|Key accountabilities: | |

| |Finance |

| |To assist the Finance Manager with the accounting function of the company including: |

| |in the absence of the Finance Manager provide temporary cover |

| |manage the processes for all monthly invoicing |

| |carry out a review of all monthly invoicing on at least a quarterly basis to ensure these are accurate |

| |managing the debtors list |

| |purchasing company consumables |

| |day to day activities related to the office / premises |

| |other duties as required |

| | |

| |The Department of Internal Affairs Reporting |

| |To ensure all documentation required in the DIA EMS Service Agreement is delivered in accordance within the |

| |agreed timeframes. |

| |This will require: |

| |managing the timetable for all documentation |

| |co-ordination with the relevant subject matter experts and management to deliver the required documentation by |

| |the due dates |

| |managing the quality procedures and carrying out the quality reviews |

| |working with other teams to ensure processes are in place to capture all relevant information |

| |taking minutes at DIA / Intralot meetings |

| | |

| | |

| |HR Support |

| |To provide HR support to the CEO and Finance Manager |

| |This will include |

| |coordinating the documents for new recruits |

| |carrying out MOJ background checks |

| |carrying out exit interviews |

| |organising staff functions such as the Christmas event |

| |staff appraisals |

| | |

| |Business Process Improvement / development |

| |As required work with other teams within the company to improve / develop business / reporting processes. |

| |These could include: |

| |information required for status reports |

| |information required for the monthly performance standards report |

| |documentation for value added services |

| |assist with any bids / RFP’s |

| |documentation |

| | |

| |Customer Management |

| |Assist with the processes to capture customer feedback and identify any issues or reoccurring problems |

| |Make recommendations to the appropriate manager on ways to improve systems / processes that could benefit |

| |customer service / management |

| |Establish Effective Relationships |

| |Build a strong & effective relationship within the Intralot group and adopt common processes and practises |

| |wherever possible |

| |Assist to Identify key process hand-offs between other internal groups and ensure these are documented and agreed|

| | |

| |Build strong & effective relationships in line with the area of responsibility with all relevant external parties|

| |including DIA, Indeserve, Spark, the societies. |

| | |

|Business Compliance |Ensure Intralot comply with all the finance requirements and EMS business processes / reporting requirements |

| |relevant to your role & activities. |

|Health and Safety |Undertake all work in a safe manner and follow all company and workplace health and safety procedures |

| |Identify new hazards and advise manager or workplace H&S representative/co-coordinator within 24 hours of |

| |identification. |

| |Accurately report incidents and accidents to manager or workplace H&S representative/co-coordinator as soon as |

| |possible |

| |Experience in a process documentation type role |

| |NZ citizenship or be a NZ permanent resident |
