Using the Calendar and AgendaCalendar Skills is on the list of first concepts we begin teaching children. It is no surprise that the Braille Plus 18 offers a calendar that can be tailored to meet the needs of students as they learn how to become organized. The first task is to learn how to find particular dates, whether in the past or future. The next sequential step is to learn how to schedule an appointment or event. The calendar can be accessed from the home screen by entering into the All Applications menu. Once you are in that list, locate the calendar and press the select button. If the date and time are set correctly, you will see today's date. If the date is incorrect, please refer to the Getting Started section of this class guide or to the User Guide to set the date and time. Navigating the CalendarWhen the calendar is first opened, the default setting is "day" which means that you can only navigate by days and hours within the day. To make it easier to see a full calendar view, you will need to change the day setting to a month setting. To do this, press the menu key or use the hot key space+m and right arrow over to month, then press select. It is now very easy to navigate by day or week using the arrow keys. The left and right arrows navigate by previous or next day. The up and down arrows navigate by previous or next week. The same operations can be performed using the joy stick by moving it left and right or up and down. To help further explain the logic behind this navigation, try the following:Student Task:Place a braille hard copy APH calendar in front of the student.Have the student find the second Wednesday of the month.Move your finger left one day to Tuesday. Now go back to Wednesday and move your finger twice to the right to Friday. Have the student move their finger up once to locate the previous Wednesday and then move down to locate the last Wednesday of the month. Try this on the Braille Plus 18 using the arrow keys to navigate as though your finger was still moving on the calendar page. Try the joy stick as well, if the student prefers this method. Your student may also discover that space+dot-1 and space+dot-4, or space+- and space+dot 6 will also do the same thing. It is a matter of preference.Notice that if you reach the first or last Wednesday of the month, the calendar continues, showing you the Wednesdays of the previous or next month. This can be demonstrated by having the student flip from May to June while looking at Wednesdays on a hardcopy calendar. Scheduling EventsThe calendar provides a means for keeping students organized. One way to start teaching students to be cognizant of upcoming events is to make them aware of the school calendar; whether it includes the events for one month or the entire school year. Students can put upcoming class assignments, field trips, school holidays, sports activities, etc. into their Braille Plus 18 calendar. This gives students a practical application that can be used on a daily basis, in real life. To schedule an event, follow these steps:Note: Do not panic at the number of steps. Many of these are optional, however, every dialog box, edit field, etc. is discussed here for first time use. At the time of this writing, there was no Calendar section in the manual for reference, which subsequently, gave rise to the need for additional explanatory steps in this section. Once you learn how to schedule an event, however, this process can be simplified to about five steps.Press the menu button and right arrow to "more." Press select and you will hear "new event." Press select again.An edit box appears that asks for "event details." Type a brief word or two in this edit field such as track meet, paper due, etc. Arrow down once and it will say today's date and the word "button." Press select on the word “button” if the date of the event is NOT today. For this exercise, schedule an event that is NOT today. Down arrow and you will hear "set button." You are not ready to set the time yet, but it is necessary to down arrow once and then up arrow again for the month listed to now appear as an edit field. Use the right arrow key to navigate the date fields. If the month is correct, you can right arrow to the next edit field, which will be the day. To edit either of these fields, you must backspace over what is currently written in the edit box before typing the new month, day, or year. Computer braille is required and months are entered as three letter abbreviations. Once the date fields have been entered correctly, down arrow to the cancel and set buttons. Left arrow to set and press select. After completing the steps above, you will be on the date of the event that you entered. Right arrow and you will see the current time. Press select to edit the time for the scheduled event. Arrow down to the set button; arrow back up and the time becomes editable (same as steps 5-7 for the date). Remember to backspace over the number that is there so you can enter the new time. Use computer braille for the hour; right arrow for editing the minutes, and then right arrow again. It will announce AM or PM based on the current time. Pressing select allows you to toggle between the two options.Down arrow to the cancel and set buttons and select set. Notice that unless you choose the "set" button, you are unable to move to the next option. The next prompt that appears is for the correct time zone. It should already be set to the correct time zone. Down arrow and a checkbox appears that asks if the event is all day. Space to toggle between checked or unchecked.Down arrow and the next edit box asks "where." Type in the location of the event such as, the library or school gym. Down arrow and the next edit box asks for a description of the event. Note that steps 13 and 14 are optional.Down arrow and the next prompt announces "local calendar spinner." Just leave this for now. It allows for multiple calendars.Down arrow and the next prompt announces "email addresses." This option allows you to invite others to the event by sending it to multiple email addresses, including your own, if desired. You can use this feature in the future. Down arrow and the prompt announces "one time event spinner." This option allows you to make the event recurring, if necessary. Once selected, you can choose daily, weekly, etc. For example, if your student was scheduling a student council meeting that occurs every Wednesday at 3:00, they would select weekly. If it is a onetime only event, they do not need to make a selection.Down arrow and the next edit box is for setting a reminder. The default reminder is ten minutes before the appointment. Press select and arrow through the options. There are 15 choices, which range from ten minutes to one week prior to the scheduled event. Select one of the choices.Down arrow once more and you will see the "done" button. Press select. Now when you press the menu button and arrow through the options, you will see "Agenda" as a choice. The agenda appears once you have events scheduled on the calendar.Using the AgendaNow that the student has events scheduled, the agenda option appears in the calendar menu. The agenda provides a very efficient means of rapidly navigating your calendar. The agenda only displays dates on which events occur and displays them in chronological order. This eliminates the tediousness of searching the entire calendar to find scheduled events. To open the agenda from the calendar, press the menu button or space+m and right arrow until agenda appears. Once the agenda is selected, you can down arrow through a consecutive list of upcoming events.
