Budget

Please fill in the budget table underneath as precisely as possible, while taking the following explanations into account:

1 Trips

International trips: international trips including a return trip to Belgium and/or a South-South return trip.

Local trips: local trips are within the grant applicant’s home country.

Careful: trips within Belgium must not be included in the budget as they are included in the living costs (see infra).

2 Trip to Belgium and/or South-South trip

Careful: the trip to Belgium or South-South trip must be for a minimum of a month and a maximum of 3 months.

1 Stay in Belgium

Living costs: covers food, clothes, transport, medical costs not covered by insurance, didactic costs not covered by the pre-set amount and other everyday costs during the grants applicant’s stay in Belgium. It is calculated by the number of days spent in Belgium.

Housing allowance: the housing allowance is not included in the living costs. It is also calculated by the number of days spent in Belgium.

Didactic costs: a pre-set amount to cover the purchase of documents, reprography, the cost of printing the memoire etc.

Return costs: a pre-set amount put aside to cover the cost of returning (sending equipment, documentation, etc.).

2 South-South stay

South-South stay: This grant is a single sum to cover all costs. It is calculated according to applicable local parameters, and increased by 25% to cover specific costs. If there are no such parameters, it is calculated according to the salary of a beginner assistant at the institution, and increased by 25% to cover specific costs.

3 Investment and function costs

Investment and function costs: covers the cost of keeping the research or teaching activities running smoothly. It includes all the IT, laboratory or office equipment bought with the grant belonging to the grant applicant’s institution.

Local expenses should be prefered in what concerns investment and function costs. In case some expenditures must be made in Belgium, they are identified in the budget (point 6.5.) detailing the requirements.

Remark: If this is a second application, ARES will take into account any equipment the applicant acquired during the previous selection. If there are discrepancies between the old budget and the new budget, ARES reserves the right to revise the budget accordingly.

4 Mission costs

Mission costs: these are the costs of a local mission lasting less than 3 weeks, or a mission in another Southern country. These costs can only concern the grant applicant the grant was given to.

7 Explanation of requirements

Explain each item in your budget by describing its function, its cost and why it would be useful to your project.

For investment and function costs, it is important to justify in detail the need for and cost of each item. For expenses that are planned to be made in Belgium, plaese give de reason why they are not made locally.

For trip costs, please give: the place, the distance from your institution, the visit number, the length of the stay, the cost of the stay, and the detailed costs for the other services.

     

Annexes

CAREFUL:

• The first step in the selection process is administrative selection. If any of the documents mentioned above are not attached to your application, it will not be considered.

• The application and annexes must be in ONE unique document in pdf format. Any annex sent separately from this document will not be accepted.

1 For all grant applicants

1. Copy of PhD diploma;

2. Employment certificate from the current employer;

3. Two recommendation letters (see outline attached) :

o A letter from an academic at a French language higher education institution in Belgium, giving an opinion on the grant applicant and the program they are proposing;

o A letter from an academic at the grant applicant’s Southern home institution (Dean, department director…) giving an opinion on the grant applicant and the program they are proposing;

o These two letters of recommendation, North and South, must be attached to the application even if the grant applicant is not planning to stay in Belgium.

Grant applicants holding a management position at their home institution must also give the name of a third person at their institution (Administration Council President, Rector…) who can recommend them.

4. An invitation letter from an academic official in Belgium saying they are willing to take charge of the grant applicant during their planned stay and explaining how the stay would help them (see outline in annex).

← The North recommendation letter and the invitation letter from a Belgian academic official can be written by the same person BUT must be submitted as two different letters. They CANNOT be the same letter.

2 For applicants that have already received an Elan Postdoctoral research grant or done postdoctoral research

Attach a complete report explaining the benefits of the first stay and the impact it had on the evolution of your academic career, as well as the reasons for the second request. It must be signed by an academic official in Belgium.
