's Average column. Go to the Setup>Preferences tab to select a default value.

8. Add Assignment link - a quick way to add an assignment to the course. 9. Assignment Row headings - (Assignment Title, Assign Date, Due Date, Grade Type, Category) -

Click on the row's title heading to sort the assignments in the order of that field. Click once for ascending, click again for descending order. This is a temporary sort that will be available during the current Gradebook session. Go to Setup>Preferences to set a permanent Assignment Sort Order. 10. Column headings - (Student Name, ID, Average) - Click on the row's title heading to sort the students on the page in the order of that field. Click once for ascending, click again for descending order. 11. Icon - Use this icon to expand or collapse the student information icons.

a. The example below shows the "collapsed" version.

12. Checkbox - Click on this checkbox to display ONLY this student's assignments and average. Uncheck the box to return to all the students.

13. Icon - Click on this icon to display the student's Period Attendance summary for this class.

14. Icon bar -

Click on a student information icon

to sort the student list by that icon. Hover the cursor over the icon to display the meaning of the icon.

When hovering over the individual icons for a student, additional information may appear about the

student's status. Click on the student's icon to go to the student's page where the icon is maintained.

Note: Icons are displayed based on the user's security permissions.

a. - Warning: hover over icon to display warning message

b. - Medical concern: hover over icon to display medical concerns

c. , - English Language Learners: click on icon for additional information

d. , , or - 504, I&RS, IEP, IEP speech only: click on icon for additional information

e. - Gifted and Talented: The display of this icon is optional. Go to go to System Admin>System Settings>District Settings>Defaults and under the Student Data tab set Display Gifted and Talented Icon to Yes.

f. , , - Basic Skills for ELA, Math or Both: click on icon for additional information

g. - Student Notes: hover over icon to display public & private student notes

h. - Daily & Period Attendance for today: icon will display 1-character attendance code if the

student is not Present, hover over icon to display attendance description

- Cohort, hover over the cohort code to display the cohort description. The display of the Cohort

icon is optional. To maintain the display of this icon, go to System Admin>System

Settings>Locations>Add Maintain>Gradebook tab.

15. Student Name - Click on the student name to go to the student's Personal page in a separate window. 16. New - This will only appear if the Show New Student Status setting found in the Setup>Preferences tab

is set to Yes. 17. Withdrawn & Transferred Out - these notations will appear if the student has been withdrawn from the

class or transferred out of the district. 18. W column heading - If using Workgroups, the designation of the workgroup will appear next to the

student's name. Click on the W column heading to sort the students in workgroup order. 19. Average - The student's Gradebook average will appear in this column.

a. The number to the left of the slash is the gradebook numeric average. The value to the right of the slash is the value that will post as the marking period grade. If this is NOT the value type that should be posted to the marking period grade, go to the Setup>Preferences tab under Grade Calculation Method and update "Numeric Gradebook Average Converted to" the correct value.

b. To highlight this area in red if the average is below a selected value, go to the Setup>Preferences tab and update the Highlight Students with an Average Below field.

20. Grading Assignment Notes - To enter a public or private note concerning a student's assignment grade, right click on the student's assignment grade area. The text boxes for public and private notes will display for entry. The icon will appear after the comment is entered to alert that note(s) have been made. Right clicking on the assignment will also display the Percentage value of the assignment.

a. There is another option to mass enter notes by clicking on the blue, short assignment description at the top of the page above each assignment.

b. Public notes display on the Realtime Portal and there is an option to include these notes on gradebook reports.

c. Private notes are only available for the teacher and possibly an administrator who has access to view the teacher's gradebook.

d. To create a predefined "bank" of notes go to the Setup>Notes Bank tab.

21. Features of the assignment grading area. Note: If the course is using a non-calculated gradebook and the assignment grades displayed in the drop-down list are missing or incorrect, the Grade Types need to be maintained. See the district administrator.

a. Import/Export Icon - The functionality of this icon is dependent on district settings. View the Help document Gradebook - Posting Scores to Testing tab & Importing Scores within the Realtime Knowledgebase for additional instruction on using the import tabs pictured below.

b. Click on the short assignment title link (HW1) to mass update grades and notes.

c. Notice that the

block and the grades are green. To add color go to the Setup>Categories

tab.

d. Realtime offers additional grades: EXC - Excused (does not count against average), INC -

Incomplete (counts as zero), and MIS - Missing (counts as zero). Go to the Setup>Grade

Types>Additional tab to update or add other grade types.

22. The bottom of the roster page displays Averages, Median, Low and High Scores for the class and for the individual assignments. Click the icon to export this information. Note: ALL student assignment grades, including those of transferred out students, are included in the Averages, Median, Low, and High Scores.

a. Use the arrows at the bottom of the roster page to scroll through assignments. Go to Setup>Preferences to maintain the Amount of Assignments to display setting.
