Welcome to Landmark Kiddie Kollege. This handbook contains information regarding the daycare/preschool program. It is very important that you read this handbook and keep it handy as long as your child is enrolled in the program. It will answer many of the questions you have about our center.

Mission Statement

Our mission is to provide a Christ-centered, safe learning environment for every child. We are committed to providing quality Christian care and education in a loving atmosphere. We can accomplish this mission by creating a nurturing environment in which God and the Bible are shared each day. Each child will be taught a basic, fundamental Christian foundation along with ongoing physical, emotional, intellectual, and social growth.

Vision

Landmark Kiddie Kollege was established to provide quality, loving care for children ages six weeks to five years old. We have also included children in K-6th grade for before-school and after-school programs.

Each child is a unique individual, created in God’s image. Every child has aptitudes and abilities in many areas; spiritual, mental, emotional, social, and physical. We recognize that children develop and grow at their own pace and in their own way. Developmental differences are celebrated. Our goal is that each child would grow up with a good self-image, a feeling of independence and strength, and a good understanding of themselves and the world they are a part of.

We believe that the family is the primary source of education and socialization of young children. We view our program as an extension of home. We believe that parents are their child’s primary teachers. Our desire is to partner with parents to provide children with a sense of connectedness between home and school.

Early childhood is a critical time in the development of a child’s perceptions of self, others, the world, and God. We provide a learning environment in which each child participates in a program designed to permit discovery and application at levels appropriate for their abilities.

We want you to leave each day knowing your child is getting the very best care and education. We want our daycare/preschool to be each child’s home away from home. We promise to love and nurture each child with many hugs each day!

LICENSE

Landmark Kiddie Kollege is licensed by the State of Ohio. At the end of this handbook you will find an addendum regarding licensing and other valuable information. Please take the time to read this information.

Our current license is posted in the office on the bulletin board along with all inspection reports.

ADMISSIONS

Children ages six weeks – five years not yet in Kindergarten will be accepted at Landmark Kiddie Kollege.

A child is enrolled in the center only after the registration fee and, required paperwork, including the CACFP documents, and the first week’s tuition have been received and the administrator confirms the availability of space. This includes basic enrollment and health information. Any change to this information must be communicated to the office immediately so that current information is always on file. This is for the safety of your child. A medical form signed by a physician or certified nurse practitioner is required to be submitted within thirty days of admission. This medical form must be updated every thirteen months.

Landmark Kiddie Kollege will accept 25% of total enrollment for children that are enrolled in the Hamilton County, Butler County, and Clermont County voucher program.

HOURS AND DAYS OF OPERATION

Our center will be in operation Monday through Friday 6:30am to 6:00pm. A late fee will be accessed beginning at 6:01 pm for any child who is not yet picked up and will be payable in cash directly to the teacher at the time of pickup. If not paid at time of pickup, it must be paid the following morning before drop off.

Late fees are as follows:

6:01pm – 6:16pm = $15

6:16pm – 6:31pm = $30

6:31pm – 6:46pm = $45

The center will close to observe the following holidays: New Years Day, Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the Friday after, Christmas Eve, Christmas Day, and New Year’s Eve. There will also be two teacher in-service days that will be announced at least sixty days in advance (spring & fall). Full tuition is due for the weeks in which these holidays fall.

STAFF/CHILD RATIOS AND MAXIMUM GROUP SIZE

Landmark Kiddie Kollege will not exceed the following state required ratios:

1:5 OR 2:10 Infants (0-12 months)

1:6 OR 2:10 Infants (12 – 18 months)

1:7 Toddlers (18 – 30 months)

1:8 Toddlers (30 – 36 months)

1:12 Preschoolers (3 – 4 years)

1:14 Preschoolers (4 years – until eligible for kindergarten)

1:18 School Age (children eligible for kindergarten - 12years)

Because we desire to provide a higher level of quality care we will strive to have an additional staff person called a “floater/aide,” in all three areas of our center (infants, toddlers, and preschool) to assist lead teachers. Ratios for toddlers and preschoolers may be doubled at naptime as long as all children are resting quietly on their cots and enough staff is in the building to meet the regular required staff/child ratio if there is an emergency.

