No dedicated hardware or software is required beyond a high-speed connection (including wireless, access from multiple offices, home, on-call).?? Why not start today? Silence the Pharmacy Phone and take a first step towards the paperless office. Any computer with an internet connection can access NewCrop directly from within My Vision Express. My Vision Express sends your Site, Prescriber and Patient information to the NewCrop system. My Vision Express employee profile defines their e-prescribing role and access to the NewCrop system. You can also link a doctor to the employee record so it defaults the prescriber when that employee is logged-in. If no doctor is linked to the signed-in employee and there is more than one e-prescribing doctor the system will prompt the user to select the prescribing doctor. In order for doctors to be able to prescribe they must have their NPI number properly setup in their profile which can be accessed by going to File > Setup > Physician/Resource (Inhouse) from the main menu.Setup RequirementsIn order to use the e-prescribing feature, you need to contact My Vision Express so that a support representative can activate it for you. This feature has a monthly subscription fee of $50 per prescriber. Follow these steps to setup My Vision Express for e-prescribing:Activate E-Prescribe: A My Vision Express representative will assign a unique ‘E-prescribe Site’ in the ‘System Settings’ tab of the Company Information screen (Fig. 1). This number is unique to your database and will not vary per location if you have more than one location.NOTE: Site ID is the unique customer number we have in our system. Site ID can only be entered by Insight Software, LLC employee and cannot be changed once assigned.Fig. SEQ Fig. \* ARABIC \r 1 1 - Setting up the ‘E-Prescribe Site’.Verify your location information: My Vision Express sends your location information (Fig. 2) with every eprescribe transaction. The following fields for the location where you are currently logged-in will be sent with your e-prescribe transactions: ‘Location ID’ (system-generated)‘Company name’‘Address’‘City’‘State’‘Zip’‘Phone’‘Fax’‘Backoffice fax’Fig. 2 - Required fields for each location.Verify the setup for each in-house doctor: Specify whether a doctor e-prescribes or not by checking the ‘ePrescribe’ checkbox (Fig. 3). Make sure that the ‘DEA’, ‘NPI’, ‘UPIN’ and ‘License’ fields have been properly specified.Fig. 3 - Required fields for inhouse physicians.Assign user types/roles to employees: In the Employee setup screen (Fig. 4), assign the employee ‘E-Prescribe User type/Role’ for employees that will access the NewCrop website. Select from the following user type/role definitions:“LicensedPrescriber/Doctor”: Use for doctors and nurse practitioners or physician assistants that can write prescriptions without any oversight. “Staff/admin”: Use for clerical staff individuals who cannot prescribe medications, but can do medication entry for the doctor, setup location\patient pharmacy favorites and account health plan lists. “Staff/nurse”: Use for users that must ask a doctor what prescriptions should be written and then writes those prescriptions on behalf of the doctor Once the ‘E-prescribe User type/Role’ is assigned to an employee it will rarely change. In order to change it, you need to contact Insight Software, LLC. You can link the employee record to the physician record so that it does not prompt the user to select a doctor when using e-prescribing functions.Fig. 4 - Required fields for employees.E-Prescribing ProcessAccessing E-Prescribing New Crop for the First TimeThe first time you use E-prescribing you are prompted to accept the terms of the NewCrop E-Prescribing Agreement by selecting “I Agree”. New Crop is required to have a direct relationship with prescribers by SureScript, as well as HIPAA. You will see a ‘Welcome to Electronic Prescribing!” window with a sample patient screen and a scroll bar to the right that accesses the Agreement section. Scroll down to click the “I Agree” option if you wish to begin using the interface. Once you have accepted the terms of their agreement, New Crop will notify Insight Software, LLC that you have activated the interface for billing purposes. Insight Software, LLC bills you on a monthly basis for the prescribers who have accessed New Crop E-prescribing.Patient Profile InformationMake sure that the ‘e-Prescribe’ checkbox is checked for every patient for whom you want to use the EPrescribe interface. When you e-prescribe, the following data from the patient in use is forwarded to the NewCrop website: ‘Patient Name’, ‘Address line 1’, ‘City’, ‘State’, ‘Zip’, ‘Home Phone’, ‘Sex’, ‘Birth date’ and ‘SSN’. EPRESCRIBE in bold letters means that the data has been synchronized between the two systems.Fig. 5 - Patient profile fields used for e-prescribing.Medication and Allergy Data You can enter new medications and allergies for a patient in the NewCrop website and they will be automatically imported into My Vision Express when the e-prescribe interface is closed. Medications and allergies entered for your patient by other prescribers in the Surescripts network will also be imported and will be visible in the NewCrop website and My Vision Express.Fig. SEQ Fig. \* ARABIC 6 - Patient's ‘Health’ tab - ‘Allergies’ sub-tab.Allergies imported into My Vision Express are available in the ‘Health’ tab under the ‘Allergies’ sub-tab in the patient profile’s and exam’s screens (Fig. 6) in read-only mode. To edit an imported allergy, you need to click e-Prescribe button which will take you to NewCrop website. Similarly, medications imported from NewCrop are displayed under the ‘Medications’ sub-tab (Fig. 7) in read-only mode. To fax, copy or delete an electronic prescription, you must use the NewCrop e-prescribing interface.Fig. 7 - Patient ‘Health’ tab - ‘Medications’ sub-posing an Electronic PrescriptionAt the NewCrop website, you can use the Compose Rx page to create a new prescription. You will be taken to this page when you click the e-Prescribe button in the ‘Allergies’ or ‘Medications’ sub-tabs of the patient’s and exam’s ‘Health’ tab. Fig. 8 - The Compose Rx page at the NewCrop website.To prescribe a new medication, type its name in the ‘Drug Lookup’ field and click the Drug Search button then click on the drug name to edit the dosage, frequency, etc. ( REF _Ref290753296 \h Fig. 9). To edit the list of allergies for the patient, click the Allergy/Intolerance Search button.Fig. 9 - Editing a prescription in the Compose Rx page.Prescription Status and Renewal ProcessingYou can see a list of prescription renewal requests sent by pharmacies from the ePrescribe - Renewal Request Status dialog ( REF _Ref290542352 \h Fig. 11). You can access this dialog by going to Tools > ePrescribe > Renewal Request Status from the main menu. To process a renewal, select it and click the Process Request button.
