Incumbent must exercise a high degree of initiative, independence, and originality in performing tasks.% OF TIME PERFORMING DUTIESINDICATE THE DUTIES AND RESPONSIBILITIES ASSIGNED TO THE POSITION AND THE PERCENTAGE OF TIME SPENT ON EACH. GROUP RELATED TASKS UNDER THE SAME PERCENTAGE WITH THE HIGHEST PERCENTAGE FIRST; PERCENTAGE MUST TOTAL 100%. (Use additional sheet if necessary.)40%25%20%10%5%ESSENTIAL FUNCTIONS Perform complex typing projects for PO; generate correspondence and recurring reports for various vendors, the City of Norwalk, Los Angeles County, and State agencies for compliance, permits and regulation issues. Track and reports monthly employee training and Individual Development Plans (IDPs). Type IDPs (STD 637) and similar reports.Prepare staff timekeeping to include processing Absence and Additional Time Work Reports (STD 634), and Attendance Reports (STD 681) for approximately 67 PO staff. Ensure timely completion and delivery of time sheets to Human Resources. Act as liaison with the Personnel Specialist on time keeping issues and problem solving. Organize, purge and update PO filing systems. Assist with the inventory process. Assist in the preparation of budgets for annual repairs, special projects and the equipment budget. Maintain and Prepare Monthly Copier Report and Vehicle Log Reports. Prepare monthly Cal-Card Logs for PO Dept. Card holders. Maintain Cal-Card Log throughout the month and collect receipts daily as cards are charged, compile at the end of the month completed package for management review.Take minutes of meetings when required and types completed minutes for CPO III.Answer phones and screen calls take messages and/or page appropriate staff as necessary.Provide back up for the TMA Systems Computerized Maintenance Management System (CMMS).MARGINAL FUNCTIONSPerforms a variety of complex and responsible clerical/secretarial duties related to the overall support of the Plant Operations (PO) Department. WORKING CONDITIONS EMPLOYEE IS REQUIRED TO:Report to work on time and follow procedures for reporting absences;Maintain a professional appearance;Appropriately maintain cooperative, professional, and effective interactions with employees, patients/clients, and the ply with hospital policies and procedures.The employee is required to work any shift and schedule in a variety of settings throughout the hospital and may be required to work overtime and float to other work locations as determined by the operational needs of the hospital.All employees are required to have an annual health review and repeat health reviews whenever necessary to ascertain that they are free from symptoms indicating the presence of infection and are able to safety perform their essential job functions. Regular and consistent attendance is critical to the successful performance of this position due to the heavy workload and time-sensitive nature of the work. The incumbent routinely works with and is exposed to sensitive and confidential issues and/or materials and is expected to maintain confidentiality at all times.The Department of State Hospitals provides support services to facilities operated within the Department.
