ACTION ITEMS/DECISIONS DODAAD PROCESS REVIEW COMMITTEE MEETING 29 – 30 July 2003 as changed during the November 13, 2003 Meeting.DAASC determine if contractor information should be pulled from CCR for population into DODAAF. It was determined that the contractor information should be entered, rather than pulled from the CCR.DAASC determine if the SPLC can be calculated using zip code.SPLC can be calculated using zip code, however if the SPLC is known is should be entered. If not entered, it will be calculated.All Components determine if a 2 or 3 digit code is used to designate major command. A 2 digit code is used by all Components to designate a major command.All Components provide a default POC phone number. Absent an identified default, CSP will become the default. Separate POCs are not required for each TAC. One POC will be provided for each DODAAC.All Components review the DOD TPN file for their respective DODAACs. The review will determine the correctness of the information programmatically generated for the initial load. The CSP’s will correct the data using the WEB update program and request DLMSO/DAASC assistance if revisions to the programmatic data insertions are appropriate. On-going.Gene Bransfield and the DDC determine any required changes to the Military Shipping Label (MSL). On-going.All Components provide procedures, i.e. POCs for week-end after hour emergency shipments from DLA depots. Today if there is an emergency address change for unit deploying, the depot normally gets a call from a customer requesting a change the address prior to shipment. Since the address file resides in DSS this is not a problem. After the reengineered DODAAF, DSS will be using the co-located DAASC file which they will not be able to change. Components agreed there will be no off-line procedures for changing DODAACs or information about DODAACs. Changes will be processed through each Components CSP or their designated representative.All Components determine if they use the MILSTRIP country code. Army, Air Force use the MILSTRIP country codes, the Navy uses the ISSO code. The new DODAAF will store both the 2 and 3 digit ISSO code. Users inputting country codes via the web will select a country from a drop down menu.All Components determine if they concur with the following rules for mandatory versus optional entries in the port of debarkation field. Mandatory:All overseas countries andHawaiiAlaskaPuerto RicoGuamOptional:All CONUS addressesCanadaShips and Marine Units catching a ride aboard Navy ships, whose address is listed in the Cargo Routing Identification File (CRIF). All Components agreed.DAASC/DLMSO determine if an addition field is required to identify a CRIF Address. This would allow DAASC to eliminate editing requirements for many required fields that would not be required for CRIF entries. No addition field is required. It was determined that authority code will be used to identify if a particular address is for a deployed ship and therefore not subject to many of the editing requirements.11. DAASC/DLMSO determine if future “effective dates” can be utilized when making changes or additions to DODAADs. Future effective dates will be utilized up to a maximum of 3. Discussion during the meeting determined that 5 future dates would be provided, however during subsequent discussion with DAASC and DLMSO it was determined that a maximum of 2 was sufficient. The following represent decisions made during the Meeting:TAC 3 addresses will be mandatory for all DLA DODAACs and will be the Billing address.A wild card capability will be added to inquiries, however will be limited to 300 records, i.e. the first 300 records will be shown and the customer will have an option to continue.City has been added as a data element.Subsequent to the meeting an additional data element called Bill of Lading Code (BLOC) was identified and has been added to the data element list. BLOC was identified previously and inadvertently left off the list. BLOCs are assigned by MTMC to all military service shippers in both CONUS and OCONUS locations. BLOC is required for all shippers, however if not entered by the user should default to “IOOI”.5. If the TAC 1 address has a PO Box, it may not be replicated in the TAC 2 address; rather a legitimate mailing address must be entered. ................
