Assignment Email Setup Overview

When eLearning assignments are made, an “Automated Email Notification” is generated. You have an option to send the email but the body of the message cannot be changed. The Assignment Email Setup allows you to add custom information to the email to assist your Learners by adding a message, a link to their training website or a contact name and email address.

Note: The additional information is added to the automated Email for the entire organization. It is not limited to a single facility or department. Any changes will change the email sent to everyone.

Assignment Email Set-up

Access to add information to the Assignment E-mails is limited to System Administrators. It is located under the Custom menu on the Administrator’s Home Page.

Steps to Add a Message to the Automated Email

1. Open the Assignment Email Settings. (Custom menu)

2. Choose Type = Text – the information displays in the email as plain text.

3. Create a Label for the message or just create a message.

• To create a Label, type in the box to the right or choose an existing Label from the drop down box

4. Type related text in the “Value” box.

5. Click Preview to see how your message appears in the email.

6. Click Save to add the information to the Automated Assignment Email.

Steps to Add an Email Address the Automated Email

1. Open the Assignment Email Settings. (Custom menu)

2. Choose Type = Email – this allows the Email address to be used to open their email program and send an email to the addressee.

3. Create a “Label” for the Email or select an existing Label from the drop-down box.

4. Type the Email address in the ‘Value’ box.

5. Click Preview to see how your message appears in the Email.

6. Click Save to add it to the Automated Assignment Email.

Steps to Add an URL to the Automated Assignment Email

1. Open the Assignment Email Settings. (Custom menu)

2. Choose Type = URL – this will allow the web address to be saved as a hyperlink.

3. Create a Label for the Email or choose an existing Label from the drop-down box.

4. Type the URL in the Value box.

5. Click Preview to see how your message appears in the Email.

6. Click Save to add it to the Automated Assignment Email.

Steps to Add Multiple Items to the Automated Assignment Email

1. Open the Assignment Email Settings. (Custom menu)

2. Select a Type, Create a Label and add a Value for each item you want to appear as Additional Information in the Automated Assignment Email.

3. After each item is created, click Add.

4. If it is correct click Save to add it to the Automated Assignment Email.

5. As each new item is added, it appears in RED on the Preview page.

6. At anytime you may choose Preview to see the Automated Assignment Email and the current Additional Information.

Editing Additional Information

You may remove added information, create more information or edit the current information at anytime. You may not edit the body of the email, only the Additional Information.

Steps to Edit the Additional Information in the Automated Assignment Email

1. Open the Assignment Email Settings. (Custom menu)

2. Click Edit – and note each entry has an Item number.

3. Select the Item you want to change by using the “Item number” drop-down.

4. To edit an item choose the type and enter the new information in the desired box(es).

5. Choose Update.

6. To remove a line, select the Item and click Delete.

7. Click Back to Main and Preview to see the new information.

8. Click Save if it is correct.

In the example below you can see I saved a web address as ‘Text’ instead of ‘URL’ so it is not showing as a hyperlink.

You may edit this by selecting the Item and changing Type to URL

Update the message and now the URL will be a hyperlink