The maximum group sizes are as follows:

10 – Infants (6 weeks – 18 months)

14 – Toddlers 1 (18 – 30 months)

16 – Toddlers 2 (30 – 36 months)

24 – Preschoolers (3 - 4 years)

28 – Preschoolers (4 – 5 years)

36 – School Age (5 – 12 years)

The number of children in one group who may be cared for at any time defines maximum group size. Limitations do not include naptime, lunchtime, outdoor play or special activities.

DAILY SCHEDULES

The children’s daily schedule is flexible enough to provide adaptability when necessary but structured enough to provide predictability for the children. We want the children to view their school as a safe and comforting place where they know what to expect and when to expect it.

A typical Preschooler AND Pre-K daily schedule would include:

6:30 – 7:15 a.m. Arrival and choice of limited learning centers

7:15 – 8:00 a.m. Hand/washing/breakfast

8:00 – 8:30 a.m. Separate into rooms/supervised free play

8:30 – 9:00 a.m. Attendance and restroom break

9:00 – 9:15 a.m. Clean up

9:15 – 9:35 a.m. Morning circle time: calendar, weather, stories, songs, etc.

9:35 – 10:35 a.m. Learning centers: sensory motor, science, construction, etc.

10:35 – 11:00 a.m. Outside play or indoor gross motor room

11:00 – 11:15 a.m. Story time

11:15 – 11:30 a.m. Restroom/prepare for lunch

11:30 – 12:15 p.m. Lunch

12:15 – 12:45 p.m. Quiet time/Books and puzzles

12:45 – 1:00 p.m. Restroom break

1:00 – 2:45 p.m. Rest time

2:45 – 3:00 p.m. Restroom/wash/up/quiet activities

Note: Each morning upon opening children are combined for short periods of time until certain child/staff ratios are met; at the end of each day classes are combined as children go home therefore allowing teachers to go home once child/staff ratios are met.

10:15 – 11:00 a.m. Small group time

11:00 – 11:15 a.m. Set up for lunch, diaper checks

11:15 – 11:45 a.m. Lunch for infants that eat from the menu

11:45 – 2:00 p.m. Individual activities for those who are awake

2:00 – 2:30 p.m. p.m. snack

2:30 – 2:45 p.m. Clean up snack/diaper checks

2:45 – 3:30 p.m. Small group time/exploration of materials

3:30 – 4:00 p.m. Outside play/indoor gross motor activities

4:00 – 4:15 p.m. Diaper checks

4:15 – 6:00 p.m. Individual activities/quiet activities/departure

TUITION/FEES AND PAYMENT POLICIES:

Children ages six weeks – five years are taken on a full-time basis. Full-time will be considered three days or more per week.

Registration Fee: (Non-Refundable) per child upon initial enrollment.

Private pay $75 per child

Subsidized pay $50 per child

All families will pay full tuition if their child attends one (1) day or five (5) days in a week.

Infants (6 – 18mo) $210 per week

Toddlers (18mo – 3 yrs.) $200 per week

Preschool (3 – 5 yrs.) $180 per week

*We Do Not Offer Part-Time Enrollment or Rates

*Note – three-year-old children must be potty trained to enter the three year old classroom.

** Any tuition paid in full, upon enrollment, for the entire year will receive a 15% discount

There is a 10% discount for the oldest child in a family of two

There is a 10% discount on the two oldest children in a family of three

All tuition is due on Monday of the week childcare is provided. If payment is not received by Monday afternoon the account will be considered delinquent. (see delinquent payments below) In the event of illness, full payment is expected except for an extended illness. An extended illness is considered to be an illness that keeps the child out of the center for more than ten consecutive weekdays. Half payment is required for extended illnesses to maintain the child’s space. Notification to the office is necessary to maintain a current status.

All checks are to be made payable to Landmark Kiddie Kollege. All major credit cards are accepted. All payments are to be turned into the office.

Vacations:

The center must be notified of vacation dates at least two weeks in advance. Each child is granted ten free vacation days per year (after ninety days of attendance.) These days may be used individually or in succession. If the child is on vacation more than ten days, the normal rate will be charged thereafter.

