INSTRUCTIONS FOR THE PERFORMANCE IMPROVEMENT PLAN (PIP)StepTask1?Complete all fields as specified by text boxes: Name, Employee ID, Department, Division, Job Title, Supervisor, Start Date, End Date, Interim Review Date, Final Review Date 2?Start & End Dates must have finite dates. Within a 6 month period, an Interim Review Date and a Final Review Date should be designated. 3?Performance Deficiencies must be listed. You should list the most immediate concerns for the employee. Do not exceed 4 areas of concern. 4?Objectives are written with a specific outcome in mind. Objectives are tied to staff competencies. For example:Customer Service – Increase response time to customersQuality – Reduce number of typing errorsSelf-Management – Take a more proactive role in daily duties5?Strategies are how the employee will achieve the objectives. You can have more than one strategy for achieving an objective. For example (using above objectives):Reduce time spent on personal callsTake a typing courseAttend time management workshop6?Due Date is where you indicate a finite date. “Ongoing” is acceptable only in rare circumstances. You should space out your improvement plan to build on each objective. Contact Human Resources for assistance.7?Progress Notes is the column where you update the progress of the employee. Have they met the deadline? Have they completed the deliverable? Were there any issues that prevented the employee from succeeding? 8?Once you have drafted the PIP, contact Human Resources for a required review. Once approved, present to the employee.The employee should be asked to provide their signature on the PIP. Once signed, a copy should be placed in your file. Scan and send the signed copy to the Human Resources Department at HR@tcnj.edu or send through interoffice mail.As the supervisor, you are required to follow-up with the employee either on a bi-weekly or monthly basis. The employee should receive a copy of the meeting notes.
