Chi Epsilon’s Officers Duties - 2002

President

• Make officers aware of their duties

• Call chapter meetings together in conjunction with advisor

• Promote activities and visibility of society

Vice-President

• In charge of chapter’s charter. It must be taken to at least the smoker and the initiation. Sometimes it is displayed at Engineering Open House.

• In charge of chapter’s service projects assigned by the president.

• Invite all the faculty to XE Initiation (this is done in order to relieve the marshall of some duties during the busy time of initiation)

Treasurer

• Maintain Books

• Report on budget.

• Write checks authorized by chapter business. XE’s account is at Bank of America. After being installed, the treasurer must go immediately to the bank with the faculty advisor and sign a signature card. The faculty advisor should sign this card too. Both people are required to authorized tow rite the checks.

Secretary

• Must expect to type

• Take minutes of all business meetings.

• Conduct chapter correspondence (which is large)

• Type all necessary forms for chapter business with nationals (which is also large)

• Order office supplies for Chi Epsilon ~ this primarily includes stationery.

Marshall

• Arrange for meetings. Includes: room, seating and food.

• Arrange for food at the ASCE/XE Faculty Roast, held on the last Friday in December before final week.

• Be in charge of ritual. This includes scheduling a ritual rehearsal and working with XE president, Faculty Advisor, and all the members to find convenient initiation times. Invite the district council to attend the initiation if possible *need to notify him at least one month before the initiation)

• Purchase purple and white ribbons for initiates.

• Arrange to have wooden pledge keys make by Mike Schmitz at Fears’ Lab for initiation. Check the cost with Mike

• Make sure that initiates know purpose of blindfolding during initiation.

• Distribute certificates and pins to initiates soon after initiation.

Editor

• Prepare an annual chapter report for TRANSIT, the XE magazine. All members pay for three years of this magazine with their initiation dues.

• Keep a current list of members (both active and inactive), as well as their phone numbers and address. (Form 2 might be useful for this job)

• Represent XE at St. Pat’s Council (check the dates with E-Club) or find a member or an officer who will consistently do this. Report to the chapter about the meeting.

• Maintain current list of XE Faculty. This does not include environmental science professors who have not received an engineering degree.

Graduate Advisor

• Oversee the new committees in running the local chapter

• Advise or help the committees with problems during the transition period from one committee to another
