PROCEEDINGS DATABASE MANUAL

Copying database onto your hard drive and creating an icon

← From your desktop, place CD in drive, click:

← Start – Programs – Windows Explorer

← Double click on d: or your designated CD-Rom drive.

← Click on proceedings 1 database and drag to a suitable venue on your hard drive preferably My Documents.

← Then click on the directory you copied the database to.

← Click on the proceedings 1 database in your directory and click on File – Creast Shortcut, a Shortcut to the Proceedings will appear at the end of the file list, click on it and drag it to your desktop.

← You can edit the icon name by left clicking on it.

Using the database

← When using the database for the first time, it might give you an error Window in Access saying that the database is Read-only. Close Access – Open Windows Explorer. Select the database (proceedings 1) and right click to get the drop down list, select Properties and deselect Read-Only at the bottom of the Window. Click Apply and OK.

← Double click on the icon.

← Wait until the database stops on a page (after the introductory page) with four buttons: Author search, Title or portion of title search, Keyword search or Exit.

← Click on the button you require.

← Enter the parameter value e.g. author’s name or word to search for in the title or keywords. Click OK.

← The next box requests a year (only author and title searches)

← Should you require a limited search enter a year, if not leave blank and the query will provide you with all the relevant references. Click OK.

← You can now preview your list.

← It is advisable to print your list before using the links in the database.

Page Numbers

← Please note that two page numbers are listed for each abstract (except Proceedings 15 – 17). The page number in brackets is for your hard copy of the Proceedings (if you have one). The other number (without brackets) is the page number of that abstract in the file on the computer.

To size database window

← Your window might be too small/large to view properly.

← Move up/down or across with your screen scroll bars until you are able to see the scroll bars on the window, drag them to the size you require.

← Or set your page view percentage to a lower number e.g. 75% or 50%.

Before printing

← Please check your page set-up before printing (File-Page Setup).

← Set the margins to 2cm (top, bottom, left and right).

← Set the page to portrait.

Printing

← Click on the printer icon.

To go to an article

← Print your query.

← Close your query.

← At the Select Search Required Window, press your Window button on your Menu bar and choose proceedings database: Database.

← The database window will open, click on Copy of Proceedings Index and press Open.

← The database contains the names of the presenters/authors in alphabetical order.

← You can then proceed to the author/titles on your query printout.

← To go to an article click on the hyperlink (underlined blue text) to go to the relevant Proceedings (please note your page number not the number in brackets).

← Once the relevant Proceedings has been opened, Press Control G and type in the page number of your abstract.

← Your article can then be printed.
