Re: Draft agreement setter for ISTA 8

The American Tilapia Association (ATA) agrees to co-sponsor the Eighth International Symposium on Tilapia in Aquaculture to be held in Cairo Egypt, October 12-14, 2008. ATA agrees that the ISTA8 will be presented and hosted by the Central Laboratory of Aquaculture Research (CLAR) of Egypt. The other co-sponsors will be the World Fish Center (WFC) and the Aquaculture/Fisheries Collaborative Research Support Program (A/F CRSP).

The ATA will advertise and promote the ISTA8 to its members and past ISTA participants. ISTA 8 will be highlighted on the ATA website and at national and international meetings. ATA will use it’s website and PayPal site to collect international registration fees for the ISTA 8. The PayPal website allows international registrants to utilize credit cards and receive immediate and secure confirmations and receipts. The ATA will forward these funds to CLAR after the conference after reimbursing Dr. Fitzsimmons for his travel expenses to the ISTA 8. ATA will also recruit additional partners and sponsors for the ISTA 8.

The A/F CRSP will organize one of the sessions at the ISTA 8 and provide travel grants and registration to at least six international scientists to participate in the ISTA 8. A/F CRSP will also publicize the ISTA at its website, newsletter and international meetings.

The CLAR will be the primary host of the ISTA 8. CLAR will organize the local steering committee and sign the local contracts with the Cairo International Conference Center for convention facilities, and printers for the proceedings, flyers and conference banners. CLAR will also organize the trade show and will keep all proceeds from the trade show registrations. CLAR will collect all domestic registration fees and any international registrations that prefer to register directly with CLAR. As the primary financial coordinator, CLAR will have the option of contracting with a professional conference organizer if they deem it to be in the ISTA interest.

The World Aquaculture Society (WAS) will also agree to be a supporter of the conference. Specifically, WAS will advertise the ISTA, obtain the ISBN number for the Proceedings, and include announcements in mailings and in conference bags. WAS will also support holding the first (organizational) meeting of the Africa Chapter of WAS in conjunction with the ISTA 8.

The World Fish Center will organize and support a session including travel and registration for guest speakers. WFC will also nominate a staff member to serve on the organizing committee.

Kevin Fitzsimmons and Hussein Elghobashy will serve as the co-editors of the Proceedings. The proceedings will be printed in Egypt and a copy will be distributed to each of the participants. The primary language will be English with Arabic abstracts/summaries for each submission. Excess copies of the proceedings will be split between the CLAR and ATA for additional sales. ATA will be responsible for paying for shipping of copies to the US.

The local organizing committee will coordinate the auxiliary events for the ISTA 8. These include:

1. The Gastronomic Circuit. This includes developing a list of local restaurants that will serve their signature tilapia dish during the conference which delegates will be encouraged to try. It will also include getting local publicity for the conference and restaurants participating. The primary goal is to gain publicity for the conference, the restaurants, and most importantly to raise the profile of tilapia as a top quality seafood.

2. Farmer to Farmer Day. One special session of the ISTA 8 will be devoted to bringing a large number of local tilapia farmers. The session will allow tilapia farmers to ask questions to a panel of government officials, local scientists and selected farmers from other countries. A special one day registration will be provided that will allow the farmers to attend the trade show, the Farmer to Farmer session and other technical sessions on that day.

3. Tilapia banquet. All attendees will be invited to a tilapia dinner highlighting local recipes.

4. Optional largest tilapia competition. A competition could be held that will provide a prize to the largest tilapia brought to the weighing event.

5. Optional media competition. Tilapia cooking competition between newspaper, radio and television personalities. A way to gain free publicity and high profile for tilapia.
