Operations Director ILearning and TalentPosition DescriptionSupervised by:Associate Learning DirectorSupervises:Administrative Assistants, as delegatedStatus:Exempt Location: National or InterVarsity’s National Service Center (NSC) - Madison, WITo advance the purpose of InterVarsity, this position will provide administrative and operational support to the Associate Learning Director, National Learning Director, and Learning and Talent Department.Serving in this position you provide support and leadership by managing office administration; event planning, meeting coordination, managing records related to national requirements, and communicating with audiences internal and external to InterVarsity. You exercise a wide degree of creativity and latitude. Relying on your experience and good judgment you act under the advisement of your supervisor to accomplish goals and objectives. MAJOR RESPONSIBILITIES Personal:Be a maturing disciple of Jesus Christ: growing in love for God, God's Word, God's people of every ethnicity and culture, and God's purposes in the worldAdministrative Leadership:Monitor, coordinate, and manage events, projects, task forces, and committees, related to the department's goals, objectives, and mission, to include development and follow-up work as neededManage a supervisor’s schedule and calendar as assigned Negotiate with vendors for supplies and meeting/event logistics Coordinate meetings and events, including meeting arrangements, organizing and overseeing planning for events and activities including acting as registrar, as requested; and researching, creating, and maintaining resource materials Manage daily, weekly and monthly details of the office Provide administrative support for department systems and platforms, (Learning Management Systems and Talent Management Systems, team communication and project management platforms) Manage and update complex calendars with staff related dates and events Provide and upload content for InterVarsity websites related to the department Ensure compliance with national requirements, processes, and procedures Perform other duties and projects, as assigned Organizational Communication and Collaboration:Design, prepare, collect, and distribute information needed by your supervisor to further team projects and foster collaboration and partnership within Learning and Talent, People and Culture, and across departmental linesCommunicate with a wide variety of internal and external audiences, departments, and organizations on behalf of Learning and Talent and other members of the National Learning Team Create and update relevant content and resources for Learning and Talent systems and platforms Participate in team meetings, creative brainstorming, and evaluation sessions Partner with and respond positively to the direction and coaching of your supervisorCommunicate with other administrators within Learning and Talent and People and Culture, in order to foster interdepartmental collaboration and partnershipDraft and keep records of various forms of correspondence and communications Expedite communication with team members, staff, vendors, program participants, and others as needed Ministry Partner Development and Public Relations:Develop and contact a list of potential donorsCommunicate with donors quarterlyWork environment & physical requirementsThis position leads ministry in an administrative environment. A designated office space may or may not be available. The staff is required to travel to on-campus and off- campus sites as appropriate. Off- campus travel includes but is not limited to: Ministry Partnership Development meetings, and InterVarsity- sponsored training sessions, meetings, and conferences. The staff is regularly required to communicate with others, and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. The employee must occasionally lift office products and supplies weighing up to 20 pounds. QUALIFICATIONS Annually affirm InterVarsity’s Statement of Agreement (Doctrinal Basis and Purpose Statement), as well as embrace InterVarsity’s Code of Conduct, affirmations on the ministry of women in InterVarsity, and statements on Biblical multiethnicity and human sexuality Bachelor’s degree or equivalent education/experience Prior experience with InterVarsity or other campus ministry would be highly desirableOrganizational and Project Management SkillsTwo or more years previous administrative, project, and event management experience preferred Demonstrated exceptional organizational skills; detail orientedProject management skills, including the ability to monitor and coordinate a wide variety of projectsAbility to handle sensitive information in a confidential manner Demonstrated commitment to dependability and maintaining a consistent presence in the officeMust be flexible and able to change priorities as the work demandsAbility to organize events, workflow, and the details involved and work under pressure of deadlinesExhibits learning agility and is open to learning new concepts, skills, and methodsAbility to set priorities, make decisions, meet deadlines, and resolve complex problems independentlyAbility to take initiative and work independently with limited direct supervisionGood analytical skillsDemonstrated ability and commitment to work in a diverse team environment Working knowledge of Microsoft applications, including Word, Excel, PowerPoint, Outlook, and Publisher Familiarity with web-based applications and tools such as Google Docs, Skype, Survey Monkey, Mail Chimp, and collaboration technology Effective oral and written communication skills Ability and willingness to ask others for financial, prayer and practical helpInterVarsity Christian Fellowship/USAFrame of ReferenceAll staff members subscribe annually to the Purpose Statement of InterVarsity:In response to God’s love, grace and truth:The purpose of InterVarsity Christian Fellowship/USA isto establish and advance at colleges and universitieswitnessing communities of students and facultywho follow Jesus as Savior and Lord:growing in love for God,God’s Word,God’s people of every ethnicity and cultureand God’s purposes in the world.This purpose is admittedly more limited than the Great Commission.
