|Role Overview: |

|The role of Administrative Staff in CSIRO is to provide administrative and management services to support the effective provision of research |

|and development activities. This involves the development and implementation and/or administration of policies, systems and procedures that |

|assist the Organisation and the Business Units to achieve their objectives and meet Government and regulatory responsibilities. |

|The role is part of the national Business and Operations team, and will provide high level administrative support to the Education and |

|Outreach Director. They will support the efficient and effective operations of the Education and Outreach business unit in delivery of CSIRO’s|

|strategy. |

|Duties and Key Result Areas: |

|As part of the Business and Operations team, the Assistant to the Director will provide personal and administrative support through: |

| |

|Issues Management |

|Provide practical support to the Education and Outreach Director on dealing with issues and interactions with key stakeholders and external |

|parties |

|Ensure prioritised issues for the Education and Outreach Director’s attention are effectively managed |

|Prepare and review correspondence and reports that deal with routine matters |

|Monitor and follow up on issues that need to be drawn to the Education and Outreach Director’s attention in a timely manner |

|Coordination |

|Manage administrative projects or issues as necessary |

|Coordinate internal and external meetings or other events, including booking rooms, resources, travel, transport, equipment and catering |

|Prepare meeting minutes and initiate follow-up action |

|Compliance |

|Establish and maintain electronic document management systems in accordance with CSIRO’s record management standards |

|Communication |

|Draft routine responses and correspondence, and monitor follow-up actions |

|Develop and maintain functional networks to facilitate effective Education and Outreach operations |

|Prepare technical documents and presentation material |

|Diary Management |

|Regularly review, evaluate and monitor the Education and Outreach Director’s email, prioritising tasks and deadlines, resolving conflicting |

|appointments and deadlines |

|Travel |

|Prepare all domestic and international travel arrangements for the Education and Outreach Director and others as requested |

|Acquit travel expenses and credit card statements, and process payments |

|HSE |

|Coordinate HSE matters (e.g. safety contacts) on behalf of the Education and Outreach Director |

|Other duties as required |

|Selection Criteria: |

|Pre-Requisite |

|A current driver’s licence |

|A valid Working With Children Check, or equivalent, will be required for the successful applicant |

|Essential Criteria: |

|Demonstrated experience in providing secretarial or administrative support to a Senior Manager or Executive in a fast paced and complex |

|environment and adapting to technological and procedural changes. |

|Demonstrated proficiency in Microsoft applications including Word, Excel, PowerPoint, Outlook, and in using TRIM, SAP, workflow and travel |

|booking systems to manage processes and on-line transactions. |

|Demonstrated ability to clearly convey information and ideas, and establish effective interpersonal relationships with a wide variety of |

|people |

|Demonstrated ability to professionally handle sensitive and confidential information, and use appropriate judgment and discretion. |

|Demonstrated ability to manage competing demands; establish priorities; organise tasks and meet deadlines, and escalate issues when required. |

|Demonstrated ability to work effectively in a team, positively contributing to the team environment. |
