RE: Clearance/Registration Procedures Fall 2007

On behalf of the Administration of Shaw University, I salute you for having the motivation to continue your education. I encourage you to take advantage of all available opportunities to facilitate your smooth return to the University for the fall term.

We are preparing to give you a very smooth opening, but your help is needed to facilitate the same, please note the following as it relates to your return:

Residence Halls open for Returning Students on August 13th. DO NOT REPORT BEFORE THIS DATE. STUDENTS WHO REPORT BEFORE THIS DATE MUST FIND ACCOMMODATIONS IN THE CITY.

I. FINANCIAL AID:

The receipt of financial aid is NOT AUTOMATIC. Students must apply for financial aid; supply all information as required by the Federal Government and the institution before eligibility is determined. One cannot assume eligibility.

II. THE FAFSA (Free Application For Federal Student Aid) If you have not filed the FAFSA for 2007-2008, you are encouraged to do so immediately! Without the information contained in this document, the Office of Financial Aid cannot make an award to you.

If you wait and file this document by July 15, 2007, you will end up without a final award before school starts and without funds to begin the year.

Without a final award you will be classified as a cash-paying student. If you are on campus or off campus you will need to have $500 in cash and pay it at the time that you begin your initial clearance. If you arrive on or before August 16, 2007 without a final award, you will need the $500.

File the FAFSA today! Go on line and follow the following procedures:

• Go online to this website: fafsa.

• Click the link

• Fill out the FAFSA as it directs

• All students must have a Personal Identification Number (PIN). The PIN serves as your electronic signature and provides access to your personal information in various U.S. Department of Education systems. In order to obtain a PIN, please go to pin..

CONSEQUENCES FOR NOT CLEARING BACK BALANCES:

1. No room assignment

2. The student’s classes will be purged from the registration system.

3. All dining hall privileges will be on a cash basis only.

4. Temporary rooms will not be available. The student will need to secure accommodations off campus, at their expense, until financial issues are resolved.

If students were allowed to make deferred payments for 2006-2007 and did not honor those agreements, please note that the student will not be allowed to make another deferred agreement for 2007-2008, unless the previous agreement has been honored. The funds for the previous agreement must be paid immediately.

IV. CLEARANCE PROCESS:

All students who have a –0- balance, from the 2006-2007 academic year and have a final financial aid award will be able to report to the Willie E. Gary Student Center on August 13, 2007 to be assisted with fiscal clearance. It will be necessary to determine if students’ final awards cover the total cost of attendance. If the award does not cover the total cost, the student is responsible for paying the balance at the time of clearance.

It should be noted that a student may have a –0- balance, but failed to register for classes by July 31, 2007. If this is the case, students will be charged a late registration fee in the amount of $50 and experience a delay in the clearance process.

V. LOAN DEFAULT:

It is the policy of Shaw University not to allow students in default to enroll unless they are cash paying. This includes transfer students. The U.S. Department of Education requires that six (6) consecutive payments be made to the lending agency before approved status is resolved. While the student is making the six (6) consecutive payments, the student cannot enroll at Shaw unless they are cash paying.

V. ATHLETES, RAs, SDCs, SCHOLARSHIP RECIPIENTS, BAND and CHOIR MEMBERS:

All students who fall into the above categories must file the FAFSA by July 15, 2007. All athletes are encouraged to contact the Athletic Director regarding any issues arising from 2006-2007. DO NOT WAIT UNTIL SCHOOL OPENS TO RESOLVE THESE ISSUES. All students receiving a full grant in aid must file the FAFSA.

VII. SATISFACTORY ACADEMIC PROGRESS (SAP)

The Higher Education Act of the U.S. Department of Education requires Shaw University to develop and apply a consistent standard of academic progress. To qualify for federal and state aid, a student must maintain satisfactory academic progress in the course of study the student is pursuing. Shaw University has developed its Satisfactory Academic Progress Policy to comply with the statutory requirements that a student must make satisfactory progress to be eligible for federal aid (Pell Grant, Federal Supplemental Education Opportunity Grant-FSEOG, Federal College Work Study, Direct Stafford Loans – subsidized and unsubsidized, PLUS Loan and the Federal Perkins Loan), state aid (North Carolina State Contractual Fund-SCF), scholarships, and institutional grants. Students who fail to maintain satisfactory academic progress may not receive financial aid unless an appeal has been approved. For more details, please go to shawuniversity.edu, click on Undergraduate Catalog on the right hand side of the homepage and thoroughly read pp. 15-19.

VIII. STUDENT ATHLETES AND SATISFACTORY ACADEMIC PROGRESS (SAP):

Satisfactory academic progress for athletes as it pertains to athletic participation is determined by prescribed guidelines formulated by the NCAA. University SAP policies pertains to continued enrollment and supersedes athletic satisfactory progress unless NCAA guidelines are greater.

IX. DROP AND ADD PROCEDURES:

Students who fail to resolve matters relating to finances at the University by the last date to drop and add (August 27, 2007) the first semester and (January 21, 2008) the second semester, will be dropped from the rolls of the University. After a name is purged, the student will not be reinstated and the student must leave the University. Students are responsible for seeing to it that they are officially registered for classes. Being registered for classes means that the student’s name is on the official class roster and in the Registrar’s system by the last day to drop/add. DO NOT WAIT UNTIL THE LAST MINUTE TO DROP/ADD.

X. FULL-TIME STATUS:

Students are considered to be full-time when maintaining a course load of twelve (12) credit hours. When a student’s course load falls below twelve (12) credits, financial aid awards will be adjusted to reflect the change. Students are responsible for maintaining full-time (FT) status to live on campus.

XI. STUDENTS’ RESPONSIBILITIES:

• Students are responsible for knowing the name, office location, e-mail address and telephone number of their advisors. Please consult with the First Year Program Office or the Academic Advising Center for assistance.

• Students are responsible for making sure that the institution is informed about any change in their addresses. The University will send information to the address that is on file.

• Students are responsible for reading and responding to e-mails, campus bulletins posted around the campus, and any other written correspondence, listening to telephone voice messages, listening to announcements on the intercom system in the residence halls, etc.