Holidays:

Full tuition is due for weeks which include holidays. Staff receives these days as paid holidays.

Delinquency/Returned Checks:

A fee of $5 per day will be charged to the account if the payment is not received on time. A $25 fee will be charged for any returned checks. The parent will be required to pay in cash until all account balances are settled. It will be the decision of the director if checks will be accepted in the future.

Withdrawals:

Parents wishing to withdrawal their child(ren) may do so at any time. A one-week notice, in writing, is appreciated but not required.

Inclement Weather:

On rare occasions, it may be necessary to close the center due to weather conditions. We will always make every effort to open our doors at the normal time. If inclement circumstances should arise, watch television station WKRC on channel 12 for closing information. On these occasions regular payment is expected.

Supervision Policy:

A major responsibility of the staff is to ensure the health and safety of each child entrusted to our care. Staff persons are alert to the safety needs of their children, anticipate possible hazards, and take necessary, appropriate, precautionary, and preventative measures.

Arrival/Departure:

All children must arrive no later than 10am each day. The only exception for late arrival is if we are notified of a doctor appointment that day.

Parents are required to sign their child (ren) in on the computer located in the office. Children must then be escorted into the classrooms. Any special messages, medications, special pickup notes, etc. are to be given to the teacher. Children cannot be dropped off at the entrance of the building or be sent inside alone. Staff must be made aware of each child’s presence before the parent departs. At the time of pickup the child must be signed out on the computer in the entrance lobby area. Parents are asked to make contact with their child’s supervising staff member to ensure that the staff is aware the child has been picked up. Parents are responsible for the supervision of their child before and after sign-in. No child is to be passed over a divider wall or outside fence for pick up or drop off.

Supervision of Infants/Toddlers/Preschoolers:

At no time will a child be left unattended. Staff will supervise children at all times, including naptime. If a child becomes ill, they will be sent to the office and supervised by office staff until the parent arrives to pick the child up. (Excluding infants & toddlers)

Release of a child:

Staff will release children only to persons on the release form provided by the parent. If an emergency arises and another person is to pick up the child, the parent must provide a written, signed note giving that person permission to pick-up their child. Staff will be instructed to check all I.D.s of anyone they do not recognize. Please let people know about this ahead of time so they bring a picture I.D. and are not offended. Your child’s safety is our first priority! Staff will not release children to anyone, including parents, who appear to be under the influence of drugs or alcohol. Emergency contacts will be called to transport the child home. If necessary the Police will be notified.

Custody Agreements:

If there are custody issues involving your child (ren), you must provide the center with court documents indicating who has permission to pick the child up. The center may not deny a parent access to their child without proper documentation from the courts.

Transitioning:

Upon enrolling into the center, you and your child are welcome to spend some time visiting his/her classroom. This will give you, as the parent, the opportunity to see how the classroom is run and operated on a daily basis.

When your child transitions within the center you will be notified when they are ready to move to the next classroom. As part of the procedure, center staff will develop a transition plan. This plan will include the beginning and ending date of the transitioning period and include a transition schedule. All transition plans must be signed by the Director and the parents.

Upon completion of our program your child will receive a certificate congratulating them on the next stage in their lives.

Child Abuse Reporting:

All staff members are mandated reporters of child abuse. If staff has suspicions that a child is being abused or neglected, they MUST make a report to the local children’s services agency. The safety of the children is always our first concern.

Guidance Policy:

At Landmark Kiddie Kollege we believe that helping the child to learn self-control is very important. Our hope is that each child will learn self-discipline through careful guidance. Your child will be treated with love and respect. We believe if children are treated with respect they, in turn, learn to respect their peers and friends. We will provide as much positive attention as possible to each child. Our expectations will be kept within the child’s capabilities and the child will be made aware of these expectations. Positive reinforcement and positive redirection will be used.

