UWS POSITION STATEMENTPOSITION DETAILS:Position Title: Exam Centre Team Leader Establishment No:HEW Level:School/Office:Assessment & Graduation Unit, Academic Registrar’s OfficeDivision:Corporate Strategy & Services DivisionCONTEXT:The Office of the Pro Vice-Chancellor (Students) leads the development of an integrated student lifecycle management strategy. Playing a leading role in developing a positive student experience, the Office of the Pro Vice-Chancellor (Students) integrates the functions of student recruitment and engagement, student administration, student services, campus safety and security and residential services to deliver an environment where UWS students can achieve and fulfil their aspirations. The Academic Registrar’s Office (ARO) is part of the Office of the Pro Vice-Chancellor- Students and is responsible for the effective and efficient management of all student and academic administration matters and relevant support systems. Student Administration provides services and support to the University’s internal and external clients through work teams deployed across the University in the areas of: Student Administration – Services including Courses and Timetabling services; Assessment and Graduation services; Student Enquiry & Information ServicesStudent Administration – Operationsincluding Admissions, Enrolments, Fees & Student Finance and Postgraduate Research Student Administration; Student SystemsCommunications The Assessment and Graduation – area is responsible for the maintenance and management of all assessment, progression and graduation related functions for the University; the provision of exam timetabling function for all staff and students; logistical management of all associated exam processes; results processing; management of progression processes; graduation processes of the University. PURPOSE/MAJOR RESPONSIBILITIES:The Exam Centre Team Leader (ECTL) is responsible for the coordination and running of examinations on the designated Campus as directed by the Assessment Team in accordance with UWS examination policies and procedures. The role requires leadership and organisation skills in order to direct and support Exam Centre Officers (ECO), Supervisors In Charge (SIC) and Assistant Supervisors (AS), The role requires organisation of exam centre activities which includes processing of administrative documents, ensuring exams are run to schedule, and processing of misconduct reports as required. Management of supervisors, and ECO’s and liaison with stakeholders such as academics and school administration is required.The ECTL must always act in a professional and courteous manner and provide hands-on training to SIC & ECO’s when required. All ECO’s should be experienced and up-to-date with exam supervision, invigilation and maintain a thorough understanding of the current UWS exam supervisor manual and exam policies and procedures. REPORTING RELATIONSHIPS:The ECTL reports directly to the Assessment and Graduation Manager. The ECTL will give direction, hands-on training and support in all exam centre and supervision matters as required. The ECTL will undertake duties as directed by the Assessment and Graduation Manager or delegate.SCOPE:Responsible for:Exam centre setup and management of exam processes throughout the scheduled exam periods Organisation and maintenance of a secure environment in relation to storage of examination papers. Supervision, training and management of exam supervisors as requiredEnsuring that exam regulations and policies are adhered to at all times. Ensuring accurate and open communication with the Assessment Team and other exam stakeholders is done in a timely manner.A successful ECTL will be able to work under pressure and unsupervised; be reliable, punctual, trustworthy and have good attention to detail; work as part of a team; understand and adhere to policies and procedures; have a professional demeanour able to remain calm and show leadership when dealing with stressful or unexpected situations. KEY FUNCTIONS/RESPONSIBILITIES/DUTIES:Complete Online training sessions prior to commencing duties. Follow UWS procedures, policies and directions and direct ECOs and supervisors to follow same.Setup Exam Centre at start of each exam period, providing direction to the ECOs when receiving exam papers. Verification that all exam papers are received and placed in secure storage.Set up of exam papers in an efficient manner ready for next exam. Monitor and track all room access cards and keys reporting any issues to the Campus Security office. Ensure exam papers and other documents are filled logically. Liaise with schools for collection of exam papers and ensure all forms correctly completed and accounted for. Report all incidents to the Assessment Team, including student misconduct and supervisor issues Daily email correspondence as directed and according to instructions contained in the ECO manual. Provide feedback to the Assessment Team on the performance of all ECOs and supervisors dealing with issues in a prompt professional manner and suggest improvements to the exam process. Ensure all reporting and stock accounting is completed at end of exam period. Maintain a professional attitude at all times.SELECTION CRITERIA:Demonstrated high level organisational skills and the ability to work in a high volume client services environment and meet deadlines by organising, monitoring and collaboration with others. Demonstrated competence in computer literacy, with the ability to use Window operating systems, attend to email correspondence and printing of documents. Demonstrated capacity to understand and implement policies and procedures ensuring those under your supervision also adhere to those policies and procedures. Well developed interpersonal, written and oral communication skills including the ability to liaise with other staff providing leadership in unexpected and difficult situations. Demonstrated ability to work independently and as part of a team remaining customer focused and able to provide support and training to other staff. Understanding and practice of the principles of anti-discrimination, staff and student equity and workplace health and safety. Ability to work under pressure and work un-supervised.
