PROFESSIONAL POSITION DESCRIPTION Position Title: Coordinator of Student ActivitiesDivision: Enrollment Management Department: Residential LifeLocation:100 Upton Hall, Gorham campusSchedule: Full-time, live-on, evenings and weekends required Reports to: Director of Campus LifeSTATEMENT OF THE JOB: The Coordinator of Student Activities will develop and implement programs that focus on the social, educational, recreational, wellness, and diversity needs of our students. S/he will assist the Director in offering leadership training for student groups to include program planning, marketing, meeting facilitation and budget management. S/he will be responsible for overseeing the evening and weekend operations of the Brook’s Student Center and Intramural Sports on the Gorham Campus. S/he will coordinate educational displays utilizing the student center as a passive educational space. This person will coordinate a campus center calendar of events. S/he may be asked to represent Student Activities on interdepartmental committees. The Coordinator collaborates with students and staff to facilitate student success, enhance the quality of campus life, foster leadership and create an inclusive and welcoming campus environment. ESSENTIAL FUNCTIONS: Supervision and Training Responsibilities:Recruit, select, train and schedule Student Involvement Center staff, event crew, and intramural sports refereesTrain and regularly supervise one Graduate Assistant for Student Activities and one Graduate Assistant for Intramural Sports.Advise the Gorham Campus Activities Board. Special attention must be paid to ensuring compliance with the University Governance documents, public law and University policy. Specifically focus this compliance effort in the areas of personnel, finance and risk management.Develop and implement the Gorham Campus Activities Board leadership training sessions.Attend weekly team meetings to review, evaluate and develop programs.Assist with the implementation of comprehensive training programs for Student Activities and Residential Life Staff.Administrative: Collaborate with other offices and groups to increase the quality of programs and services offered to students.Manage the marketing and administration of the USM App (Guidebook).Collaborate with RAs and RDs to increase awareness of involvement opportunities on campusDevelop and implement evaluation and assessment tools.Monitor, analyze and oversee Student Activities and Event Boards budgets.Maintain consistent presence to interact with students and the university communityHold a minimum of 20 consistent office hours per weekAttend programs and evening events on campus.Secure space reservations and oversee consistent schedule of Intramural Sports four days a week (Sunday – Wednesday).Purchase and Maintain inventory of Intramural Sports equipment.Manage accident reporting and incidents at Intramural Sports and within the Brooks Student Center when necessary.Coordinate performance, novelty, film and other entertainment logisticsCoordinate marketing and advertising of all student activities and anize and maintain inventory of Student Activities & Event Boards supplies and storage rooms.Maintain database of all programs throughout the academic year.Plan and implement annual events on campus such as Welcome Weekend, Homecoming, Winter Welcome, Spring Fling, and Senior Week.Attend weekly team meetingsChair and/or participate on departmental and interdepartmental committees.Student Development: Implement comprehensive programming goals based on the Learning Initiative.Promote, coordinate and implement social, recreational and educational programming in the Student Centers of both campuses as well as off-campus events as appropriate. Ensure that all programs are theoretically sound, holistic, and inclusive. Program plans should span the academic year. Schedule a variety of programs and activities throughout the week and work in tandem with Residential Life to provide weekend programming.Assist in developing a campus environment that is sensitive to the diverse cultures, traditions, lifestyles and beliefs of our students.Provide opportunities for students to develop positive peer relationships and interactions with other USM community members.Coordinate Gorham campus new student Welcome Weekend programs in collaboration with University wide Welcome Weekend events.Encourage student involvement in traditional and non-traditional leadership opportunities and campus activities. Participate in professional development activities that enhance student learning, understanding of the field, application of student development concepts and developments in the area of student programming.Help promote student attendance at athletic events and other activities to increase school spirit.Implement appropriate educational programs for resident students to reduce risk and facilitate an environment that promotes health and safety (Examples: alcohol and drug prevention, sexual assault, civility, sustainability, diversity, eating disorders, multicultural issues, etc).Represent Campus Life in University activities and internal/external settings as requested. Assist with the recruitment of perspective students and University staff members as needed.Create, maintain and promote a programming and activities calendar with special attention paid to website and mobile application updates.Additional duties as reasonably assigned.SPECIAL ESSENTIAL FUNCTIONS/RESPONSIBILITIES*: Responsibility to regularly handle cash or cash equivalents.Broad access, including but not limited to master key or swipe card access, to University facilities, residences, or apartments. Direct responsibility for safety and security of employees, students, minors, and/or visitors or property.Ability to drive a University vehicle and provide proof of a valid driver’s license.Ability to drive colleagues, students or others and provide proof of a valid driver’s license.Ability to provide own transportation (fully-insured vehicle), provide proof of a valid driver’s license, and compliance with Maine law regarding vehicle insurance. SUPERVISORY RESPONSIBILITIES: Primary supervisory responsibility for student events staff and Graduate Assistant. This includes, but is not limited to conducting performance evaluations, authority to assign work, terminate employment and provide orientation and support.BUDGET RESPONSIBILITIES: Oversight of the funds earmarked for Student Activities, Intramural Sports, and Gorham Event Board.Assist in the annual development of the auxiliary budgets for Campus Activities programming.Approve and administer monthly charges for various expenditures and revenues.Negotiate and facilitate signatures for all third party contracts for services rendered with programmingPrepare budget plan for upcoming year.PUBLIC AND PROFESSIONAL ACTIVITIES RELATED TO JOB PERFORMANCE: Maintain membership in appropriate state, regional and national professional organizations such as MASAP, NASPA, ACPA and NACA. Develop and implement a professional development plan.KNOWLEDGE, SKILLS, AND ABILITIES:Ability to communicate (written/verbal) effectively with all types of peopleAbility to understand work to be done, organize that work and delegate tasks to staff members.Ability to coordinate programs and processes, and to synthesize them into successful student and departmental services where student learning occurs.Ability to analyze information, problem solve and use sound judgment in decision making.Knowledge of, and ability to work within, a University environment, with all of its constituencies.Ability to conceptualize large projects requiring the integration of various systems.Ability to work independently as well as collaborativelyAbility to be an effective mentor to students and to appropriately advise university students about personal and vocational choices, including advising them as to what departments might be able to more effectively assist them with their particular issues.Knowledge of basic computer software such as word processing, spreadsheets, website maintenance, and publication development.QUALIFICATIONS:Required:Bachelor’s degree3-5 years of experience in a university or college environmentPreferred:Master’s DegreeExperience in college student leadership, student activities, group facilitation skills, supervision.License/Certifications: Ability to provide own transportation (fully-insured vehicle), provide proof of a valid driver’s license, and compliance with Maine law regarding vehicle insurance. *NOTE: All individuals who are recommended to fill and subsequently offered a position with special essential responsibilities as listed above, or other licensure or certification, shall have the following additional applicable background screening completed (in addition to regular and standard background screening) based on the responsibilities of the position: Credit history screening, and/or Sex offender registry screening, and/or Federal criminal history screening and/or License/certification verification.