We understand that discipline is a part of the learning and growing up process. A child may be asked to sit for a short time period to give the child a chance to regain control if they are having a difficult time in a particular situation. Time- outs will be age-appropriate in length and done within the classroom. Staff will not impose punishments for failure to eat or sleep or for toileting accidents. This discipline policy applies to all staff and parents while they are at our center.

If a situation arises where a child is consistently endangering himself, peers or staff, it may become necessary to ask the patent to remove the child from our program. Every attempt will be made to work together with the parents and the child to correct the behavior. However, the safety of children is always our primary concern. The administrator would be in communication with the parents prior to this occurring.

Meals and Snacks:

We will provide breakfast at 7:30 a.m. and a lunch between 11:30 a.m. -12:30 p.m. and an afternoon snack around 3 p.m. All lunches will meet all daycare-licensing requirements. Each of the snacks will contain at least two nutritional foods.

Please notify us upon enrollment if your child is not permitted to have any type of food due to allergies. We are a PEANUT-FREE CENTER.

Accidents/Emergencies:

Landmark Kiddie Kollege has devised several procedures to follow in the event that an emergency would occur while a child is in the center’s care. In the event of a fire or tornado, staff would follow the written evacuation routes and follow necessary procedures to ensure that children have arrived at the designated location. Teachers will immediately check their attendance sheet to ensure each child is safe. In order to prepare the children for the unlikely need to evacuate, the center will conduct monthly fire drills and periodic tornado drills. Should we need to evacuate due to fire or weather conditions or the loss of power, heat, or water to the center, our emergency destination is the gymnasium across the parking lotto the East of our building. Parents will be contacted as soon as possible to pick children up. If the parent cannot be reached we will contact an emergency contact who is listed on the child’s application.

In the unlikely event that there would be an environmental threat or a threat of violence, the staff will secure the children in the safest location possible, contact and follow the directions given by the proper authorities, and contact the parents as soon as the situation allows. An incident report would also be provided to the parents.

There is always at least one staff member present who has received training in First Aid/Communicable Diseases and CPR. In the case of a minor accident or injury staff will administer basic first aid and T.L.C. If the injury or illness is more serious, first aid will be administered and the parents will be contacted immediately to assist in deciding an appropriate course of action. If any injury or illness is life threatening, the E.M.S. will be contacted, parents will be notified, and a staff member will accompany the child to the hospital with all available health records. Staff may not transport children in their vehicles. Only parents or E.M.S. will transport children.

An incident/injury report will be completed and given to the person picking up the child on the day of an incident or injury, if any of the following occur: the child has an illness, accident, or injury which requires first aid, the child receives a bump or blow to the head, the child has to be transported by emergency squad, or an unusual or unexpected event occurs which jeopardizes the safety of the child. If a child requires emergency transportation, the report shall be available within twenty-four hours after the incident occurs. The center shall also contact licensing personnel from the appropriate ODJFS office within twenty-four hours when there is a “general emergency” or “serious incident, injury, or illness.” The report will be provided to licensing staff within three days of the incident.

Management of Illnesses:

Landmark Kiddie Kollege provides children with a clean and healthy environment. However, we realize that children become ill from time to time. If this is your child’s first group care experience, it is possible that they may experience more frequent illnesses at the beginning until their immune system becomes more active. We observe all children as they enter the program to quickly assess their general health. We ask that you not bring a sick child to the center. They will immediately be sent home. Please plan ahead and have a back up plan in place if you are not able to take time off work or school.

A child with any of the following symptoms will be immediately isolated (except infants and toddlers) and discharged to the parent or emergency contact:

Temperature of 100 degrees F – in combination with any other signs of illness. (See Note about mildly ill children)

Diarrhea (more than two abnormally loose stools within a twenty-four hour period)

Severe coughing (causing the child to become red in the face or to make a whooping sound)

Difficult or rapid breathing

Yellowish skin or eyes

Redness of the eye or eyelid, thick and purulent (pus) discharge, matted eyelashes, burning, itching or eye pain

Untreated skin patches, unusual spots or rashes

Unusually dark urine or grey or white stools

Stiff neck with an elevated temperature

Evidence of untreated lice, scabies or other parasitic infestation

Vomiting more than once or when accompanied by any other sign of illness

Sore throat or difficulty swallowing

Any child demonstrating signs of illness not listed above will be isolated and carefully observed for symptoms. The parent will be notified. If a child does not feel well enough to participate in center activities the parent will be called to pick-up the child. Anytime a child is isolated they will be taken to the office or they may remain in the classroom but only to be kept within sight and hearing of staff member. The cot/bed and linens used will be washed and disinfected before being used again.

