JOB DESCRIPTIONJob Title:Events Co-ordinatorResponsible to:Catering and Events ManagerLiaises with:Catering and Events teamCollege managers and staffStudentsExternal and internal customersJob Purpose:To ensure that all customers receive an effective, efficient and highly professional service for all commercial, external and internal events and functions at Brooksby Hall.This role is an annualised hours position of 1924 hours annually. Annual leave requests may be restricted to meet business needs.Description of main duties:Duties will include but not be limited to:LeadershipDeputise for the designated Premises Supervisor when they are not on shift.Provide a personal service of support, co-ordination and management for appointed weddingsProvide coordination and supervision of staffing for commercial events.Provide coordination of Bar Services for commercial events, including supervision of Bar Staff.Ensure that the Hall and associated rooms are locked and secure at the end of all functions.Ensure that all licensing laws are complied with in all bars.Innovation and Continuous ImprovementBe aware of team and departmental targets and actively work towards achieving these.Development and training for individual event budgeting to improve understanding of Event profit and loss forecasting Performance ManagementEngage with the college’s Performance Management procedure to manage own performance effectively.Ensure that all events are operated to Brooksby Hall’s performance standards.Results FocussedTake and respond to enquiries for conferences, banquets, weddings and any other events or functions, dealing with emails and enquiries, responding to all enquiries within 24 hoursCo-ordinate the reception of all visitors to Brooksby Hall effectively and professionally.Book and co-ordinate functions and their administration, adhering to Brooksby Hall’s terms and conditions. Ensure that all refreshments are booked and available in line with customer service expectations.Ensure the correct operation of outlet tills and of accounting and security of cash while on duty.Ensure that a high standard of cleanliness is maintained within working areas as appropriate.Ensure that levels of hygiene are maintained in accordance with the bar hygiene mercial AwarenessEnsure the statutory requirements and codes of safe practice are maintained in relation to all Hotel Services’ issues, including food hygiene, industrial safety and environmental health issues.Maintain the database and support the contact process for actively encouraging new business, proactively following up enquiries.Proactively test the market for new business (to include competitor analysis).Ensure the security of all bar staff and stock.Be aware of team and departmental targets and actively work towards achieving these.Maintain correct ordering procedures and stock levels.Producing two blogs monthly on weddings for the website and driving the social media accounts with daily and weekly content Proactively seek new business, developing promotions and competitions to increase enquires and social media traffic Development and organization of additional Wedding Showcase evenings to highlight the property to the local wedding and banqueting marketDevelopment and organization of additional themed events e.g. Murder Mystery evenings to maximize revenue.Team WorkingUndertake bar duties as directed.Undertake all food and beverage service requirements as municationMeet and give advice to customers and promote the Brooksby Hall range of services.Assist with the marketing process including attending events/activities.GeneralComply with all college policies and procedures.Undertake appropriate training and staff development as required. Support the College policy on risk management (being aware of the College Risk Register) and engage with management to embed core values and awareness within the working environment and with all members of staff.Take reasonable care for his/her own health and safety and any other person(s) who may be affected by his/her acts or omissions at work, in accordance with Health and Safety legislation.Co-operate with the college in so far as is necessary to enable it to comply with its duties under relevant Health and Safety legislation.Carry out any other duties which could reasonably fall within the scope and responsibility of the post.The above list is not exhaustive.
