2020 Performer Information and Application

Applications

? The preferred method for submission of applications is electronically. Applications submitted through the electronic process will be accepted until 11:59 p.m. on October 1, 2019. After submission, please print the first page of your application and mail to the Florida Folk Festival office through US mail along with your supporting documents, recordings, photos, etc.

? Do not attach additional pages, photos or recordings to your electronic application. Attaching additional documents to your electronic application will prevent the application from being delivered through the email system.

? Applicants that don't follow the instructions for electronic submission will have their applications returned for proper submission.

? Applications submitted by mail must be postmarked by October 1, 2019 Applications postmarked after October 1, 2019 will not be reviewed for participation in the 2020 Florida Folk Festival.

? Applications may only be submitted by individuals or groups. (Booking agents must include a letter from their client authorizing them to submit and sign the application on their behalf.)

? There will be no exceptions to the application process. ? Please only send the information requested in the application at this point in time. Pass

requests and camping requests will be collected from accepted performers at a later date. Note: Participation in a prior Florida Folk Festival does not guarantee acceptance to the 2020 Festival.

Workshops

Workshops are a major part of the Festival and artist selection often depends on a performer or group's ability to effectively participate in these forums. If you or members of your group are interested in participating in a workshop, please indicate this on the application. Feel free to suggest ideas for new festival workshops. The Festival seeks skilled performers to coordinate workshops. Please volunteer or recommend performers to coordinate the sessions you suggest.

Sample Recording

? A short recording must be submitted by US Mail with the first page of your application. Every applicant must submit a current recording.

? Your recording should be representative of the performance and group members that will appear at the Folk Festival.

Recording Preparation Guidelines

? Submissions should be on a CD, DVD or USB drive (sound only or with video). We highly recommend sending a live performance video with minimal background noise. After recording your sample, and before mailing, be sure to first test the CD, DVD or USB drive by playing it back on several types of players, such as a dvd player, computer and car stereo. If your submission will not play back properly for the reviewers, you will not be reiewed. Our first preference is to receive a recording with video that can be played in a DVD player or computer (USB).

? Select and record only what you consider the best work of those that will be performing at the festival. The review panel will frequently dismiss an applicant's recording submission if it is not representative of the group members listed on an application.

? Arrange the selections carefully in order of preference. Place your favorite and bestexecuted piece first on the recording.

? Submit pieces from your repertoire that represent the content and style of your total performance.

? Omit introductory remarks and descriptions between the songs or stories you submit, unless they are a standard part of the performance.

? Limit the selections to two or three pieces ? totaling seven minutes or less. ? Make sure your selections don't run together in a single file/recording. Each selection must

be submitted as a single file. The review panel will assume that a single file submitted on your media of choice is a single recording and will not search through a huge file to find additional recordings. ? Do not submit recordings of material heavily treated with reverb / digital delay or other electronic effects. Record your sample cleanly, with instruments and vocals well balanced. ? The best submissions are those that are recorded "live" as opposed to multi-track studio recordings. Try to convey to the judges: "This is what I/we sound like when performing live, in public." You should be careful in live performance recordings to make sure the background noise does not distract from the performance.

Type of Performance

Please be specific in your description of the type of music you perform and try not to use the following generic terms: Americana, folk, eclectic, etc... Choose the ONE that most closely describes your performance.

Electronic Submission Instructions: Submission by electronic means is the easiest manner in which to send us your application. This can be accomplished in several different ways. Before you get started ? Go to Acrobat Reader to download the newest version of Adobe Acrobat Reader FREE.

If an application was emailed to you ? Simply double click the application to open the file, complete the information. When you're finished, hit the submit button in the upper right hand corner of the first page and the application will be directly emailed to the festival office. You will not get a message that your application has been submitted. Someone will email you an acknowledgement that the application has been received. If you've not received an acknowledgement with a reasonable amount of time (3-5 days), please email Elaine.McGrath@dep.state.fl.us.

If you're not able to utilize the submit button, after you have completed the application, save the file to your computer. Email the file to Elaine.McGrath@dep.state.fl.us as an ATTACHMENT.

Please do not Scan an application and send all of the individually scanned pages to us. This is not an acceptable format and the application will not be considered for review.

MAC Users: You MUST completely open the file. If you only open and complete the application in preview format, the application either comes through to us as a blank document or you will have problems submitting.

Quick Checklist for Completing and Successfully Submitting and Application for Participation in the Florida Folk Festival

? Completely answer all of the questions in the Performer Application. "SAME" is not an acceptable answer).

? DO submit your accepted group name (you will not be able to change it). ? We suggest using your Tab key to navigate through the application (shift+tab

reverses the tab direction) ? DO NOT use all caps. ? DO check your spelling. The information submitted in your application is the

information that will be used throughout the festival program and website. ? DO check for typos on your application and correct them before submission. ? Mail the first page of th application (or entire application if submitting only by US

mail) and recording to the address listed on the application. ? Don't forget, everyone must submit a Current "working" recording on CD, DVD

or USB drive - DO NOT email recordings, photos, press kits, etc. We do suggest sending that information on a separate CD, DVD or thumb drive by US Mail. ? DO NOT send YouTube video links as your method of submitting recordings. We currently do not have the facilities available during performer review to access reliable wifi. ? If you do not have enough space on the application to submit all your group members, you should complete a second application listing only your group name, contact name and the additional members you were not able to submit on the original application.

Your willingness to volunteer as a performer is not factored into any part of the selection process. Honorarium request forms will be sent along with your acceptance email in December. Performers requesting classification as a Special Guest Performing Artist/Interpreter as defined in the 2020 Florida Folk Festival Participant Guidelines will have the opportunity to submit their request through the Honorarium Request Form in December. PERFORMER STAGE INFORMATION - Mail a high resolution digital photograph or digital press kit along with the first page of your application and recordings to the festival office once you have submitted your application electronically.

Please write a brief biography or group history. (This information will be utilized as your onstage

introduction by the emcee and should be written in that format. Caution: Your stage introduction time is deducted from your stage performance time. We recommend you keep it descriptive and exciting but concise). This is not a space for you to draw your stage set-up.

I/we hereby grant permission to the Florida Folk Festival and the Stephen Foster Folk Culture Center State Park, Division of Recreation and Parks, Department of Environmental Protection and the Florida Department of State to use photographs, and audio/video tape recordings made of me/my group during the annual Florida Folk Festival as well as the photographs and sample recordings that I provided to the Festival for publicity, educational and other promotional purposes.

I/we shall not hold the Division of Recreation and Parks, Florida Park Service responsible for accidents to me or my property while participating in the annual Florida Folk Festival on the grounds of the Stephen Foster Folk Culture Center State Park, White Springs, Florida.

Performances: I/we understand that a portion of any payment to me is to be full compensation for the performance rights of any song or melody I/we have composed that I/we perform at the Festival, and that the Florida Folk Festival, Division of Recreation and Parks and the Florida Department of State is hereby relieved of any further liability for payment to me/us or any publishing house or collection agency for the performances.

Sales: I/we understand that Festival policy requires me to pay 15% of my gross sales to the Florida Folk Festival, on the last day of the event.
