|JOB PURPOSE |To work as part of the HR team to efficiently support the HR functions of Coventry and |

| |Warwickshire Mind. |

|KEY RESPONSIBILITIES |

|To provide administrative support to the HR Manager and other areas within CW Mind as required. |

| |

|To record and monitor absences, including sickness and annual leave, and report to the HR Manager and the appropriate Service Manager. |

| |

|Respond to emails and requests from internal and external sources. |

| |

|To maintain and update personnel records. |

| |

|To undertake filing, photocopying, typing and collating information where necessary. |

| |

|To take minutes at hearings and disciplinary meetings where necessary. |

| |

|To follow the process when recruiting staff which includes advertising vacancies, organising interviews, offers of employment and |

|carrying out the necessary checks required such as references and DBS checks. |

| |

|To deal with sensitive information, ensuring confidentiality is maintained at all times. |

| |

|To maintain good employment relations and communication with all staff across the organisation. |

| |

|To deal with telephone calls sensitively, recording messages and ensuring these reach appropriate staff members using agreed procedures. |

| |

|To liaise with the HR Manager in arranging and co-ordinating staff inductions for new members of staff and delivering the HR component of|

|Induction training. |

| |

|To organise and co-ordinate external training for employees. |

| |

|To liaise with Managers during the probationary period for new staff, ensuring written reports are completed, returned, and recorded in |

|line with the appropriate time scales. |

| |

|To liaise with the external HR consultant as and when required. |

| |

|To ensure that all activities undertaken on behalf of Coventry and Warwickshire Mind, externally or internally, are executed in |

|accordance with the overall aims of the organisation and in line with Coventry and Warwickshire Mind’s policies and procedures and |

|employment legislation. |

| |

|To participate in personal supervision/ appraisal with the HR Manager and attend training as appropriate. |

| |

|To undertake these duties in a framework that recognises the diversity of employees and encourages equality of opportunity for all. |

|To undertake any other duties as delegated, which are deemed appropriate within the grade and responsibilities of the post and following |

|consultation with the post holder. |

| |