**NOTE (Mildly Ill Children): We will care for children with a low grade fever not exceeding 101 degrees F only if a doctor’s note is provided stating the child does not have anything contagious. An example may be an ear infection or after a child receives immunizations.

A posted sign in the classroom will notify parents if children have been exposed to a communicable illness. Sick children will be readmitted to the center only after at least twenty-four hours without fever or other symptoms. If they are not symptom –free, a doctor’s note will be required stating that the child is not contagious. (See mildly ill children statement above)

Medications:

The center will administer medications to a child only after the parent completes a Request for Medication form. (Kept on the office counter) All proper sections must be completed. Medications will be stored in the office. Medications WILL NOT BE STORED IN THE CHILD’S CUBBY OR BOOKBAG. The only exception to this requirement is for school age children who require the immediate use of an inhaler for a medical condition. Only school age children will be permitted to maintain control of their inhalers.

Parents must sign a release form stating that they are permitting their child to have access at all time to the inhaler. The child must keep the inhaler on his person at all times. It may not be stored in a cubby or book bag. Anytime the child is unable to maintain control of the inhaler it must be handed directly to the staff member responsible for the child. Parents are to explain this procedure to their child.

Prescription Medications:

All prescription medication must be in their original container and administered in accordance to instructions on the label. Over the counter medications must also be administered in accordance to label instructions. If parents request any different dosages or uses, a physician must provide written instructions on the Request for Medication form. Over the counter medications will not be administered for more than three days without instructions from a physician.

Food Supplements or Modified Diets:

If your child requires a food supplement or a modified diet, you must provide the center with written instructions from your physician. Please speak to the administrator for more details.

Outdoor play:

Research has shown that children stay healthier when they have daily outdoor play. Based on this information and state requirements, outdoor play will be included in our program on a daily basis. We will limit the amount of time outside when the temperatures are very warm or very cold. Children will not be taken outside when the temperature (wind chill and heat index factored in) drops below twenty degrees or rises above ninety degrees. If the situation requires, we will also adjust outdoor time due to rain or threatening weather. On days that outdoor play is not provided we will include a time for indoor gross motor activities. Please send your child with proper clothing so they will be comfortable and safe while playing outside.

Parent Participation:

We welcome parents to participate in the activities of the center whenever possible. Parents, as well as grandparents, great grandparents, aunts/uncles, have unlimited access to all areas of the building used for childcare during the hours of operation. Parents, grandparents, great grandparents, aunts/uncles, may wish to attend class parties, special luncheons, or simply drop in to read a story. Teachers are available to discuss a child’s progress or needs at anytime. However, due to staff responsibilities and schedules, parents are asked to make appointments with staff when it is necessary to engage in any lengthy conversations. Teachers want to be able to focus on you and your child at these times.

If parents have any concerns or questions at any time it is recommended that the following chain of command be used until an answer or solution can be reached:

Please feel free to bring up any concerns when they arise. Often they can be addressed while they are little problems before they grow into bigger problems.

Staff fully realizes that you trust us with your little ones and we want our relationship to be a good one.

Parent Rosters:

A parent roster of each class group is available upon request. Each parent who gives permission to be listed (page 1 of the enrollment application) will be included on the roster. No parent’s name or telephone number will be listed without your permission.

First Day:

TODDLERS/PRESCHOOL/PRE-KINDERGARTEN

On your child’s first day at the center, please bring a complete change of clothing for each child. This should include under/clothing, socks, pants, shirts, etc. Please do not bring any expensive clothing. Bring play clothes. Mark each item with child’s name. Give these items to the teacher on the first day of attendance. The items will be placed in a bin which will be labeled with your child’s name. If your child has an accident that requires their clothing to be changed we will send home the soiled clothing. We will need for you to bring in a new change of clothing the next day.

