Patient Guide for Online Courses

How do I join?

Your course will be delivered online via Microsoft Teams.  This is free to use and can be accessed through any device, however you might not have access to chat function when using a mobile. You will receive an email from us around 2 days before the first online session which will contain a link to join the sessions. Please use the same link to join each session for your course.

When clicking on the link to join the meeting, if you do not have Microsoft Teams downloaded to your device, you will be given the option to either download the Microsoft Teams app onto your laptop/computer/phone or to join the meeting by opening the internet page.

Once the app has downloaded or the webpage has opened, click on Join as a guest.

So we can identify that you have attended the course, please join using your full name, however if you would prefer not to do this for any reason, please join using your first name and the initial of your surname. There will be a chat function during the sessions that you can use to ask questions however you sign in to the session, this will be visible to other participants in the chat function.

You are welcome to join early; however you won’t be entered to the session from the lobby until 5 minutes before the session starts to ensure the session starts on time

What if I already have Microsoft Teams downloaded for work?

If you already have it downloaded for work purposes, we strongly recommend logging in via the web version. This will ensure that you have maximum data protection/confidentiality and others can only see your name and no further details including email addresses, phone numbers and occupational roles will be visible. 

What happens in the session?

The facilitators will deliver the session by PowerPoint slides and have their video turned on. There will be some tasks related to your session to complete in your workbooks so it is helpful if you can have this either printed off or visible on your device for the start of the session. There will be two breaks, one half way through and one at the end to allow for any questions you may have. Please be mindful that anything that you write in the chat function will be visible to all participants in the session.

What else is important to consider in my session?

• Recording sessions and screen shots are not permitted in session to protect confidentiality of participants and staff

• If you have consented to receive questionnaires by email please can you complete these before your session. We may remind you during the session about these via a text message, you will need to go back to your weekly session email and you can find the link to complete your questionnaires here.

• All participants will be on mute at the start of the session. Unless asked by course facilitators, we ask you to remain on mute during the session to minimise background noise that could create disruption

• Please be mindful that others can see your sign in name e.g John Smith. We ask that you respect other participants confidentially particularly if you recognise someone in the session.

• Be mindful all other participants can see any comments added to chat function therefore what you write will be seen by all. It is important consideration is given to what is written

What do I do if I have technical problems?

If you are experiencing issues with your internet connection and this is impacting on your ability to connect to the course please try the following:

• Ensure all other devices that use your internet connection are turned off. Devices such as game consoles and those that are live streaming can cause significant issues to your internet speed

• If you have a problem with your connection in the session and miss something, please join the next session and raise anything you have missed with facilitators on the chat function and they will be able to help you. You will also have the link to your workbook that you have been sent in your original email that has detailed information to support you throughout the course

• Move the device you are using closer to your router if possible

• Contact your internet provider if none of the above improves your connection

• If you continue to have problems accessing the course, you can contact us on 0114 2264380 to discuss alternative treatment options

How is my information stored confidentially?

We protect your privacy and store information confidentially on a dedicated computer system under the Data Protection Act 2003. This is only accessed and used by the IAPT team to plan and monitor your treatment. On occasions we may need to contact your GP or other professionals if we have concerns about yours or another person’s safety. Should this be the case we will always try to discuss this with you first and involve you in the process. For more information please read our information storing leaflet on our website.
