On your marks!Setting up your Surface Laptop GoThis guide will help you set up your new laptop. Please read it carefully. Steps in red are not required when setting up in a Barnardo’s Office (unless on Guest Wi-Fi). The guidance may change at short notice. The most up-to-date version can be found at inside..uk by searching for “Welcome to Office 365”. Time required: 2.5 to 5 hours, depending on your broadband speed. For most of this time, you can leave the computer downloading and updating, while you continue working on your old device.EssentialsA safe and stable working area where you can plug your laptop into the mains, with no danger of tripping over cables.Access to your home broadband, unless you are setting your device up on guest Wi-Fi in a Barnardo’s office. We advise against tethering to a mobile device to set up your laptop.A mobile phone for using Okta to verify your identity. If you don’t have a mobile phone, please contact the Service Desk to find out how to verify your identity.Powering up and getting onlinePlug your laptop into the mains and turn it onPress Enter on the Windows pre-login screen (displaying the time and date)If connecting with Wi-Fi, use this icon (may vary depending on your connection) to select your?Wi-Fi?name and?enter your passphrase,?or connect your laptop with a network cable?(you’ll need to use the Surface Travel Hub)Select the left icon in the bottom right rowWaitEnter your Okta username (firstname.surname) and password, and click OKComplete your Okta authentication (using the Okta Verify app on your mobile or a text message) and click VerifyEnter your Okta username (firstname.surname) and password, and click →You’ll see several status screens while your Windows desktop sets upGet set!Success! Your Windows desktop will be displayed (but might have different icons from those shown below)Your laptop will start to download and install all the software you need, and this can take between 2.5 and 5 hours depending on your connection (remember to keep your laptop connected to the mains). If you don’t notice anything happening after 30 minutes, restart your laptop. Remember to connect with Cisco AnyConnect again before you log in. You’ll get regular pop-ups as each software package is installed however you can ignore any other notifications that appear whilst your device is setting up. You’ll know it’s finished when you don’t get any pop-ups for an hour and there are no applications installing in the ‘Downloads & updates’ section of the Company Portal (your new Software Centre).Whilst you wait, on your old computer transfer any files on the Desktop, in Downloads and in your Documents folder to Content Server. Otherwise, you’ll lose them when you send your old computer back to us. (You don’t need to do this if you’re a Chromebook user).When ZScaler installs, your laptop will automatically restart. Login again and you will be asked to sign in to ZScaler with your Okta username (firstname.surname) and password. From now on, you will not need to use Cisco AnyConnect again and zScaler will automatically connect in the background.If you're unable to login to zScaler, restart your laptop, login and then try again.Go!Finally, although all the key Barnardo’s software e.g., Microsoft Office, is installed by default on the laptop, you may need to add some additional applications from the Company Portal. If your application is not available here please contact Raj Sharma who will work with you to resolve.If you need any additional software/applications that you do not have currently, you will need to contact the Service Desk to request these as per the current process. That’s it – you're all ready to go to work on your new device. We really hope that you enjoy working with your new Surface Go Laptop.The Digital & Technology TeamWhat to do nextPlease make sure you complete the following checklist.Visit Office 365 Support Centre on Workplace to report any problems you’re having and get help from all your Barnardo’s colleagues, as well as the Digital & Technology Team.Check for missing software. If you use any non-standard applications, go to Start > Company Portal. The Company Portal replaces Barnardo’s software store as the place to request additional software.Visit Welcome to Office 365, on inside.barnardos and update yourself with our Information Security guidance. It’s vital that you understand how to manage our information safely and securely in the cloud.Add Office 365 to any mobile work devices, including smartphones and tablets. Your new Microsoft 365 licence means you can use Office 365 apps on up to five other devices. You are also free to do this on a personal device that only you use. Never download sensitive information to any personal device. If you’ve been using a ChromebookYou’ll no longer have access to Gmail, Calendar and Tasks – you can now use Outlook instead. But you can continue to use Google Workplace (Docs, Sheets, Slides etc) in Chrome on your new laptop. We’ll soon migrate your Google Workspace files to Office 365, but we’ll let you know in advance.Finally – once you have set up your new laptop, are happy everything is working, all your applications available and working. You must return your old computer to IT Supply within one week so we can reuse it for other members of staff. Please use the box to return your laptop and you will find a returns label included and the instructions.How to return your old LaptopWe use TNT to manage our IT Returns process. Please follow the instructions below carefully:Package the old laptop in the box that the new equipment arrived in.Call 0800 100 600 to arrange a FREE collection at a time that suits you.Select option 3?to talk to a person and?quote?account number 0280501617.Make a note of the reference number?which TNT will provide. This will be needed should there be any future queries about the collection.A returns label is found on the next page. Please print and stick this label on the package, covering any existing labels on the box. Once TNT has collected the equipment to be returned, please send the consignment number via email to Sue Nightingale, IT Supply Manager (sue.nightingale@.uk) so that it can be tracked. Ensure the email subject line is ‘Return of existing laptop’. The customer reference number is not required in this email. Questions you may be asked by TNTFull address where the package is to be picked up from.Contact name and preferred telephone number.Confirmation that it is being returned to Barnardo’s in Barkingside (this will be the only address it is possible to return items to on this account number).Number of boxes for collection and the box contents.Dimensions of boxes (width, height, length) and box weight.
