KEY OBJECTIVES:

• Responsible for co-ordinating the supply of resources, to help sustain stock distribution and provide key resource packages across the Operations team. 

• Creating contacts, maintaining relationships and negotiating the best deals with suppliers on behalf of the Charity. 

MAIN RESPONSIBILITIES:

• Oversee timely processing of Kit Shop orders to support staff and volunteers across the charity. 

• Regularly review kit suitability and sustainability. Monitor stock levels, to ensure forward planning of replenishment needs are maintained to support pipeline demand.

• Liaise with the Operations Logistics Manager and wider management team to source and review new stock items/ Kit development needs, when required.

• Liaise with the Operations Logistics Manager and Puppy Supply Team on the arrival dates and details of young puppies due to transfer from breeder/brood holder to training volunteer, to prepare breed specific puppy milestone packs.

• Review and update SharePoint Information packs as required.

• Demonstrates ability to build positive relationships with a broad range of people internally and externally.

• Support volunteers involved in information pack generation and stock management.

• Process database updates in a timely manner, to reflect kit/ stock issued.

• Ensure volunteers understand and adhere to Hearing Dogs for Deaf People operational systems, policies and guidelines, where needed.

• Produce data flow diagrams for processes within the Operations Team when required and assist the Director of Operations and the Database Manager in mapping information in suitable format to align with current database development, and to feed into operational, tactical and strategic reporting to assist with decision-making.

• Communicate; work collaboratively, support and share learning with all members of the team in order to deliver consistent successful services for all volunteers.

• Act as an ambassador for the team and the Charity including involvement with publicity activities.

• Be an influential motivator in Charity Values and Culture towards volunteers, recipients and fellow staff members, which is consistent with the behavioural framework.

• Create an environment to encourage empowerment and a culture of continuous improvement.

• To undergo training to a set level of deaf awareness and communication as required by the charity.

• As a charity, Hearing Dogs has a large network of volunteers based at both our training centre’s and spread nationwide. As such, you may be involved in working with and/or supervising volunteers in this role.

• Develop and maintain team culture that is resilient and creative as a result of problem solving through coaching and mentoring.

• Demonstrate sound understanding of own team impact and can modify accordingly.

• Attend regular team meetings to discuss, share and review performance and to identify improvement opportunities.

• Carry out any other reasonable duties requested by your manager.