You will also need to bring a small pillow and blanket (for children eighteen months and older). Please make sure that the pillow and blanket are labeled with child’s name. Younger children can bring blankets or whatever you would like in their cribs. No bumper guards are permitted.

NURSERY

Parents are responsible for bringing in all bottles; jar baby food, diapers, wipes and a change of clothing. Please make sure that all bottles, food, diapers and wipes are labeled with the child’s name. Bottles and food need to also include the date that you bring them in.

OVERVIEW

We hope your experience and your child’s experiences with Landmark Kiddie Kollege are memorable ones. We will share our love, God’s love, and an excellent learning environment for your child. Thank you for entrusting your child to our center.

PHOTOS & VIDEOS

Periodically, we take photos and videos of our classrooms while the children are engaging in learning and play. Your permission is needed for your child to be included.

SUBSIDIZED BILLING

Ohio’s Publicly-Funded Child Care Program

Landmark Kiddie Kollege accepts children that are receiving vouchers (subsidized payments) from Hamilton County Job & Family Services. We do not accept temporary vouchers, only permanent vouchers.

Each family will be responsible for informing Hamilton County Job and Family Services that your child will be attending Landmark Kiddie Kollege. You will receive swipe cards in the mail from Hamilton County Job and Family Services. You are responsible for these cards. You must bring your card with you daily to swipe your child in upon arrival and out upon departure. We are not permitted to keep cards in our office. To activate or replace a card please contact ACS @ 1-888-796-4322.

We do not accept subsidized children on a part-time basis. We only accept children that will be attending our center 25 hours or more each week. Each child is given 10 absences per each six month period. Any child that is absent more than 10 days in any six month period will be charged a daily rate as follows.

Infants (6wks -18mo) $42 per day

Toddlers (18mo -3yr) $40 per day

Preschool (3yr-5yr) $36 per day

Anytime your child will not be attending Landmark Kiddie Kollege you must call our office at 513-771-7335 to report the absence. Any child absent for more than 5 consecutive days without notifying the office will be withdrawn from our center. Upon withdrawal, Hamilton County Job and Family Services will be notified.

Parents are responsible for paying the “family fee” on Monday of each week. This amount is located on your printout when you swipe your card. This amount must be paid on Monday or the first day of the week that a child attends. We are responsible for reporting any family to Hamilton County Job and Family Services when fees are not paid. This could result in possible termination of benefits. Any family that does not pay the “family fee” on Monday will not be permitted to return on Tuesday. No Exceptions!

I have read and understand that I am responsible for my weekly “family fee” on Monday of each week, payable to Landmark Kiddie Kollege. I understand that if my child exceeds the 10 days allotted absences per every six months, I will be charged the daily fee noted above. I understand that if my child is absent for more than 5 consecutive days without notifying the office, my child will be withdrawn from the center.

The facility is licensed to operate legally by the Ohio Department of Job and Family Services. This license is posted in a conspicuous place for review.

A toll-free telephone number is listed on the facility’s license and may be used to report a suspected violation of the licensing law or administrative rules. The licensing law and rules governing child care are available for review at the facility upon request.

The administrator and each employee of the facility is required, under Section 2151.421 of the Ohio Revised Code, to report their suspicions of child abuse or child neglect to the local public children's services agency.

Any parent, custodian, or guardian of a child enrolled in the facility shall be permitted unlimited access to the facility during all hours of operation for the purpose of contacting their children, evaluating the care provided by the facility or evaluating the premises. Upon entering the premises, the parent, or guardian shall notify the Administrator of his/her presence.

Contact information for parents/guardians of the children attending the facility is available upon request. This information will not include the name, telephone number or email of any parent/guardian who requests that his/her name, telephone number or email not be included.

Recent licensing inspection reports and any substantiated complaint investigation reports for the past two years are posted in a conspicuous place in the facility for review.

The licensing record, including licensing inspection reports, complaint investigation reports, and evaluation forms from the building and fire departments, is available for review upon written request from the Ohio Department of Job and Family Services.
