Job Description*Grant funded position with no guarantees of further funding*Position:Intake Specialist Reports to: Intake CoordinatorSalary Range:$32,000 - $36,000Class: Exempt, professionalPurpose:Under direct supervision of the Intake Coordinator, the Intake Specialist serves as an initial point of contact for applicants for Passage Home’s various housing and self-sufficiency programs. Responds to inquiries from applicants regarding program eligibility requirements and other issues as needed.Responsibilities and Activities:Answers incoming calls to assist current and future applicants regarding program application process and policies. Looks up applicants' data and provides information to applicants as needed.Types various forms, reports and related routine correspondences required as part of the application process. Prints out and mails decision letters, missing information letters and hearing notices to applicants. Withdraws files if no response. Copies required documents and file within applicants’ files.Performs initial data entry, updates and maintains electronic and paper applicant files including making appropriate entries into the applicant database or other databases.Provides clerical support for various waiting list purges; maintains weekly "tickler file" system to accurately keep track of due dates for documentation due from applicants and makes appropriate notes and status changes into AR4CA and HMIS databases.Maintains working knowledge of general operation and specific eligibility guidelines of several grants; “Triages” applicants to appropriate grant source(s) for assistanceAdministers background checks on all appropriate applicants, including criminal and drug testsCreates and adheres to intake calendar, scheduling appropriate number of intake appointments in given timelineAttends applicant processing meetings, including occasional evening meetings only as needed. Assists applicants in completing paperwork, obtains information, explains process and answers applicants' questions.Reports monthly on eligible and ineligible applicants.Provides applicants with appropriate information and referral services.Creates and maintains relationships with inter and intra-agency partners and departments regarding housing and support services for applicants.Participate in training, supervision, regular staff meetings, and accept responsibility for aiding the development of positive team relationships as requested.Adhere to agency policy, procedures, safety standards and the professional code of ethics.Other duties assigned by supervisor.Qualifications:Minimum HS Diploma, GED or comparable 6 month to 1 year work experience working directly with families with at risk populations including those who have been homeless, substance abusers, incarcerated, mental health issues, and very low income.Ability to organize, assign tasks, and supervise volunteer staff.Excellent verbal and written communication skillsAbility to be proactive given procedures and instructions.Ability to work well with a diverse populationRequires ability to frequently face deadlines with attention to detail, and complete tasks and required documentation in a timely manner.Proficiency in Microsoft Office ApplicationsBilingual in Spanish and English preferredThis position requires a regular Monday-Friday weekday schedule. It is a nonexempt salaried position with only after hours duties on an emergency or fill-in basis.
